Introduction
You can generate an overview of stock positions. The overview contains information on the quantities of items in a warehouse within a specific period of time, including information about the quantity to be delivered, quantity to be received, available stock and current free stock.
What version are you using?
The information in this document is based on product update 404.
How do I allocate requests to stock?
- Define the criteria required. You can click Advanced to display more criteria.
- Click Display to generate the stock positions report.
- Select an item you want to allocate, and then click Allocation. The Allocation screen will be displayed.
- Select an sales order, internal use, production order, service order, or quotation line that you want to allocate, and then click Allocate. The Allocate screen will be displayed.
- Select a request in the Requirements section, and then select a warehouse which has the stock that you want to allocate at Warehouse in the Free section.
- Select the appropriate free stock in the Free section.
- Click Allocate. You will see that the received quantity has increased in the Received column and the available quantity reduced in the Ordered/Available column. After allocation, the Unallocate button will be enabled and you can click the button if you want to undo the allocation for the request.
- Click Close to exit.
Fields
Selection section
Fulfillment date, to
Type or select a date or a range of dates to display the requests that are expected to be fulfilled on the selected dates. Select the All check box to display requests with any fulfillment dates.
Note: Typing or selecting only a start date will display requests that are expected to be fulfilled on the date or earlier. Typing or selecting only the end date will display requests that are expected to be fulfilled on or before the date.
Debtor
Type or select a debtor to display the requests that are ordered by the selected debtor.
Person
Type or select a person to display the requests that are created by the selected person.
Our ref.
Type an internal reference number to display the request with the entered Our ref.. The Our ref. is applicable to internal use requests.
Project code
Type or select a project code to display the requests that are linked to the selected project.
Order
Type an order number to display the requests that are linked to the order. The order number is applicable to requests such as sales orders, production orders, service orders, and quotations.
Allocated
Select this check box to display only requests that have already been allocated with stock.
Type section
Sales order, Internal use, Production orders, Service orders, Quotations
Select the respective check boxes to display the requests of the selected types in the Requirements section.
Requirements section
Fulfillment date
This column displays the fulfillment dates of the sales orders, internal use, production orders, service orders, and/or quotations.
Order number
This column displays the order numbers of the sales orders, production orders, service orders, and/or quotations.
Transaction type
This column displays the transaction or request types.
Our ref.
This column displays the our reference numbers of the internal use requests.
Allocated To
This column displays the sources of the allocated stock such as stock count, interbranch transfer, received and expected purchase orders, and received and expected production orders. If no stock has been allocated to the request, this column will be empty. The data displayed depends on the source of the free stock that the request has been allocated to. The following examples are some of the data you may see:
- Count: 10000722 — The requirements are allocated to free stock from stock count transaction where "10000722" is the Our ref of a stock count.
- Interbranch transfer: 10000722 — The requirements are allocated to free stock from interbranch transfer where "10000722" is the Our ref of the interbranch transfer.
- Receipts: 10000722 — The requirements are allocated to free stock from purchase orders received before the allocation where "10000722" is the Our ref of the purchase order receipt.
- Production order: PRO40001476 — The requirements are allocated to free stock from production orders received before the allocation where PRO40001476 is the production order number.
- Purchase order: 60000099 — The requirements are allocated to free stock from planned purchase orders where 60000099 is the purchase order number.
Quantity ordered
This column displays the quantity of stock requested.
Quantity allocated
This column displays displays the quantities that have been allocated to the request and will be filled automatically after you have completed the stock allocations.
Purchase units
This column displays the units of measurement of the items to be allocated.
Stock
This displays the quantity of the current physical stock in the warehouse.
Free stock
This displays the physical stock quantity minus the reserved quantity.
Free: Purchase order
This displays the quantity of the unallocated open purchase order quantity of the item in the warehouse.
Free: Production order
This displays the unallocated open production order quantity for the item in the warehouse.
Buttons
Refresh
Click this to display the items based on the selected criteria.
Export
Click this to export the information of the requirements to Microsoft Excel.
Allocate / Unallocate
Click Allocate to allocate the request to free stock. If you have wrongly allocated, you can click Unallocate to undo the allocation for the request.
Note: Allocate is enabled only if you have the To make stock/requirements allocations function right and Unallocate is only enabled if you have the To make stock/requirements unallocations function right.
Close
Click this to exit.
