Generating debtor aging analysis report

Introduction
In this screen, you can generate the aging analysis report for debtors. This report displays the outstanding receivable invoices in different age groups over a specific period of time based on invoice dates, due dates, or reporting dates. Therefore, you can check the period for which payment from debtors have been outstanding. As such, you can obtain a quick view of who is behind with their payments.
Fields
You can filter the outstanding invoices that you want to display in the report by defining one or more of the following criteria and clicking Start. The report will be generated based on the defined criteria.
Criteria section
Sorting
Select Debtor code, Name, Postal code, Classification, Country, or Due date to sort the report accordingly.
Show: Analytical values
Select this check box to enable the Project, Cost center, and Resource fields under the Range section.
Age
Select one of the following options to generate the report based on the corresponding options:
- Invoice date — Select this option to generate the report based on the invoice dates of the transactions. Once selected, the Show by field under the Criteria section is disabled, the Items field under the Range section is enabled, and the Show Amount not due check box in the Additional criteria screen is disabled.
- Due date — Select this option to generate the report based on the due dates of the transactions. Once selected, the Show by field under the Criteria section is enabled, the Items field under the Range section is disabled, and the Show Amount not due check box in the Additional criteria screen is enabled.
- Reporting date — Select this option to generate the report based on the reporting dates of the transactions. Once selected, the Show by field under the Criteria section is disabled, the Items field under the Range section is enabled, and the Show Amount not due check box in the Additional criteria screen is disabled.
Show by
Select one of the following options to further refine the report that is generated based on the due dates of transactions:
- Invoice date — Select this option to enable the Show Amount not due check box in the Additional criteria screen.
- Due date — Select this option to disable the Show Amount not due check box in the Additional criteria screen.
- Reporting date — Select this option to enable the Show Amount not due check box in the Additional criteria screen.
Note: This field is enabled only when you select Due date at Age.
Additional criteria
Click this to define additional criteria for the report. For more information, see Defining additional criteria for generating debtor aging analysis report.
Age
Type three different age groups to display the report according to the age groups. For example, to display the aging for 14 days, 30 days, and 60 days, type the corresponding numbers in the boxes. The information in the boxes is mandatory.
Invoice currency
Select the required option to determine whether the invoice currency is based on All – Invoice currency, All – Default currency, the default currency, or other foreign currencies that are registered in the settings. If you select a foreign currency, only the entries that have been posted in that currency are displayed. If you select All – Invoice currency or All – Default currency, all payments due are displayed irrespective of the currency code.
Reference number
Select one of the following options to display the report accordingly:
- Our ref. — Select this option to display the report by our reference number.
- Entry no. — Select this option to display the report by entry numbers.
- All — Select this option to display the report by entry numbers and our reference number.
Note: This field is applicable only if you clear the Summarize check box in the Additional criteria screen.
Range section
Reference date
Type or select a reference date to generate the report based on the invoice dates, due dates, or reporting dates of transactions that fall on this date or earlier. For example, define the reference date as November 17, 2020 and select Invoice date at Age. If there are three invoices with invoice dates of November 1, November 17, and November 18, 2020, only the first two invoices will be displayed in the report.
Status
Select Active, Blocked, Inactive, Pilot, Reference, or Passive to generate the report for debtors with the corresponding status. Select All to generate the report for debtors with any status.
Type
Select Customer or Resource to generate the report for debtors of the corresponding type. Select All to generate the report for any type of debtors.
Name
Type or select a name or range of names to generate the report for debtors with the corresponding name(s). Select the All check box to generate the report for debtors with any name.
Note: This field is displayed only when you select Name at Sorting under the Criteria section.
Debtor
Type or select a debtor code or range of debtor codes to generate the report for debtors with the corresponding code(s). Select the All check box to generate the report for debtors with any code.
Note: This field is displayed only when you select Debtor code at Sorting under the Criteria section.
Postal code
Type a postal code or range of postal codes to generate the report for debtors with the corresponding postal code(s). Select the All check box to generate the report for debtors with any postal code.
Note: This field is displayed only when you select Postal code at Sorting under the Criteria section.
Classification
Type or select a classification or range of classifications to generate the report for debtors under the corresponding classification(s). Select the All check box to generate the report for debtors under any classification.
Note: This field is displayed only when you select Classification at Sorting under the Criteria section.
Country
Type or select a country or range of countries to generate the report for debtors from the corresponding country(ies). Select the All check box to generate the report for debtors from any country.
Note: This field is displayed only when you select Country at Sorting under the Criteria section.
Due date
Type or select a due date or range of due dates to generate the report for transactions with the selected due date(s). Select the All check box to generate the report for transactions with any due date.
Note: This field is displayed only if you select Due date at Sorting under the Criteria section.
Project
Type or select a project or range of projects to generate the report for debtors linked to the selected project(s). Select the All check box to generate the report for debtors linked to any project.
Note: This field is enabled only if you select the Show: Analytical values check box under the Criteria section.
Cost center
Type or select a cost center or range of cost centers to generate the report for debtors linked to the selected cost center(s). Select the All check box to generate the report for debtors linked to any cost center.
Note: This field is enabled only if you select the Show: Analytical values check box under the Criteria section.
Blocked
Select one of the following options to include the corresponding transactions in the report:
- All — Select this option to include blocked and unblocked transactions in the report.
- Yes — Select this option to include blocked transactions in the report.
- No — Select this option to exclude blocked transactions from the report.
Payment method
Select On credit, Cash, Credit card, Cheque, Post dated cheque, Letter of credit, Collection, Debt collection, Factoring, Payment on delivery, EFT, or Settle to generate the report for transactions with the corresponding payment method. Select All to generate the report for transactions with any payment method.
Items
Select All or Due to generate the report for transactions linked to all payment items or items that are due only, respectively.
Note: This field is enabled only when you select Invoice date or Reporting date at Age under the Criteria section.
Account employee
Type or select an employee account or a range of employee accounts to generate the report linked to the employee account(s). Select the All check box to generate the report linked to any employee account.
Resource
Type or select a resource or range of resources to generate the report for debtors linked to the resource(s). Select the All check box to generate the report for debtors linked to any resource.
Note: This field is enabled only if you select the Show: Analytical values check box under the Criteria section.
Intermediary
Type an intermediary or a range of intermediaries to generate the report for debtors linked to the intermediary(ies). Select the All check box to generate the report for debtors linked to any intermediary.
Scenario
Select Normal, Complaints, Payment agreement, or Transferred to generate the report for debtors linked to the corresponding type of payment scenario. Select All to generate the report for debtors linked to any type of payment scenario.
Currency section
Summary: Foreign currency
Select this check box to include a summary for foreign currencies at the bottom of the report.
Note: This check box is enabled only when you select All - Default currency at Invoice currency under the Criteria section.
Exchange rate
Select Original, Current, or Historical to convert the amounts in the report based on the corresponding type of exchange rate.
Note: This field is enabled only when you select All - Default currency at Invoice currency under the Criteria section.
Date
Type or select the date of exchange rate to convert the amounts in the report based on the exchange rate on the selected date.
Note: This field is enabled only if you select Historical at Exchange rate.
Buttons
Start
Click this to generate the report based on the defined criteria.
Close
Click this to exit.
