Viewing creditor cards

Introduction
This screen displays the financial transactions that are
related to the creditor card. You can also filter the transactions to show only
those that are required.
What version are you using?
The
information in this document is applicable to product update 407 and higher. If
you have versions lower than this, certain features explained here will not be
applicable.
How do I view the creditor card?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
How do I print the financial entries of the selected creditor account?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Click Print.
How do I export the financial entries to Microsoft Excel?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Click Export.
How do I view the graph of the creditor account?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Click Graph.
- Select the
options.
- Click Start.
How do I view the details of the financial entry for the selected general
ledger account?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Select the
general ledger account.
- Click Zoom.
Keep in mind: The Zoom button is enabled only
if a general ledger account is selected, and displayed only if the All option
at Display is selected.
How do I add or view the notes for the financial entry?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Select the
financial entry.
- Click Note.

Keep in mind: The Note button is displayed
only if the Card option at Display is selected, and enabled only
if a financial entry is selected.
How do I attach or view the document for the financial entry?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Select the
financial entry.
- Click Attachment.

Keep in mind: The Attachment button is
displayed only if the Card option at Display is selected, and
enabled only if a financial entry is selected.
How do I view the outstanding invoices of the creditor account?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Click Ageing.
How do I view the payment specification of the creditor account?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Select the
financial entry.
- Click Payment
specification.
Keep in mind: The Payment specification button
is displayed only if the Payables or Invoice list option at Display
is selected, and enabled only if a financial entry is selected.
How do I view the details of the financial entry?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Select the
financial entry.
- Click Details.
Keep in mind: The Details button is displayed
only if the Card, Payables, or Invoice list option is
selected, and enabled only if a financial entry is selected.
How do I export the invoices to be received to Microsoft Excel?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Click Logistics.
Keep in mind: The Logistics button is
displayed only if the Card option at Display is selected.
How do I view and edit the details of the creditor account?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- Click Maintain.

How do I match the invoices with the payments?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.

How do I update the financial entries?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.

financial entry.
- Click Change.

only if the Card option at Display is selected, and enabled only

How do I view, edit, or create financial entries?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Select the
financial entry.
- Click Entry.

How do I view or update the financial transaction details in the
Transaction screen?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the

- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Select the
financial entry.
- Click Our ref.
Keep in mind: The Our ref. button is displayed

How do I view or update the financial transactions in the Your ref screen?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Select the
financial entry.
- Click Your
ref.
Keep in mind: The Your ref. button is
displayed only if the Card, Payables, or Invoice list
option at Display is selected, and enabled only if a financial entry is
selected.
How do I view or update the financial transactions in the Terms screen?
- In the Finance
> Accounts payable > Cards screen, define the search criteria.
- Click Search.
- Select the
creditor account.
- Click Display.
- In the Creditor
card screen, define the search criteria.
- Click Refresh.
- Select the
financial entry.
- Click Payment
reference.
Keep in mind: The Payment reference button is
displayed only if the Payables or Invoice list option is selected
at Display, and enabled only if a financial entry is selected.
Fields
Click this to hide or expand the search criteria.
Date/Reporting date/Financial year
Type or select a date or a range of dates, or a financial
period or a range of financial periods linked to the creditor account.
Select the All check box to display the financial entries with any date.
Note: The label of the field will depend on the range
selected at Range.
Display
Select one of the following options to specify the display
type accordingly:
- Card — Select this option to display the transaction lines
of the selected creditor account.
- Payables — Select this option to display the outstanding
payments, purchase invoices, credit notes, and others of the selected creditor
account.
- Invoice list — Select this option to display the invoice
lists of the selected creditor account.
- All — Select this option to display all the financial
entries related to the transaction lines.
Group by
Select one of the following groups to display the search
results accordingly:
- None
- Our ref.
- Your reference
- Payment reference
- Order number
- Run number
- Match ID
- Cost center
- Cost unit
- Person
- Payroll component
- Project
- G/L
- Journal
- Offset account
- Period
- Selection code
- Currency
- Date
- Week
- Month
- Quarter
- Year
- Our ref.+Entry number
Note:
- The buttons will be displayed based on the Group by that
you have selected. None displays all the buttons.
- The options at Group by will depend on the option selected
at Display.
Transaction
Select one of the following transaction types to display the
search results accordingly:
- All
- Purchase invoice
- Purchase credit note
- Payment
- Cash Receipt
- Fulfillment
- Returns: fulfillment
- Receipt
- Returns: receipts
- Counts
- Payroll
- Revaluation
- Disposal
- Other
- Reversal entry
By default, All is selected.
Note: This field is not enabled if the Invoice
list option at Display is selected.
Range
Select one of the following date types to display the search
results accordingly:
- Date
- Reporting date
- Period
- Fulfillment date
Note: The date type available for selection will
depend on the option selected at Display.
Unprocessed
Select this check box to display the search results
according to the unprocessed entries.
Note: This check box is displayed if the Card or
All option is selected at Display.
Show opening & closing balance
Select this check box to display the opening and closing
balance of the creditor card based on the defined date or reporting date
range.
Note:
- This check box is displayed only if the Card option at Display
is selected, and the date range is defined at Date or Reporting date.
- This check box is also displayed if the Payables option at
Display is selected, the date range at Date or Reporting date is
defined, and the Show: Matched & Unmmatched check box is selected.
Payments in transit
Select one of the following payments in transit to display
the search results accordingly:
- Including
- Payments in transit
- Excluding
For more information on payments in transit, see Overview
of payments in transit.
Note: This field is displayed only if the Payables
option at Display is selected.
Invoices to be received
Select this check box to display the search results
according to the purchase orders or received items that are yet to be invoiced.
Note: This check box is displayed only if the Payables
option at Display is selected.
Show: Matched & Unmatched
Select this check box to display the search results
according to the matched and unmatched invoices and payments for the specified
date.
Note: This check box is displayed only if the Payables
option at Display is selected. The Opening balance for the
creditor account will is also be displayed if the Show: Matched &
Unmatched check box is selected.
Show: Analytical values
Select this check box to display the search results based on
the analytical values for the project, cost center, or cost unit.
Note: This check box is displayed only if the Payables
option at Display is selected.
Purchase invoice
Select this check box to display the search results
according to the transaction type of the purchase invoice.
Note: This check box is displayed only if the Invoice
list option at Display is selected.
Matching
transactions icon
Click this to display only the matching transactions of the
selected creditor account.
Note: This button is displayed only if the Payables
option at Display is selected, and the Show: Matched & Unmatched check
box is selected.
Other discounts
Click this to view the other discounts for the transaction
type with discount or surcharge.
Note: This button is displayed only if the Payables
option at Display is selected, and enabled only if the Discount/Surcharge
transaction type is selected.
Search icon
Click this to search for the entries based on the defined
criteria.
Note: This button is displayed only if the Card
option at Display is selected.
Rows
Type the number of rows to be displayed for each list of
entries. If you have set the default number of rows to “10”, then 10 rows will
be displayed. Therefore, if you have more than 10 rows listed, the Previous
and Next buttons will be enabled.
Note: This button is displayed only if the Card
option at Display is selected.
Previous
Click this to return to the previous list of entries.
Note: This button is displayed only if the Card
option at Display is selected.
Next
Click this to display the next list of entries.
Note: This button is displayed only if the Card
option at Display is selected.
Filter icon
Click this to expand or hide the following search criteria:
Filter
Select the required option to filter the search that starts
with or contains a certain letter or word.
Our ref.
Type the our reference number to display the entries with
the our reference number.
Your reference
Type the your reference number to display the entries with
the your reference number.
Order
Type the order number to display the entries with the order
number.
Entry number
Type the entry number to display the entries with the entry
number.
Description
Type a full or partial description to display the entries
that match this description.
GL account
Type or select a general ledger account to display the
entries with the general ledger account.
Debtor
Type or select the debtor to display the entries for the
debtor.
Note: This field is enabled only if the All option
at Display is selected.
Journal
Type or select the required journal number to display the entries
with the journal number.
Note: This field is enabled only if the Card
or All option at Display is selected.
Person
Type or select the required person to display the entries
for the person.
Note: This field is enabled only if the Card
or All option at Display is selected.
Item
Type or select the required item code to display the entries
with the item code.
Note: This field is enabled only if the Card
or All option at Display is selected.
Project
Type or select the required project to display the entries
with the project.
Note: This field is enabled only if the Card,
Invoice list, or All option at Display is selected.
Cost centre
Type or select the cost center to display the entries with
the cost center.
Note: This field is enabled only if the Card,
Invoice list, or All option at Display is selected.
Cost unit
Type or select the cost unit to display the entries with the
cost unit.
Note: This field is enabled only if the Card,
Invoice list, or All option at Display is selected.
Warehouse
Type or select the required warehouse to display the entries
with the warehouse.
Note: This field is enabled only if the Card or
All option at Display is selected.
Currency
Type or select the required currency to display the entries
with the currency.
Selection code
Type or select the required selection code to display the entries
with the selection code.
Note: This field is enabled only if the Card
or All option at Display is selected.
Amount
Select one of the following conditions to display the search
results accordingly:
- All
- equal to
- not equal to
- less than
- less than or equal to
- greater than
- greater than or equal to
- between
- not between
Results section
This section displays the entries based on the search
criteria.
Note: If the Show: Matched & Unmatched
check box is selected, the actual payment date of the sales or purchase invoice
will be displayed in the Date paid column in the results section.
Foreign
currency icon
Click this to group and display the transactions by currency
if more than one currency is created.
Note: This button is displayed only if the Card or
Payables option at Display is selected.
Payments and
Receipts icon
Click this to view the payments and receipts of the
financial entry.
Note: This button is displayed only if the Invoice
list option at Display is selected.
Buttons
Refresh
Click this to update the results according to the
search criteria.
Print
Click this to print the financial entries of the
selected creditor account based on the search criteria.
Export
Click this to export all the displayed financial entries
to Microsoft Excel.
Graph
Click this to view the graph and data for the creditor
account based on the individual month or cumulative months in Microsoft Excel.
Zoom
Click this to view the details of the selected general
ledger account.
Note: This button is available only if the All
option at Display is selected, and enabled only if an entry in the
transaction line is selected.
Note
Click this to add a note, or view existing notes for the
financial entry. For more information, see Creating and maintaining notes.
Note: This button is available only if the Card
option at Display is selected, and enabled only if an entry in the
transaction line is selected.
Attachment
Click this to attach a document, or view the documents
that are attached to the financial entry. For more information, see Viewing
attached documents.
Note: This button is available only if the Card
option at Display is selected, and enabled only if an entry in the
transaction line is selected.
Ageing
Click this to view the outstanding invoices of the
selected creditor account.
Payment specification
Click this to view the payment specification of the
selected creditor account.
Note: This button is available only if the Invoice
list option at Display is selected, and enabled only if an entry in
the transaction line is selected.
Details
Click this to view the Purchase invoice screen
of the selected entry.
Note: This button is available only if the Card,
Payables, or Invoice list option at Display is
selected, and enabled only if an entry in the transaction line is selected.
Logistics
Click this to view, and export the invoices to be
received entry or entries to Microsoft Excel.
Note: This button is available only if the Card option
at Display is selected.
Maintain
Click this to edit, or view the selected creditor
account. For more information, see Creating and maintaining accounts payable.
Match
Click this to match the invoice(s) with the relevant
payment(s). For more information on matching entries, see Matching payments
or receipts to invoices.
Change
Click this to modify, or update the selected entry with
different criteria. For more information, see Changing transactions.
Note:
- This button is available only if the Card option at Display
is selected, and enabled only if an entry in the transaction line is selected.
- The Transactions section is displayed when Advanced
in the Change screen is clicked. Click Simple to hide the Transactions
section.
Entry
Click this to display, edit, or create an entry. You
can also perform further actions to display and maintain the entry card, or
create a new creditor card. For more information, see Creating and
maintaining general journal entries.
Note: This button is available only if the Card
option at Display is selected, and enabled only if an entry in the
transaction line is selected.
Our ref.
Click this to view or update the financial transaction details
of the selected entry in the Transaction screen. You will see all the
transactions grouped by the Our ref. number.
Note: This button is available only if the Card,
Payables, or Invoice list option at Display is selected, and
enabled only if an entry in the transaction line is selected.
Your ref.
Click this to view or update the financial transaction details
of the selected entry in the Your ref. screen.
Note: This button is available only if the Card,
Payables, or Invoice list option at Display is selected, and
enabled only if an entry in the transaction line is selected.
Payment reference
Click this to view or update the financial transaction
details of the selected entry in the Terms screen. All the transactions
related to the same payment reference will be displayed.
Note:
- This button is available only if the Payables or Invoice
list option at Display is selected, and enabled only if an entry in
the transaction line is selected.
- This button is not enabled if the Payment reference
column is blank.
Close
Click this to exit.
