Creating and maintaining vacancies
Introduction
Vacancies in an organization are open positions that require specific skills and experiences as outlined by the human resources department or department managers. Before you can create new vacancies, you must define the available job postings in your organization. With the vacancy records, you can keep track of the details of the vacancies such as the vacancy ID, manager in charge, and the cost center the vacancy belongs to.
Menu path
Go to HR ➔ Entries ➔ Vacancy, and then click New to create a new vacancy or Open to view and edit a vacancy.
Description
ID
Type a vacancy number. By default, the next available vacancy number is automatically generated by the system when a new vacancy is created. Once you click Save, the ID cannot be changed.
Manager
Type or select the manager who is responsible for the vacancy.
Subordinates
Click this to view all the employees reporting to the selected manager.
Cost center
Type or select the cost center that the vacancy is linked to. This information is mandatory.
Main location
Type or select the permanent office location where the vacancy is based at.
Job Title
Type or select a job title for the vacancy.
Start date
Type or select the start date for the vacancy. By default, it is the current date.
FTE
Type a Full Time-Equivalent (FTE) factor for the vacancy. By default, “1.0000” is filled in.
The FTE factor is calculated based on the Master Resource Schedule (MRS). For example, if an applicant is applying for a job with an MRS of 40 hours a week, which means the applicant is expected to work based on the standard work schedule of 40 hours a week, the FTE value will be 1.00000. However, if the applicant is applying for a job that requires only 20 hours a week, the FTE will be 0.50000. The value is calculated by dividing 20 with 40.
Focus
Type or select the job focus of this vacancy.
Skills
This displays the skills that are needed to fulfill the vacancy. You can add one or more skills to the vacancy.
Note: This section is available only when the job focus at Focus is defined and you have clicked Save.
New
Click this to add a new skill requirement to the vacancy.
Edit
Click this to modify the selected skill requirement.
Delete
Click this to delete the selected skill requirement.

Budget section
Year
Select the fiscal year for the budget you want to plan for.
Budget scenario
Type or select a budget scenario. The budget scenario code is defined at the budget scenarios screen (go to System ➔ Finance ➔ Budget scenarios, select the relevant budget scenario and click Open). For more information, see Selecting budget scenario and Creating and maintaining budget scenarios.
G/L account/Component
Select the required grouping to group the budget and/or actual depreciation costs as well as the revenue in the results.
New
Click this to create a new budget line for the selected vacancy. Each budget is linked to a budget scenario. For more information, see Creating and maintaining budget scenarios.
Edit
Click this to modify the selected budget line of the vacancy.
Delete
Click this to delete the selected budget line of the vacancy.
Authorize
Click this to authorize the selected budget you have created.
Buttons
Authorize
Click this to authorize the selected inactive vacancy. The Authorize button is only available for Inactive and Rejected vacancies that are reopened. This will change the status of the vacancy to Active. For more information, see Overview of vacancies.
Reject
Click this to reject the selected vacancy. You can only reject vacancies that are Active or Inactive. This will change the status of the vacancy to Rejected. For more information, see Overview of vacancies.
Reopen
Click this to reopen the selected vacancy to change the status from Rejected to Inactive. For more information, see Overview of vacancies.
Save
Click this to save the vacancy created.
New
Click this to create a new vacancy. All new vacancies will have the Inactive status.
Close
Click this to exit.
