Validating accounts

Introduction
In general, there are two different types of accounts, namely company account and person account. The word “account” is used to describe both the company account and the person account in generic term.
This page allows you to validate accounts. By default, the accounts with the same name as the selected account displayed in the validation results can be merged. For more information on merging company accounts, see Merging company accounts. For more information on merging person accounts, see Merging person accounts. You can also perform advanced search for validating specific accounts on this page.
Roles and rights
- To validate customers, function right 273 — Allows to validate customers is required. By default, users with the Customer manager role have this function right.
- To validate resellers, function right 274 — Allows to validate resellers is required. By default, users with the Reseller manager role have this function right. This is only available for the company account type.

What version are you using?
The information in this document is applicable to product update 260 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I validate duplicated person accounts?
- Under the General section at Account: Type, select the required account type as described in the following:
- Company – Select this check box to display company accounts.
- Person – Select this check box to display person accounts.
- Define the required search criteria, and then click Show.
- Click the required account hyperlink in the Account name column.
- Click Actions.
- Click Merge: Account.
- Click Advanced >>. The Advanced section will be displayed.
- Define the filter criteria, and then click Search. A list of validated results will then be displayed.
Keep in mind:
- Validating or merging different types of accounts, such as company accounts with person accounts, are not allowed. You can validate or merge a company account with another company account or a person account with another person account.
- To be able to validate person accounts, the Natural persons check box under the Persons section must be selected (go to Modules ? Customers ?

Tips and tricks
For more information on how the merging process works depending on certain scenarios, see the following examples:
Scenario 1
Merging a non-EI division account to an EI division account is allowed. The merge process will be executed immediately within ESE. If updating of any contact person is required, the contact person will then be created for the EGN account.
Scenario 2
Merging a non-EI division account to another non-EI division account is allowed. The merge process will be executed immediately within ESE.
Scenario 3
Merging an EI division account to a non-EI division account is not allowed, as this process will break the linkage between the EI division account and the EGN account.
Scenario 4
Merging an EI division account to another EI division account is not allowed, as both are in the same division.

Merge
Click this to merge the selected account. For more information on merging company accounts, see Merging company accounts. For more information on merging person accounts, see Merging person accounts.

Click this to delete the account.

Click this to search for other accounts.

Fields
General section
This section displays the details of the account, such as the account code, name, address, and others. For more information on creating and modifying company accounts, see Creating and modifying company accounts. For more information on creating and modifying person accounts, see Creating and modifying person accounts.
Marketing section
This section displays the general information of the account, such as the type, status, rating, size, classification, and others. For more information on creating and modifying company accounts, see Creating and modifying company accounts. For more information on creating and modifying person accounts, see Creating and modifying person accounts.
Request section
This section displays information on requests related to the account. To view the request in detail, click the hyperlinked request.
Advanced section
Note: This section is available only if Advanced >> is clicked.
Name
Type the name to search for the account to be validated.
Contact
Type the contact to search for the account to be validated.
City
Type the city to search for the account to be validated.
Phone
Type the phone number to search for the account to be validated.
Code
Type the code to search for the account to be validated.
Note: This is only available when validating company accounts.
Postcode
Select the postcode to search for the account to be validated.
VAT number
Type the value-added tax number to search for the account to be validated.
Results – Validation section
Note: This section is available only if the Advanced section is not displayed.
This section displays the results of the accounts validation, such as the account names, addresses, account types, account statuses, debtor codes, creditor codes, and divisions. The message “No data found” will be displayed when there is no match found on the same account.
