Introduction
A Layout screen will be displayed when you click at
any of the fields in this screen. You can insert a calculation field to a
layout by selecting Insert followed by Calculation field from the
menu displayed when you right-click on the particular layout. Alternatively,
you can click Edit on the menu bar of the layout maintenance screen, and
then select Insert followed by Calculation field to add a calculation
field to the layout.
What version are you using?
The information in this document is applicable to product
update 407. If you have versions lower than this, certain features explained
here will not be applicable.
How do I insert calculation fields?
- In
the Documents settings screen, click at
any of the fields to display the Layout screen.
- A
list of layout names and descriptions will be displayed.
- Select
an existing layout and click Edit to open and edit the existing layout.
- Right-click
anywhere on the layout, point to Insert and click Calculation field.
- Alternatively,
click Edit on the menu bar at the top of the screen and point to Insert,
and then click Calculation field to add a calculation field to the layout.
- In
the Calculation field screen, select the block where you want to add the
calculation field at Block.
- Define
other relevant fields accordingly.
- Click
OK.

Block
Select the block to which you want to insert the calculation field. For
more information on blocks, see Maintaining
layouts: Explanation on blocks.
Expression
This displays the calculation formula you have created when you click Change
expression.
Introductory
text
Type the introductory text for the calculation field.
Subsequent
text
Type the subsequent text for the calculation field.
Note: You cannot create the introductory and/or
subsequent text if you have selected Bar code under the Result section
as the result of calculation.
Before
decimal
Type the number of spaces before the decimal point to be filled up at a
field in the layout.
After
decimal
Type the number of spaces after the decimal point to be filled up at a
field in the layout. For example, if you set the after decimal separator to 2,
the amount 835.9764 will be displayed as 835.98 in the layout.
Label
Type the label for the calculation field. By labeling a calculation
field, you can select the calculation field and use it in another calculation
field.
Result
Select the result of the calculation formula. The options available are:

Number,
- Text,
- Date, or
- Bar code.
Hide
field
Select this check box if you want to hide the calculation field in the
layout during printing.
Thousands
sep
Select this check box if you want the numbers in the layout to be
displayed with the thousand separator. For example, for the amount of one
thousand, it will be recorded as 1,000 in the layout.
Note: This function is available only if you have
selected Number under the Result section as the result of the
calculation.
Multiple:Lines
Select this to display the result in multiple lines.
Note: This function is available only if you have selected
Text under the Result section as the result of the calculation.
Show
century
Select this to show the year in date.
Note: This function is available only if you have selected
Date under the Result section as the result of the calculation.
Select the bar code system at this field. The options available are:
- EAN-8,
- EAN-13,
- UPC-A,
- EAN-128, and
- CODE39.
Note: This function is available only if you have selected
Bar code under the Result section as the result of the
calculation.
Leave
out if blank
Select this check box if you want the layout to leave out any calculation
field that has not been defined.
Unit
Select the unit of numbers that you want your data to be displayed in
the layout at this field. This is useful if you work with extremely huge or
small numbers. For example, if you set the unit to 1000000, the quantity for
47,000,000 will be displayed in the layout as 47.
Note: This function is disabled if you have selected
Bar code under the Result section as the result of the
calculation.
Alignment
calculation field/Align introductory text/Align subsequent text
Select the alignment for the calculation field, introductory text, and
subsequent text. The options available are:
- Left align
-
Right align
-
Place next to previous field with space in between, and
- Place next to previous field without space
Note: This function is disabled if you have selected
Bar code under the Result section as the result of the
calculation.
Change expression screen
Note: The Change expression screen will be
displayed only when the Change expression button is clicked in the Calculation
field screen.
Database
fields
Select the database fields to be used in the calculation. Click to
add the selected database field(s) into the Expression column.
To add more than one database field to the Expression
column, you need to place the cursor to the right of the database field which
has been added to the Expression column before clicking to
add another database field to the Expression column.
Calculation
fields
Select existing calculation field(s) to be used in the calculation. To
do this, you need to give a label to the existing calculation fields. Click to
add the selected calculation field into the Expression column.
To add more than one database field to the Expression
column, you must first place the cursor to the right of the calculation field
which has been added to the Expression column before clicking to
add another selected calculation field to the Expression column.
Function:
concat/replace/round/trim
Select the calculation function. Click to
add the selected function to the Expression column. The options
available are:
- concat( <String value>;<String value> )
Select this to add two or more fields. For example, select this option if you
want the “Home address” and the “Postcode” to be placed next to each other in between
a fixed number of spaces.
- replace( <String value>;<Old
characters>;<New> )
Select this to replace a certain value with a new value. For example, the
formula replace( <Debtor number>; 1000; “good” ) will see the layout being
printed as “good” to replace the debtor number “1000” if the document concerns
this debtor.
- round( <Number>;<Basis for rounding off> )
Select this to round off an amount based on the rule you set.
- Trim( <String value> )
Select this to remove any possible spaces that precedes a field.
Expression
This displays the formula (database fields and calculation fields
involved, and the calculation functions used) for the calculation field. You
can also type or change the calculation formula here.
Buttons
Calculation field screen
Change
expression
Click this to create the calculation formula.
Color
-
Introductory text – Click this to select a color for the
introductory text.
- Subsequent text – Click this to select a color for the
subsequent text.
- Database field – Click this to select a color for the
database field.
OK
Click this to insert the calculation field in the layout.
Cancel
Click this if you do not want to insert the calculation field in the
layout.
Change expression screen
Note: The Change expression screen will be
displayed only when the Change expression button is clicked in the Calculation
field screen.
Operators
Click this to display all the possible mathematical symbols and numbers
that can be used in the Expression column. Click at the symbols and/or
numbers to add them to the Expression column.
OK
Click this to save the formula settings and to exit.
Cancel
Click this to cancel the formula settings and to exit.
