On this page, you can add absence entitlements for a selected person or division.
You can also impose expiry dates on the entitlements given to the employees by selecting the Apply expiry date check box. Subsequently, when a period is closed, the system will automatically calculate the statutory and non-statutory entitlements according to the expiry period defined on this page.
However, if the Apply expiry date check box is selected for existing entitlements, and the effective period and year defined are not concurrent with the period in the financial year, you need to close the affected HR period manually (for entitlements generated before the application of the expiry dates) to recalculate these entitlements according to the defined expiry dates for the statutory and non-statutory entitlements. Whenever required, you can make changes to the expiry periods of historical entitlements at HRM à Setup à Miscellaneous à Entitlement expiry date adjustment. For more information, see Modifying historical entitlements manually. Also, you can correct the absence balance by creating requests for credit or correction days. To add or modify the entitlements for people or divisions, function right 145 — View Resource card or function right 90 — Maintain division is required. Users with the HR and HR assistant roles have these function rights, while users with the General manager role have the latter function right.

The name of the section is dependent on the person or division selected. Additionally, the names and types of the fields displayed are dependent on the absence type selected at Type.
Select the type of the absence entitlement. This is mandatory.
Note: This field cannot be edited if you are modifying an existing absence entitlement.
Select this check box to impose an expiry date for statutory and non-statutory entitlements.
When this check box is selected, the Effective period/year, Statutory entitlement, and Non-statutory entitlement fields will be displayed in either sections or columns at the bottom of the page depending on the entitlement basis selected. For more information on the entitlement basis, see Creating and modifying request types - Actions tab.
Note: By default, this check box is not selected.
Type the number of entitlements in days or hours to be given to the selected person or division.
Type the period, and then select the year of which the entitlements should take effect for the selected person or division.
Note: The effective period defined must correspond to an existing period as defined in the financial year for the division. If an invalid period is defined, or if there is no financial year defined when the Apply expiry date check box is selected, an error message will be displayed. You will not be able to save the settings.
Type the expiry period for the statutory entitlements. This can be defined in week(s), month(s), or year(s). The calculation of the expiry period will be executed after the current calendar year.
Type the expiry period for the non-statutory entitlements. This can be defined in week(s), month(s), or year(s). The calculation of the expiry period will be executed after the current calendar year.
Type the service year limit for the defined statutory and non-statutory entitlements.
Note: This field will be displayed in the Years column and is available only for the service year entitlement basis.
Type the age limit for the defined statutory and non-statutory entitlements.
Note: This field will be displayed in the Age column and is available only for the age entitlement basis.
