It is possible to manage multiple company
databases in the system. For example, you may want to create a database for the
management of your company administration and another demo database for you to
explore the functionalities of the software without affecting your company
database. To manage the multiple databases, you should first create the
databases.
The information in this document is applicable
to product update 422 and higher. If you have versions lower than this, certain
features explained here will not be applicable.
Server
Select this option to create the database in another server
that is running on Microsoft SQL server. Type the name of the server in the
blank field.
Company no.
Type a company number for the new database. You can type a
number between "000" and "999".
Description
Type the name of the company.
Database directory
Type the directory of the folder where the database will be
created or clickto browse for the folder.
License file
Select this option to download the license file from the
Customer Portal, or type or select the directory of the license file that you
have stored in your local machine or network environment by clicking. The license file is required to
access the modules that you have purchased.
Download from customer portal
Select this option to download the license from the customer
portal. If there is more than one demo license for your credential, a list of
demo licenses will be displayed. Once a demo license is selected, a company
will be created with the demo license. However, the demo company will have a
grace period (defined by Exact) based on the Exact Synergy Enterprise setting.
By default, the customer demo license will have a validity of 30 days (subject
to changes). The demo license cannot be extended after the grace period. You
will have to switch to the customer license via the customer portal.
The demo company can only be used for 30 days starting from
the date the demo company was created. If the demo license is expiring, the
message “This demo license will expire in <14> days. To continue using
the company, please apply your own Exact license” will be displayed. However,
if the demo license has expired, the message “Your license has expired. The
demo period for this license has ended. To access the company you need to apply
your own Exact license” will be displayed. Once Close is clicked at the
error message, the demo company will not open.
Domain
Type the domain to download the license from the customer
portal.
Note: This field
is displayed only if the Download from
customer portal option is selected.
Username
Type the user name to download the license from the customer
portal.
Note: This field
is displayed only if the Download from
customer portal option is selected.
Password
Type the password to download the license from the customer
portal.
Note: This field is
displayed only if the Download from
customer portal option is selected.
Employee ID
Type the identification code of the employee who will be the
administrator of the new company database.
Login name
This displays the login name of the user accessing the
software.
Full name
Type the full name of the user.
Company with master data
Select this option to create a company database with
predefined master data.
Note: This option will be available depending on the
legislation of your license file or the selected legislation used with the demo
license.
Empty company
Select this option to create a company database without any
predefined master data.
Demo company
Select
this option to create a company database with demo data.
Import data
Select this option to create a company database with the master
data imported from another database. Before you can do this, you should export
the master data of the other database to a folder and then import the master
data from the same folder when creating the new company database. To select the
data to be imported, click Select at the Import data option. The
message “Only master data will be imported” will be displayed. Click OK.
At Import directory, type the folder directory where the master data
files are stored or click to browse for the folder. The
system will then automatically detect the available master files in the folder
and you will see the check boxes of the master data files selected
automatically. Click Close to save and exit.
Note: Only the master data from Exact for DOS
or Exact for Windows database can be imported.
Copy company
Select this option to copy the master data of an existing
company that is currently open in the system to the new company database.
Select the required check boxes to copy the relevant data from an existing company
to the new company database. Available options include:
- People - Select this check box to copy
the people from an existing company to the new company database.
- Access rights - Select this check box to
copy the access rights of users from an existing company to the new company
database.
- General ledger - Select this check box to
copy the general ledger accounts and their related information. For example,
the associated journals and the general ledger links from an existing company
to the new company database.
- Debtors/creditors - Select this check box
to copy the debtors and creditors from an existing company to the new company
database.
- Items - Select this check box to copy the
items and their related variant items from an existing company to the new
company database.
- Items by supplier - Select this check box
to copy the items that are linked to suppliers from an existing company to the
new company database.
Note:
This option will be enabled only if the language for collation and legislation
of the existing company are the same as the language selected for collation (as
defined in Language) and the legislation of the new database
respectively.
