Viewing Competency Profiles Listing

Introduction

At this screen, you can view a listing of all competency profiles created for a person, job group, job activity, job title, project, or vacancy. A competency profile is a template which consists of set of competences. A competency profile can be created for a person, job group, job activity, job title, project, and vacancy to support different decision-making.

This function is available only if you have set the competency method to Advanced in the HRM general settings. For more information, see Defining HRM General Settings.

Menu path

  • To view the listing of competency profiles of employees, go to HRM/Reports/People/People, define the relevant criteria, and click Show. Click the name of the employee under the Name column and then click the hyperlink at Competence profiles. If you have a HR role or are the reviewer of the active profile, you need to click Profiles to view the listing of competency profiles.
  • To view the listing of competency profiles of applicants, go to HRM/Reports/People/Applicants, define the relevant criteria, and click Show. Click the ID of the applicant under the ID column, and then click the hyperlink at Competence profiles. If you have a HR role or are the reviewer of the active profile, you need to click Profiles to view the listing of competency profiles.
  • To view the listing of competency profiles of job groups, go to HRM/Setup/General/Job groups, click the description of the job group under the Job group column, and then click Competency.
  • To view the listing of competency profiles of job activities, go to HRM/Setup/General/Job activities, click the description of the job activity under the Job activity column, and then click Competency.
  • To view the listing of competency profiles of job titles, go to HRM/Setup/General/Job titles, define the relevant criteria, and click Show. Next, click the description of the job title under the Job title column, and then click Competency.
  • To view the competency profiles for projects, go to Projects/Reports/Search/Projects, define the relevant criteria, and click Show. Next, click the ID of the project under the Project column, and then click Competency under the Monitor section.
  • To view the listing of competency profiles of vacancies, go to HRM/Reports/People/Vacancies, define the relevant criteria, and click Show. Click the ID of the vacancy under the ID column, and then click Competency.

Roles & rights

  • To view the listing of competency profiles, function right 505 – View payroll components is required. Users with the HR role have this function right. However, if you do not have the rights but are the reviewer of the profile, you will also be able to view the listing displaying profiles which you are the reviewer of.
  • If you do not have any of the roles and you are not a reviewer, you can view your own listing of competency profiles if the Review: View profiles check box is selected under the Competency section in the HRM general settings. For more information, see Defining HRM General Settings.

For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh, and then click the required link under the Role column.

Click this to create a new competency profile. For more information, see Creating Competency Profiles.

Description

A person, job group, job activity, job title, project, and vacancy can have more than one profile displayed in the listing. The number of columns displayed may differ depending on the type of listing of competency profiles that you are viewing. The following screen is a sample of the listing of competency profiles for an employee:

Description

This column displays the description of the profile. You can maintain the selected profile by clicking the hyperlink under this column. For more information, see Maintaining Competency Profiles of Applicants and Employees and Maintaining Competency Profiles of Job Groups, Job Activities, Job Titles, Projects, and Vacancies.

Note: The hyperlinks under this column are available only if you have a HR role.

Start date

This column displays the date that the profile is valid from. This column is available if you are viewing the listing of competency profiles of employees, applicants, job groups, job activities, job titles, projects, and vacancies.

End date

This column displays the end date of the profile. This column is available if you are viewing the listing of competency profiles of employees.

Review

Click indexsmall to view the read mode of the competency profile. If your own name is displayed under this column, clicking indexsmall that is on the same row will allow you to evaluate the person. For more information, see Viewing Competency Profiles of Applicants or Viewing Competency Profiles of Employees respectively. This column is available if you are viewing the listing of competency profiles of employees, applicants, or vacancies.

Note: The hyperlinks to the profiles under this column will be available if you are the direct manager of the person and/or have a HR role. Otherwise, hyperlinks to the respective profiles will only be available if you are the reviewer of the profile or if the Person: View profiles check box under the Competency section in the general HRM settings is selected.

Rating

This column displays the final rating that the person obtained. The final rating will only be displayed if the status of the profile is Final. This column is available if you are viewing the listing of competency profiles of employees or applicants.

Reviewed by

This column displays the name of the reviewer of the competency profile. This column is available if you are viewing the listing of competency profiles of employees, applicants, or vacancies. You can view the details of the reviewer by clicking the hyperlink under this column. For more information, see Viewing Personal Cards.

Status

This column displays the status of the profile, which is dependent on the stage of the review process. This column is available if you are viewing the listing of competency profiles of employees, applicants, or vacancies. The following are the status that a profile can have at any one time:

  • Open — When the competency profile is created for the person, but the review request has not been generated.
  • Draft — When the competency profile is created for the person, and the review request(s) has been generated to the reviewer(s).
  • Reviewed — When the ratings in the profile has been calculated and saved, but the review is not completed.
  • Completed — When the ratings in the profile has been calculated and saved, and the review is completed.
  • Final — When the review has been completed, the reviewer has realized or processed the request sent, and the background job is completed.

Request

This column displays the request ID of the request if it has been generated for the profile. This column is available if you are viewing the listing of competency profiles of employees or applicants. You can view the request linked to the corresponding profile by clicking the hyperlink under this column.

Active

This column displays a green check mark if the profile is active. A profile is active if the start date is equivalent to or the latest but before the current system date and the reviewer of the profile is the direct manager of the person. Only one profile can be active at any one time. This column is available if you are viewing the listing of competency profiles of employees, applicants, job groups, job activities, job titles, projects, and vacancies.
