Modifying field properties in activity types

Introduction
This document provides you the steps to modifying the field
properties in activity types.
What version are you using?
The information in this document is applicable to product
update 407. If you have versions lower than this, certain features explained
here will not be applicable.
How do I modify the properties for a field that has been added to an
activity type?
- Go
to System ➔ General ➔ CRM ➔ Activity types.
- Select
the relevant activity type.
- Click
Open.
- Under
the Fields section, select the relevant field type.
- Click the Edit icon.
- In
the Activity types screen, make the necessary changes.
- Click
Save, and then click Close.
Keep in mind: All fields with the “!” icon are
mandatory.
How do I create a selection of accounts for a selected field?
- Go
to System ➔ General ➔ CRM ➔ Activity types.
- Select
the relevant activity type.
- Click
Open.
- Under
the Fields section, select the relevant field type.
- Click the Edit icon.
- In
the Activity types screen, under the Selection section, click the Create: Selection icon to
create a selection of accounts.
- Select
the type(s) of accounts that you want to display in the selection list, and
then click Save.
- Click
Save again.
Keep in mind: The selection of accounts can
only be created for the Item and Account fields.
How do I modify the selection of accounts for a selected field?
- Go
to System ➔ General ➔ CRM ➔ Activity types.
- Select
the relevant activity type.
- Click
Open.
- Under
the Fields section, select the relevant field type.
- Click the Edit icon.
- In
the Activity types screen, under the Selection section, click the Create: Selection icon.
- A
confirmation message will be displayed. Click Yes to remove the current
selection, or click No to cancel.
- Next,
select the new type(s) of accounts that you want to display in the selection
list, and then click Save.
- Click
Save again.
Keep in mind: The selection of accounts can
only be modified for the Item and Account fields.
How do I view the selection of accounts for a selected field?
- Go
to System ➔ General ➔ CRM ➔ Activity types.
- Select
the relevant activity type.
- Click
Open.
- Under
the Fields section, select the relevant field type.
- Click the Edit icon.
- In
the Activity types screen, under the Selection section, click the Create: Selection icon.
The selection of accounts for the selected field will then be displayed.
Keep in mind: The selection of accounts can
only be viewed for the Item and Account fields.
Fields
General section
Field name
This displays the field name of the selected field.
Label
Type a label for the selected field. This is the
user-defined label for the field. You will see this label when you create an
activity.
Order
Type a number to indicate the order of the field to appear
in the activity entry screen. For example if you type “1”, this field will
become the first field in the activity maintenance screen.
Mode
Select the length type for the free fields. There are two
options available for selection:
- 1 – Select this to define a short value in the free field.
This mode allows three free fields to be positioned next to each other in the
activity maintenance screen.
- 2 – Select this to define a long value in the free field.
This mode allows the free field to be positioned on the top in the activity
maintenance screen.
Mandatory section
Open
Select this check box if you want to make it mandatory to
define this field when you create an activity for this activity type in the activity
maintenance screen.
Realised
Select this check box if you want to make it mandatory to define
this field when you realize the activity in the activity maintenance screen.
Note: You can select either the Open or Realised
check box, or both check boxes.
Edit section
Open
Select this check box to allow the value defined at this
field to be edited when the activity is still in the open status.
Note: The Open check box is automatically
selected and disabled if you have selected Open and/or Realized
under the Mandatory section.
Realised
Select this check box to allow the value defined at this
field to be edited after the activity is realized.
Default section
Default
Select the type of default value to be defined at this field
when you create an activity. There are three options available for selection:
- None – Select this option if there is no default value for
the field.
- Current – Select this option to define the current value for
the field.
- Value – Select this option to define the default value for
the field.
As an example, if you have selected Current for the Person
field, the current person who opens the activity maintenance screen will be
displayed at the Person field. If you have selected Value, the Person
field will display the person that has been defined at the Value field.
Value
Depending on the field that you have selected, you can type
or select the default value for this field.
Note: The Value field is enabled only if you
select Value at Default.
Selection section
Values
Type the values which you can select from a list at the
selected field when you create an activity in the activity maintenance screen. When
you type the values, each value must be followed with ;.
For example, if you are creating a free field which allows users
to select the payment method for a particular item, and the methods that are
available for selection are cash on delivery, e-banking, or money order, the
values must be typed at this field as Cash on delivery;E-Banking;Money order.
Notes: The Values box is available only if you
insert or edit a free field.
Selection
This field displays the values of the selection of accounts
that you have created by clicking the Create: Selection icon.
Note: The Selection box is enabled only for the
Item and Account fields.
Option 1 – Option 5
Depending on the field that you have selected, the label
will differ. If you have selected the Person field for the modification,
Type and Status will be displayed at Option 1 and Option
2.
Type
Select the type of persons to be allowed for selection at the
field when you create an activity. Two options are available for selection:
- Employee – Select this option to allow only employees to
be selected.
- All – Select this option to allow all types of persons
to be selected.
Note: This is available only for the Person
field.
Status
Select the status of persons to be allowed for selection at
the field. Three options are available for selection:
- Active – Select this option to allow only active persons
to be selected.
- Active + Hired – Select this option to allow active
or hired persons to be selected.
- All – Select this option to allow persons of all
statuses to be selected.
Note: This is available only for the Person field.
Buttons
Save
Click this to save the changes made to the properties of the
field.
New
Click this to insert a new field to the activity type.
Close
Click this to exit.
Columns
Selection section
Create: Selection icon
Click this to create a selection of accounts or to clear the
current selection.
Check: Selection icon
Click this to view the selection list that you have created.
