Overview of historical account balances

Introduction
The overview of historical account balances is intended to give a clear understanding of the outstanding balances (historically) in the administration compared to the budgeted balance of data from the previous year. You can generate the historical debtor account balances at Finance ➔ Accounts receivable ➔ Receivables ➔ Receivables history. To generate the historical creditor account balances go to Finance ➔ Accounts payable ➔ Payables ➔Payables history.
How do I generate historical account balance reports for debtors?
- Go to Finance ➔ Accounts receivable ➔ Receivables ➔ Receivables history.
- Define the search criteria.
- Click Start.

Fields
Layout section
Columns
Select Previous year to display the closing balance of the previous year, or Budget to display the budgeted balance. This allows the comparison of figures from the current financial year with the set budgets or the results from the previous year. By default, Previous year is selected.
Factor
Select the factor to display the amounts in the overview. Choose from 1, 10, 100, 1000, or 1000000. These numbers are useful when working with large amounts because the system will divide the amounts found in the overview with the selected factor. For example, if you have selected a factor of 1000, an amount of “350,000” Euro is displayed as “350” instead. By default, 1 is selected.
Precision
Select the number of digits after the decimal point (for rounding up the amounts). You can specify up to 3 digits. By default, 0 is selected.
Sorting
Select Debtor code to sort the overview by debtor code, or Name to sort by debtor name. By default, Debtor is selected.
Unprocessed
Select this check box to include the data that has not been processed.
Only with balance
Select this check box to display only debtors or creditors that have a closing balance.
Note: If this check box is selected, only the debtors or creditors with a closing balance for the year or period selected will be displayed. The total of the opening balance in the report will not correspond with the opening balance of the general ledger account card.
Invoice currency
Select the required option to determine whether the invoice currency is based on All – Invoice currency, All – Default currency, the default currency, or any foreign currencies that are registered in the settings. If you select a foreign currency, only the entries that have been posted in that currency are selected. If you select All – Invoice currency, or All – Default currency, all the outstanding account balances are displayed irrespective of the currency code. This option is available only if Previous year has been selected at Columns. By default, the All – Default currency is selected.
Range section
Financial year
Select the required financial year to be generated in the overview.
Date / Reporting date
Select the Date or Reporting date to display the overview by entry date or reporting date.
Date / Reporting date
Type or select the range of dates or reporting dates to be displayed in the overview. Alternatively, select the All check box to display the historical account balances with any date. This option is dependant on what you select at the above Date / Reporting date.
Debtor
Type or select the range of debtor codes to generate the overview of account balances per debtor. Alternatively, select the All check box to display the historical account balances with any debtor code.
Classification
Type or select the range of classification codes to generate the overview of account balances per classification. Alternatively, select the All check box to display the historical account balances with any classification code.
Country
Type or select the country code of a particular debtor you want displayed in the overview.
GL account
Type or select the range of general ledger account numbers to generate the overview of account balances for the general ledger accounts that are part of the debtors’ administration. Alternatively, select the All check box to display the historical account balances with any general ledger account number.
Cost center
Type or select the range of cost centers to generate the overview of account balances per cost center. Alternatively, select the All check box to display the historical account balances with any cost center.
Cost unit
Type or select the range of cost units to generate the overview of account balances per cost unit. Alternatively, select the All check box to display the historical account balances with any cost unit.
Budget scenario
Type or select a budget scenario. You can view the budgeted amount based on the selected budget scenario for the same period, and the variance in percentage. This option is only available if Budget is selected at Columns.
Buttons
Start
Click this to generate the historical account balance report according to the search criteria.
Close
Click this to exit.
