You can print sales order, return of merchant authorisation
(RMA) order, and service order confirmation slips in this screen. When you need to reprint an order confirmation, only charges for newly-added items and/or any line that has not been invoiced will be included in the order confirmation.
The information in this document is applicable to product
update 503 and higher. If you have versions lower than this, certain features
explained here will not be applicable.
Print section
Trial
Select this to print a test copy of the order confirmation
slip.
Note: The sales order, RMA order, or service order
confirmation will not be processed.
Final
Select this to print a final copy of the order confirmation.
Note: The sales order, RMA order, or service order
confirmation will be processed.
Output section
Note: This section is enabled if you have selected Final
in the Print section.
Printer
Select this option to print the order confirmation slip.
Note: The Printer field will be enabled if
this option is selected.
E-mail
Select this option, and then select Debtor, Delivery
debtor, or Invoice debtor to send the order confirmation slip by
e-mail to the debtor.
Note: The Printer field will not be enabled if
this option is selected.
Printer
Select the printer at Printer to print the order
confirmation slip.
Note: This is enabled only if the Printer
option is selected.
E-mail
Type the e-mail address of the debtor who will receive the
order confirmation slip. Depending on the type of debtor selected in the E-mail
field, the e-mail address can be that of the debtor, delivery debtor, or invoice
debtor. By default, the debtor’s e-mail address displayed in the field is derived
from E-mail at debtor maintenance (go to , select the relevant debtor, and then click Open, under the Contact
tab). However, you can type a different e-mail address. If you want to send the
order confirmation slip to multiple e-mail addresses, insert a semicolon (;)
between the e-mail addresses, for example, Peter@exact.com; Kirsten@exact.com.
Note: This field is enabled only if you have selected the E-mail
option. This field cannot be edited if you have selected multiple records (only for sales order confirmations).
E-mail CC
Type the e-mail address of a recipient to send a carbon copy of the sales order confirmation to that person. To send a carbon copy of the sales order confirmation to more than one recipient, type a semicolon (;) after every e-mail address that you add.
Note: This field is only available for sales order confirmations and cannot be edited if you have selected multiple records.
E-mail BCC
Type the e-mail address of a recipient to send a blind carbon copy of the sales order confirmation to that person. To send a blind carbon copy of the sales order confirmation to more than one recipient , type a semicolon (;) after every e-mail address that you add.
Note: This field is only available for sales order confirmations and cannot be edited if you have selected multiple records.
Subject
Type the subject of the e-mail. This information is
mandatory. The debtor’s reference number, as defined in the sales order or
service order, is displayed below the Subject field.
Note: This field is enabled only if you have selected the E-mail
option.
Long description
Type the long description of the e-mail.
Note: This field is enabled only if you have selected the E-mail
option.
Covering letter
Type or select a cover letter code to attach a
cover letter with the e-mail. This is available only if you have selected Image at Coering letter (format) under the General section in Documents
settings, and you have not selected the Use multiple layouts check box under the Fulfillment section in Order settings. For more
information, see Overview of layouts.
Note: This field is enabled only if you have selected the E-mail option.
E-mail template
Type or select a template that you want to attach with the email. The email template is displayed if you have selected an email template at Sales orders (if you are printing sales orders confirmation slips) or RMA orders (if you are printing RMA order confirmation slips) under the E-mail settings section at . For more information, see Document settings.
Note: This field is enabled only if you have selected the E-mail template option at Sales orders and/or RMA orders under the E-mail settings section at .
Options section
Define layout
Select this check box to change the layout of the order confirmation slip.
Note: This check box is available only if you have selected multiple
sales orders, RMA orders, or service orders for printing.
Layout
Type or select a layout. A confirmation note layout is displayed by default. This information is mandatory.
Note: The default confirmation note layout is defined at Confirmation under the Logistics section at in
Document settings. Also, this field is available only if you have not selected the Use multiple layouts
check box in the Fulfilment section at
under Order settings.
Collective layout
Type or select a collective layout for the confirmation
slip. This information is mandatory. One email will be sent with multiple layouts if you have selected the Email option at Output. You can define collective layouts
for confirmation slips at . For more information, see Overview
of collective layouts for logistics.
Note: This field is available only if you have selected the Use multiple layouts check box in the Fulfilment section at , under Order settings.
Number of copies
Type the number of copies of the confirmation slips you want to print. This information is mandatory and should be
between 1 and 99.

check box in the Fulfilment section at
under Order settings.
Free text line 1/2/3
You can type extra information for the order confirmation
slip in the Free text line 1, Free text line 2, and Free text
line 3 fields. These fields are enabled if you have selected the Free text lines check
box in the To be printed section.
To be printed section
Free text lines
Select this check box to add remarks to the sales order or
service order confirmation. Once this is selected, the Free text lines 1,
Free text lines 2, and Free text lines 3 fields under the Options
section will be enabled.
Compress
Select this check box to combine the same items with the
same sales order or service order information into one line on the sales order
or service order confirmation. Only the same sales or service items with the
same information such as fulfilment date, sales price, and other information
(except quantity) can be combined.
Lines with quantity 0
Select this check box to include items with the quantity of
0 in the sales order or service order confirmation.
Unmatched payments
Select this check box for cash payment or any other entries
that are not matched to any invoice or payment (payment for the sales order or
service order has not been made).
Note: If this is not selected, only the total payment
amount for the sales order or service order will be displayed on the sales
order or service order confirmation.
