Introduction
In Exact Globe+, you can view the details of all processed sales invoices, direct invoices, credit notes (also known as credit invoices), commission invoices, and/or point-of-sales (POS) invoices. You can use this overview to quickly retrieve details of processed invoices or to print invoices. You can also use this overview to view the accompanying orders and financial details.
From this overview, you can:
- record notes
- view and/or add attachments to the selected invoice or credit note
- view the sales order of the selected invoice or credit note
- view the delivery note of the sales order
- create credit notes manually or based on invoice
- print and process the invoices or credit notes
- create duplicate copies of invoices based on processed invoices, or
- modify the information of the selected invoice or credit note.
What version are you using?
The information in this document is applicable to product update 503 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I view the invoice or credit note?

In the Invoice > Reports > Invoice history screen, define the search criteria fields.

Click Search.

Select a record in the overview.

How do I copy the invoice or credit note?

In the Invoice > Reports > Invoice history screen, define the search criteria fields.

Click Search.

Select a record in the overview.

Click Copy. You will see the Copy: Invoices screen.

Type or select the invoice code at Invoice code.

Select the Copy: Sales employees check box if you want to copy the sales employees of the selected invoice history.

Click Generate.
How do I print the invoice or credit note?

In the Invoice > Reports > Invoice history screen, define the search criteria fields.

Click Search.

Select a record in the overview.

Click Print. You will see the print screen.

Define the fields.

Click Print. For more information, see Printing processed invoices.
How do I create a credit note for the invoice?

In the Invoice > Reports > Invoice history screen, define the search criteria fields.

Click Search.

Select a record in the overview.

Click Credit note. You will see the Enter credit notes screen.

Define the fields.

How do I view the delivery note of the invoice or credit note?

In the Invoice > Reports > Invoice history screen, define the search criteria fields.

Click Search.

How do I view the sales order of the invoice or credit note?

In the Invoice > Reports > Invoice history screen, define the search criteria fields.

How do I view the attachments of the invoice or credit note?

In the Invoice > Reports > Invoice history screen, define the search criteria fields.

How do I create and/or view the note of the invoice or credit note?

In the Invoice > Reports > Invoice history screen, define the search criteria fields.

Click Search.

Select a record in the overview.

Click Note. For more information, see Creating and maintaining notes.
How do I update the VAT number of the invoice or credit note?

In the Invoice > Reports > Invoice history screen, define the search criteria fields.

Click Search.

Select a record in the overview.
-
Click Change. You will see the VAT number screen.

Type the VAT number at VAT number.

Click OK.
How do I view the emails of the invoice or credit note?

In the Invoice > Reports > Invoice history screen, define the search criteria fields.

Click Search.
-
Select a record in the overview.
-
Click E-mail history. You will see the E-mail history screen.

Select an email.
-
Click Open.
Fields
You can filter the invoices that you want to display. To search for invoices, you can define one or more of the following criteria and click Search. The invoices that match the defined search criteria are then displayed. A list of options will be displayed if you click at Invoice to, Ordered by, and other fields. From the list, select an option and click Select.
Note: It is possible that not all columns are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.
Search
Click this to search for invoices or credit notes based on the defined criteria.
Clear
Click this to clear the defined criteria.
< and >
Type the number of rows to be displayed in each screen. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, the < and > buttons will become available.
Refresh
Click this to refresh the search results.
Filter
Click this to go to hide the fields.
Columns
Click this to select the columns that you want to be displayed in the overview.
Warehouse
Select the warehouse to display invoices or credit notes belonging to the selected warehouse. Select All to display invoices belonging to any warehouse.
Note: This field is available only if you have E-Warehouse Management in your license.
Our ref.
This refers to our reference number. Type a full or partial your own reference number (internal reference number) to display invoices or credit notes that match the entered reference number.
External number
Type the external number to display invoices or credit notes processed with the entered external number. External numbering is required for most type of transactions and must meet the legal requirements of the country. Each country has its own predefined external numbering format. Only one external number is assigned to a document or invoice and is assigned on the actual transaction, which is during the printing of the invoice.
Note: This field is available only if you have selected the Use external numbering check box in Number settings at .
Invoice date
Type or select an invoice date or range of invoice dates to display invoices or credit notes processed within the selected period. Select the All check box to display invoices or credit notes processed on any date.
Note: Typing or selecting only the start date display invoices or credit notes that are processed on and after the selected date. Typing or selecting only the end date will display invoices or credit notes that are processed on and before the selected date.
Invoice to
Type or select the ID or name of the customer who received the invoices or credit notes.
Ordered by
Type or select the ID or name of the customer to display invoices or credit notes of sales orders placed by the selected customer.
Advanced/Simple
Click Advanced to display more criteria. You will see Selection code, Representative, Order, Delivery note number, Your ref., and Description. Click Simple to hide the additional criteria.
Selection code
Type or select the selection code to display invoices or credit notes with the selected selection code.
Representative
Type or select the ID or name of the person to display invoices or credit notes handled by the selected person.
Order
Type or select a sales order number to display the invoices or credit notes of the selected sales order.
Delivery note number
Type or select the delivery note number to display invoices or credit notes with the selected delivery note number.
Your ref.
Type a full or partial customer’s reference to display invoices or credit notes that match the entered reference.
Description
Type a partial or full description to display invoices or credit notes that match the entered description.
Status, type
This line displays the status and classification of the debtor who received the selected invoice or credit note.
Credit line
This line displays the credit line or the credit limit of the debtor who received the selected invoice or credit note. You can set the credit limit or credit line of a debtor by typing the limit in Credit line under the Financial tab in the debtor maintenance at and then select the relevant debtor.
Receivables
This line displays the total amount of outstanding payment for the selected debtor. If the amount has exceeded the credit limit, a red cross will be displayed. If the amount is below the credit limit, you will see a green check mark.
Type section
In this section, select the type of invoice you want to display. You can select more than one option. The following options are available:
- Sales invoice — Normal sales invoices registered at .
- Direct invoice — Direct invoices registered at .
- Credit note — Credit notes registered when sold items are returned.
- Commission invoice — Commission invoices generated with E-Commission invoices. This option is only shown if you have E-Commission invoices in your license.
- POS — Invoices generated with E-POS. This option is only shown if you have E-POS in your license.
Buttons
Close
Click this to exit.
Open
Click this to view and edit the selected invoice or credit note. For more information, see Creating and maintaining sales invoices.
Note: This button is enabled only if you have selected a line.
Copy
Click this to view the list of processed invoices from the invoice history. When the Invoice history screen is displayed, select the invoice you want to copy and then click Copy to copy the details in the invoice to a new invoice. For more information, see Copying invoices.
Note: This button is enabled only if you have selected a line.
Print
Click this to print the selected invoice. For more information, see Printing processed invoices.
Note: This button is enabled only if you have selected a line.
Credit note
Click this to create a new credit note. For more information, see Creating credit notes based on invoices.
Note: This button is enabled only if you have selected a line.
Delivery note
Click this to view the delivery note. For more information, see Viewing delivery notes.
Note: This button is enabled only if you have selected a line and the selected invoice has been generated from a sales order and the items from the sales order have been fulfilled.
Sales order
Click this to view the sales order that is linked to the selected invoice or credit note. For more information, see Creating and maintaining sales orders.
Note: This button is available only if the invoice has been generated from E-Sales Order.
Attachment
Click this to attach a new document or view the documents that are attached to the selected invoice or credit note. For more information, see Viewing attached documents.
Note: This button is enabled only if you have selected a line.
Note
Click this to type a new note or view the notes that are recorded for the selected invoice or credit note. For more information, see Creating and maintaining notes.
Note: This button is enabled only if you have selected a line.
Change
Click this to change the VAT number for the selected invoice or credit note.
E-mail history
Click this to view the emails that you have sent for the selected invoice or credit note.
Note: This button is enabled only if you have selected a record with E-mail as the Invoice sending method.
