This page displays an overview of invoiced amount, credit invoices, and correction invoices. It is possible that rates are adjusted after your invoices have been processed. When an amount invoiced and the calculated amount based on the latest rate is different, a credit invoice can be created from this page. Based on the defined criteria, you can see an overview of the invoiced amount and the differences compared to the adjusted rates.
To view and create credit invoices, function right 891 – Hour & expense invoicing is required. By default, users with the Project administration role have this function right. The Project administration role can only be assigned to users who have the YA1403 – Project manager license role.
Note:
The information in this document is applicable to product update 251 and higher. If you have versions lower than this, certain features explained here will not be applicable.
Keep in mind:
Click this to display a list of invoices according to the defined criteria. The invoice lines will be displayed with the invoiced amount and the calculated amount, after the change of rates and quantities. The search results displayed will be divided into different sections based on projects. The section headers will show the code and description of the project in bold, followed by the customer code and customer description.
Note: Once you have clicked this button, the name of the button will be changed to Refresh. Also, the Credit selected invoices button will be available.
Click this to update the results according to the defined criteria.
Click this to clear the defined criteria so that you can start a new search.
Click this to manually create a credit invoice request. You can invoice credit invoices created by creating Invoice proposal requests. For more information, see Overview of billable, invoice term, intercompany, and credit invoice requests.
Click this to generate the credit and correction invoices for the selected invoice lines. Two requests with descriptions "Credit invoice" and "Correction invoice" will be created for each selected invoice line. These requests will be linked to the respective credit and correction invoices.
Click this to exit.
Select an option to display invoice, credit invoice, and/or correction invoice lines with the dates that match the selected option. The dates will automatically be filled based on the current system date. However, you can also type or select your own date range in the other two boxes next to Period.
Type or select the required option to display the invoices, credit invoices, and/or correction invoices belonging to the selected division. Once you have selected a division, you can view the details of the division by clicking the link displayed next to the box. For more information, see Viewing division cards.
Type a reference to display invoices, credit invoices, and/or correction invoices that match the defined reference.
Type or select the required option to display invoices, credit invoices, and/or correction invoices for the selected customer. Once you have selected an account, you can view the details of the account by clicking the link displayed next to the box. For more information, see Viewing account cards.
Select this check box if you want to display the credit invoice lines. A credit invoice displays the new invoiced amount and quantity, which have been corrected from an outdated invoice.
Type or select the required option to display invoices, credit invoices, and/or correction invoices for the selected customer. Once you have selected a project, you can view the details of the project by clicking the link displayed next to the box. For more information, see Viewing project cards.
Select this check box if you want to display the correction invoice lines. A correction invoice displays the calculated quantity and amount in negative figures for the original invoice.
Type or select the required option to display invoices, credit invoices, and/or correction invoices handled by the selected project manager. Once you have selected a person, you can view the details of the person by clicking the link displayed next to the box. For more information, see Viewing personal cards.
This column displays the process numbers of the invoices. You can click the hyperlinks to view the respective invoices.
This column displays the amount that have been invoiced. The values are converted and displayed in the billing currency of the particular project.
This column displays the new amount calculated based on the latest rates. The values are converted and displayed in the billing currency of the particular project.
This column displays the differences in the amount invoiced and the calculated amount based on the latest rates.
