This page allows you to define the settings for Service management.
The information in this document is applicable to product update 255 and higher. If you have versions lower than this, certain features explained here will not be applicable.
Criteria section
Division
Type or select a division.
Agreements section
Parts / Hours priority
Select the priority for the part or hour agreement that will be used to determine the discount of the service activity material or hour lines. You can select more than one.
Document printing: Defaults – Reports section
Service slip
Select a service slip report that will be used for printing.
Detailed planning
Select a detailed planning report that will be used for printing.
Compressed planning
Select a compressed planning report that will be used for printing.
Service contract
Select a service contract report that will be used for printing.
Invoice details attachment
Select an invoice details attachment report that will be used for printing.
Mobile service report
Select a mobile service report that will be used for mobile service. This setting will only be used if the Sign process reports setting in the mobile apps settings is set to 'SSRS voorbeeld + Device samengesteld rapport (iOS only)'.
Mobile service report with signature
Select a service report that will be used in the Exact Field Service H app. After the service engineer has completed the signing process in the Exact Field Service H app, the Exact Synergy server generates a signed report.
Document printing: Create Document Type section
Service slip
Select a document type for service slips that will be used for printing.
Detailed planning
Select a document type for detailed planning that will be used for printing.
Compressed planning
Select a document type for compressed planning that will be used for printing.
Service contract
Select a document type for service contracts that will be used for printing.
Service details attachment
Select a document type for service details attachments that will be used for printing.
Invoice items for agreement types section
It is important that the invoice items selected have the Sales and Divisible attribute in Exact Globe Next.
Parent
Type or select an invoice item for the parent agreement type that will be used when invoicing or registering costs that relate to the contract agreements.
Text
Type or select an invoice item for the text agreement type that will be used when invoicing or registering costs that relate to the contract agreements.
Response time
Type or select an invoice item for the response time agreement type that will be used when invoicing or registering costs that relate to the contract agreements.
Preventive maintenance
Type or select an invoice item for the preventive maintenance agreement type that will be used when invoicing or registering costs that relate to the contract agreements.
Additional part / hour
Type or select an invoice item for the additional part or hour agreement type that will be used when invoicing or registering costs that relate to the contract agreements.
Parts / Hours
Type or select an invoice item for the parts or hours agreement type that will be used when invoicing or registering costs that relate to the contract agreements.
Discount
Type or select an invoice item for the discount agreement type that will be used when invoicing or registering costs that relate to the contract agreements.
Invoice item for activities section
Service activity
Type or select an item for the service activities that will be used for invoicing. This item will be available in the invoice as an information item line that will separate the invoice lines for each service activity.
Back office settings section
Selection code
Type a selection code that will be used for creating invoices for service management in Exact Globe Next.
Invoice code
Type an invoice code that will be used for creating invoices for service management in Exact Globe Next.
Contract settings section
Mandatory selection code
Select Yes if the selection code must be defined at Selection code on the Service: Contracts page. Otherwise, the message “Edit. Mandatory: Selection code” will be displayed. By default, No is selected. For more information, see Creating and maintaining service contracts for Service management.
Show agreement link tree by filter
Select Yes to display the search criteria on the Agreement links page. If No is selected, the Items and Serial numbers fields, and Show: Selected check box will not be displayed on the Agreement links page. By default, No is selected. For more information, see Linking agreements to service configurations for Service management.
Preventive maintenance default settings section
Request type
Type or select a request type for the preventive maintenance.
Contracts Indexing and Prolongation section
Contract lock timeout (minutes)
Type the maximum number of minutes the contract indexing and prolongation process will timeout.
Email address section
Service email address (from)
Type an email address for sending emails from Exact Synergy Enterprise to the mobile application.
Service request configurations section
Show configurations tree by filter
Select Yes to display the configurations tree according to the item codes and the serial numbers defined at Items and Serial numbers under the Service configurations section in the Configurations tab in the service request.
By default, No is selected to display the configurations tree with all items and components linked to the account selected in the service request.
Show serial number description
Select Yes to display the description of the serial number under the Serial no. column and Extra information section under the Service configuration section in the service activity request. By default, No is selected. For more information, see Creating and maintaining service activity requests for Service management.
Engineers availability setting section
Allow engineers from other division
Select Yes to display the engineers from the other divisions or No if you do not want engineers from another division to be displayed in the service activity or service planning.
Invoicing documents section
Automatically attach documents to invoice
Select Yes to automatically attach documents to the invoice or No if you do not want documents to be attached to the invoice.
Assortments section
Labor hours
Select a labor hour for the assortment.
Materials
Select a material for the assortment.
Service activities documents section
Automatically save a copy to Synergy when printing
Select how you want to set the Save a copy to Synergy when printing check box for the service activity documents. This check box can be automatically selected or cleared based on the division or user level. You can select any of the following:
- Always checked (Division level) - By default, the Save a copy to Synergy when printing check box of the service activity documents will be selected. You will not be able to change this setting.
- Always unchecked (Division level) - By default, the Save a copy to Synergy when printing check box of the service activity documents will not be selected. You will not be able to change this setting.
- Always checked (User level) - By default, the Save a copy to Synergy when printing check box of the service activity documents will be selected. You will be able to change this setting.
- Always unchecked (User level) - By default, the Save a copy to Synergy when printing check box of the service activity documents will not be selected. You will be able to change this setting.
Templates section
Search templates
Select a search template to search for specific items. For more information, see Creating and modifying search templates.
