Adding or modifying entitlements for people or divisions
Menu paths

To add absence entitlements for people, go to HRM à Reports à People à People, define the relevant criteria, and then click Show. Next, click the name of the person in the Name column. Then, click Entitlements under the Monitor section. Finally, click New.

To add absence entitlements for divisions, go to HRM à Setup à Schedules à Default work schedule, and then click the hyperlink in the Division column. Next, click Entitlements. Finally, click New.

To modify the absence entitlements for people, go to HRM à Reports à People à People, define the relevant criteria, and then click Show. Next, click the name of the person in the Name column. Then, click Entitlements under the Monitor section. Finally, click the hyperlink in the Absence type column.

To modify the absence entitlements for divisions, go to HRM à Setup à Schedules à Default work schedule, and then click the hyperlink in the Division column. Next, click Entitlements. Finally, click the hyperlink in the Absence type column.
Introduction
On this page, you can add absence entitlements for a selected person or division.
You can also impose expiry dates on the entitlements given to the employees by selecting the Apply expiry date check box. Subsequently, when a period is closed, the system will automatically calculate the statutory and non-statutory entitlements according to the expiry period defined on this page.
However, if the Apply expiry date check box is selected for existing entitlements, and the effective period and year defined are not concurrent with the period in the financial year, you need to close the affected HR period manually (for entitlements generated before the application of the expiry dates) to recalculate these entitlements according to the defined expiry dates for the statutory and non-statutory entitlements. Whenever required, you can make changes to the expiry periods of historical entitlements at HRM à Setup à Miscellaneous à Entitlement expiry date adjustment. For more information, see Modifying historical entitlements manually. Also, you can correct the absence balance by creating requests for credit or correction days. Roles & rights
To add or modify the entitlements for people or divisions, function right 145 — View Resource card or function right 90 — Maintain division is required. Users with the HR and HR assistant roles have these function rights, while users with the General manager role have the latter function right.

How do I create or modify existing entitlements of a person or division?

On the HRM: Person – Entitlements or HRM: Division – Entitlements page, click New to create an entitlement for the selected person or division. Otherwise, on the respective pages, select the required type of entitlement to be edited for the selected person or division.

Define the fields.

Click Save, and then Close to exit.
Note:

If an invalid period is defined, or if there is no financial year defined when the Apply expiry date check box is selected, an error message will be displayed. You will not be able to save the settings.
Buttons
Save
Click this to save the absence entitlement.
Note: This is available only when you are adding an absence entitlement for a person or division.
Save + New
Click this to save the details of the absence entitlement and add another entry for the person or division.
Note: This is available only when you are adding an absence entitlement for a person or division.
Delete
Click this to delete the absence entitlement for the person or division.
Note: This is available only when you are modifying an absence entitlement for a person or division.
Close
Click this to exit.
Fields/Columns
The name of the section is dependent on the person or division selected. Additionally, the names and types of the fields displayed are dependent on the absence type selected at Type.
Type
Select the type of the absence entitlement. This is mandatory.
Note: This field cannot be edited if you are modifying an existing absence entitlement.
Apply expiry date
Select this check box to impose an expiry date for statutory and non-statutory entitlements.
When this check box is selected, the Effective period/year, Statutory entitlement, and Non-statutory entitlement fields will be displayed in either sections or columns at the bottom of the page depending on the entitlement basis selected. For more information on the entitlement basis, see Creating and modifying request types - Actions tab.
Note: By default, this check box is not selected.
Days/Hours
Type the number of entitlements in days or hours to be given to the selected person or division.

The name of this field will be displayed according to the option selected (either
Days or
Hours) at
Show under the
Calculation section on the
Request: Field page for the
Duration field in the vacation request. For more information, see

If the Apply expiry date check box is selected, this field is automatically displayed alongside the Statutory entitlement and Non-statutory entitlement fields respectively. When this check box is selected for the first time for an existing entitlement, the predefined value in this field will be copied to the Days field for the non-statutory entitlements.
Effective period/year
Type the period, and then select the year of which the entitlements should take effect for the selected person or division.
Note: The effective period defined must correspond to an existing period as defined in the financial year for the division. If an invalid period is defined, or if there is no financial year defined when the Apply expiry date check box is selected, an error message will be displayed. You will not be able to save the settings.
Expiry period for statutory entitlement (after calendar year)
Type the expiry period for the statutory entitlements. This can be defined in week(s), month(s), or year(s). The calculation of the expiry period will be executed after the current calendar year.
Note:
-
By default, the expiry period for the statutory entitlements is set to six months.

This field will be displayed as Expiry period (after calendar year) under the Statutory entitlement section for the fixed entitlement basis only.
Expiry period for non-statutory entitlement (after calendar year)
Type the expiry period for the non-statutory entitlements. This can be defined in week(s), month(s), or year(s). The calculation of the expiry period will be executed after the current calendar year.
Note:

By default, the expiry period for the non-statutory entitlements is set to five years.

This field will be displayed as Expiry period (after calendar year) under the Non-statutory entitlement section for the fixed entitlement basis only.
Years
Type the service year limit for the defined statutory and non-statutory entitlements.
Note: This field will be displayed in the Years column and is available only for the service year entitlement basis.
Age
Type the age limit for the defined statutory and non-statutory entitlements.
Note: This field will be displayed in the Age column and is available only for the age entitlement basis.
