Free fields
Introduction
On this page, you can view a list of available free fields as well as define the free fields. If the fields that you want are not listed in the personal, applicant, and vacancy cards, you can name the fields according to your needs. For example, if you want to store the Skype ID of the personnel or applicant, you can type “Skype ID” under a free field that is meant for text use. You can define up to 20 free fields.
Roles and rights
All users can view this page. However, to define or modify free fields, function right 89 — Maintain free fields for a division is required.
By default, users with the General manager or HR role have this function right.

What version are you using?
The information in this document is applicable to product update 259 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I modify the free fields?
- On the HRM: Free fields page at Division, type or select a division code to define the free fields for the selected division.
- Click Show.
- Click one of the hyperlinks under the Field column to indicate the free field to modify.
- At Label, type the name of the free field.
- Click Save.

Click this to exit.
Show
Click this to display the results according to the defined criteria.
Note: Once you have clicked this button, the name of the button will change to Refresh.
Refresh
Click this to update the results according to the defined criteria.
Field
Division
Type or select a division code to display the free fields for the selected division. By default, the division of the person who is logged in to Exact Synergy Enterprise will automatically be filled. Once a division is filled, you can view the details of the division by clicking the name of the division displayed next to the box. For more information, see Viewing division cards.
Columns
Field
This column displays the free fields. You can click the hyperlinks to modify the names of the fields. For more information, see Defining free fields.
Label
This column displays the names of the fields that have been user-defined.
Description
This column indicates the categories of the free fields. The categories are:
- Free field (Text) — This free field allows you to fill in information in alphanumeric characters. You can define up to five free fields for this category.
- Free field (Date) — This free field allows you to fill in dates. You can define up to five free fields for this category.
- Free field (Number) — This free field allows you to fill in information in numeric characters. You can define up to five free fields for this category.
- Free field (YesNo) — This free field is a form of check box, which allows you to select or clear the check box. You can define up to five free fields for this category.
