The dispatch board schedule view offers an insight to the service activities to be planned, such as activities that have dates defined, but without people assigned, and services that have been assigned to the people. Using the dispatch board schedule view, you can easily manage the service activities, schedule service appointments, plan activities, and view the workload of the people.
The dispatch board schedule view also displays all the activities of the people and the information of the appointments. The appointments can be dragged and dropped to another date and/or time, and the information in the related service requests will be changed. If the person is not working or it is a public holiday, grey will be displayed on the grid. The HR requests, such as the Absence, Person, and Out of office requests that have been defined in the Planning section under the Actions tab on the Workflow: Request type page will also be displayed on the dispatch board schedule view. The HR requests will be displayed in colors on the dispatch board schedule view based on the color selected (for each type of request) at Color in the General section under the General tab on the Workflow: Request type page. The dispatch board schedule view displays the people based on the people selected at the resource group and division. If a person has an appointment, the personal card of the person can be viewed by clicking the name of the person.
To view the dispatch board schedule view, function right 852 – View service planboard is required. Users with the Service desk, Service engineer, Service planner, or Service manager role have this function right.
To customize the dispatch board schedule view, function right 872 – Maintain service planboard is required. Users with the Service planner or Service manager role have this function right.
Note:
The information in this document is applicable to product update 258 and higher. If you have versions lower than this, certain features explained here will not be applicable.
Keep in mind: When the HR requests without an end date are created, the requests will be displayed in the dispatch board schedule view up till the current date.
You can customize the information that you want to be displayed on the page by clicking Customize. For more information, see Customizing dispatch board schedule view for Service management.
Click this to update the results according to the defined search criteria.
Click this to view the full page of the dispatch board schedule view.
Click this to automatically run the background process.
Click this to exit.
This section displays the appointments of the people. By default, the appointments for the current week will be displayed. However, you can define the date range at Range to change the week, or the number of days at View to display the number of days for the week.
You can click the name of the person to view the personal card. For more information on personal cards, see Viewing personal cards. However, the personal card can be viewed only if the person has an appointment.
The appointments can be dragged and dropped to another date and/or time, and the information in the related service activity requests will be changed. In addition, it is possible to move an appointment to any date and time without having to open it. When you right-click on the relevant appointment, select the option Move. Define the precise date and time in the pop-out page.
Note: In order to move an appointment by dragging and dropping or using the option Move, the status of the appointment needs to be Open.
The appointments can also be deleted by clicking on the appointments. However, only appointments with the “Open” status can be deleted. You can customize the information of the appointments by clicking Customize.
The people that are displayed in this section depend on the resource group selected. You can add resource groups by clicking . For more information on resource groups, see Customizing resource groups for Service management.
Type the number of days to view the appointments for the number of days defined. By default, 7 will be displayed. Only the to date at Range will be changed based on the number of days defined.
Type or select the date range to view the appointments for the selected date(s). By default, the date range will display the current date as the starting date and the end date will be 7 days later. The date range will display a period of 5 days if the Hide weekend check box under the General section on the Dispatch board service management: Customize page has been selected. For more information, see Customizing dispatch board schedule view for Service management.
Select to view the appointments based on 10 minutes, 15 minutes, 30 minutes, 1 hour, or 1 day for the dates defined at Range.
Type or select a division to view the appointments with the selected division. When changing the division, the resource groups listing is changed to the last used resource group list and the service engineers in the list are updated according the selected division.
The appointments in the To be planned section will also be updated based on the selected division.
This section allows you to search for the appointments. When the search criteria have been defined, click Refresh and the list of appointments that meet the search criteria will be displayed. You can drag and drop the appointments to the grid. Once an appointment has been dragged and dropped to the grid, the appointment will be removed from this section.
For single requests, the request number will be displayed as a hyperlink if the mouse cursor is hovered over the request number, and for multiple requests, the request number and activity description will be displayed as hyperlinks if the mouse cursor is hovered over the request number or activity description. If the request number hyperlink is clicked, the request will be displayed in another window, and if the activity description hyperlink is clicked, the service activity will be displayed in another window. If an action is performed in the request or service activity window, the To be planned section on the Dispatch board schedule view will be refreshed. For example, if Approve is clicked on the service activity page, the service activity under the To be planned section on the Dispatch board schedule view page will no longer be displayed. The color of the request number and activity description hyperlinks is based on the Style option selected in the Style section under the Corporate (Settings) tab on the Preferences page. You can customize the search criteria and information of the appointments by clicking Customize.
Type the activity, request, or person to display the information of the appointments for the selected activity, request, or person.
Select Startdate hour planning (lowest date up), Request create date, Customer, or Zipcode to display the appointments by the selected order. By default, Startdate hour planning (lowest date up) will be displayed.
Select No filter, Preferred date, Service requests, or Cost centre to display the appointments with the filtered items. By default, No filter is displayed.
Note: The to be planned service activities that are filtered for the cost centre will be displayed based on the following relationship:
