Creating and maintaining tasks

Introduction
In order to perform the work that needs to be done in a project, tasks need to be created. Tasks are automatically generated when creating certain orders or requests. In this screen, you can manually create tasks. You many need to manually create tasks in the following scenarios:

You have created an order for tasks that have been carried out. If you generate a project directly from the order, you need not reenter the tasks. However, if you directly enter a project, you need to enter the tasks required for the completion of the project.

During the course of a Fixed type project, you need to plan additional tasks at the initial planning but at the same time you do not want to invoice the customer for the extra tasks.
After the tasks are created, the tasks have to be planned or assigned to people. Initially, all tasks are not planned to any person unless a person is specified in an order or request line. For more information, see Overview of resource planning and tasks and How-to: Managing projects.
What version are you using?
The information in this document is based on product update 406 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I create tasks?
- From the Projects / Planning / Tasks screen, click New. The Planning screen will be displayed.
- At Project, type or select the project code to create a task for the selected project.
- At Date, type or select the start date and/or the end date to define the date range of the task.
- At Qty., Unit, Item, type the value to define the quantity of item required.
- Define other necessary information, and then click Save.
Keep in mind:
- All fields with the "!" icon are mandatory.
- Tasks can also be created via the Task button at Projects ➔ Planning ➔ Resource planning.
- To create a task only for people under the same cost center of the project manager, go to Projects ➔ Projects ➔ Maintain projects. Then, click Open to view an existing project. Under the Planning tab, click New: Task.
How do I create recurring tasks?
- From the Projects / Planning / Tasks screen, click New. The Planning screen will be displayed.
- At Project, type or select the project code to create a task for the selected project.
- At Date, type or select the start date and/or the end date to define the date range of the task.
- At Qty., Unit, Item, type the value to define the quantity of item required.
- Define other necessary information, and then click Recurring. The Recurring task screen will be displayed.
- In the Frequency section, select Daily, Weekly, Monthly, or Yearly to define the frequency of the recurrence.
- In the Repeat section, type the number of times for the task to recur, or define specify the date that the task should recur until.
- Click Save.
Keep in mind:
- All fields with the "!" icon are mandatory.
- Tasks can also be created via the Task button at Projects ➔ Planning ➔ Resource planning.

How do I view overview of resource planning and tasks?
- From the Projects / Planning / Tasks screen, click New, or select an existing task and click Open. The Planning screen will be displayed.
- Click Resource planning.
Fields
Project
Type or select a project to create a task for this project.
Date, to
Type or select a date or range of dates to create a task on or within this date(s). By default, the current date is selected as the start date.
Description
Type the description for the task.
Qty., Unit, Item
Type the quantity of the item required to perform the task.
The unit of measurement will be displayed based on the selection at Item, and cannot be edited.
Type or select an hour item to be linked to the task. Once selected, the unit of measurement defined in the corresponding hour item maintenance screen will be displayed at Unit.
Person, CCtr.
Type or select a person to plan this person for the task. Once selected, the cost center of the person will be displayed at CCtr.
Type or select a cost center code to plan the task to this cost center without specifying a person. Once selected, the name of the cost center is displayed on the left of the box. This information can only be edited if you do not define a person at Person.
Request, Attachment
Type or select a request to link this request to the task. Once selected, the description of the request is displayed in the next box.
Click to attach a file to the task.
Note
Type any extra description of the task, if required.
Price, Amount, G/L
Price displays the total price of the item selected at Item based on the quantity entered at Qty.
Amount displays the total amount of the cost incurred.
G/L displays the general ledger account selected at Realizations in the Financial tab of the corresponding hour item maintenance screen.
Buttons
Resource planning
Click this to obtain an overview of resource planning and tasks. For more information, see Overview of resource planning and tasks.
Recurring
Click this to define extra information for the recurring task.
Save
Click this to save the task.
Close
Click this to exit.
