Creating and maintaining agreement sets for Service management

Introduction
This page allows you to create and maintain agreement sets. Agreement sets are sets of agreements that can be customized and linked to contracts and contract templates.
Roles and rights
To create, edit, and delete agreement sets, function right 883 – Maintain service agreement sets is required. Users with the Service manager role has this function right.

What version are you using?
The information in this document is applicable to product update 255 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I create agreement sets?
- On the Service: Agreement sets page, define the division at Division under the Criteria section.
- Click New.
- Define the fields.
- Click Save.
Keep in mind: All fields with the “!” icon are mandatory.
How do I edit agreement sets?
- On the Service: Agreement sets page, define the division at Division under the Criteria section.
- Click Refresh.
- Select the required agreement set under the Code column.
- Make the necessary change(s).
- Click Save.
How do I delete agreement sets?
- On the Service: Agreement sets page, define the division at Division under the Criteria section.
- Click Refresh.
- Select the required agreement set to be deleted under the Code column.
- Click Delete. A message “Are you sure that you want to delete this record?” will be displayed.
- Click OK.
How do I add agreements to agreement sets?
- On the Service: Agreement sets page, define the division at Division under the Criteria section.
- Click Refresh.
- Select the required agreement set under the Code column.
- Click Add under the Agreements section.
- Define the fields. For more information, see Creating and maintaining agreements for Service management.
- Click Save.
How do I view agreements linked to agreement sets?
- On the Service: Agreement sets page, define the division at Division under the Criteria section.
- Click Refresh.
- Select the required agreement set under the Code column.
- Select the required agreement under the Line order column under the Agreements section. For more information, see Creating and maintaining agreements for Service management.
Buttons
Save
Click this to save the agreement set.
Save + New
Click this to save the agreement set and create another agreement set.
Note: This button is available only if you are creating an agreement set.
Delete
Click this to delete the agreement set.
Note: This button is available only if the agreement set is saved.
Close
Click this to exit.
Fields
General section
Division
Your division will be displayed.
Code
Type an alphanumeric code for the agreement set. This information is mandatory and it cannot be edited once the agreement set is saved.
Description
Type a description for the agreement set. This information is mandatory.
Active
Select this check box to set the agreement set to active.
Maintenance type
Select the type of maintenance for the agreement set. You can select All, Preventive maintenance only, or Corrective maintenance only. By default, All is selected.
Invoicing section
Cost centre
Type or select a cost center for the agreement set. The browser page will display the cost centers from the Exact Globe Next back-office administration.
Cost unit
Type or select a cost unit for the agreement set. The browser page will display the cost units from the Exact Globe Next back-office administration.
Invoice
Select Yes if the agreement set has to be invoiced, or No if the agreement set does not have to be invoiced. By default, Yes is selected.
Invoice rate
Type a rate for the invoice for the agreement set.
Indexation section
Indexation status
Select whether you want the agreement set to be indexed. If Blocked is selected, the agreement set will not be indexed. Select Not blocked to index the agreement set. By default, Not blocked is displayed.
Indexation month
Select a month for the indexation for the agreement set. You can also leave the field blank if you do not want to select a month.
Indexation: Type
Select the type of index for the agreement set. Select Index with percentage or Index with amount. By default, Index with percentage is displayed.
Indexation: Percentage
Type the percentage for the index. This field is mandatory.
Note: This field is available only if Index with percentage is selected at Indexation: Type.
Indexation: Amount
Type the amount for the index. This field is mandatory.
Note: This field is available only if Index with amount is selected at Indexation: Type.
Agreements section
This section displays the agreement(s) that is linked to the agreement set. Agreements can be linked to the agreement set by clicking Add once the agreement set is saved. For more information, see Creating and maintaining agreements for Service management. The detailed information of the linked agreements can be viewed by clicking the agreements under the Line order column.
