Creating Budget Scenario

Introduction

Introduction

In order to effectively monitor your business performance based on various scenarios, Exact Synergy Enterprise provides a function to create and maintain budget scenarios. With this function, you can set the duration of a scenario through which the budget will be used to compare with the actual expenses or returns.

Menu path

Go to Financial/Setup/Master data/Budget scenarios. Then, click New.

Roles & rights

To create budget scenarios, function right 32 – Maintain budget scenario is required. By default, users with the General Manager and Controller roles have this function right.

For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh, and then click the required link under the Role column.

Save

Click this to save the budget scenario.

Save + New

Click this to save the budget scenario and create another budget scenario.

Close

Click this to exit.

Description

Scenario

Type a short name for the new budget scenario. You can enter up to eight alphanumeric characters. When editing an existing budget scenario, you cannot change this entry. This field is mandatory.

Description

Type a detailed description of the new budget scenario.

Allow: Import

Select the check box to allow budget transactions to be imported for the budget scenario via xml. For more information, see XML Import.

Year / Period start

Select a start year and period (1–12, as this refers to month) for the budget scenario. This field is mandatory.

Year / Period end

Select an end year and period (1–12, as this refers to month) for the budget scenario. This field is mandatory.

Status / Security level

Select a status for the budget scenario you want to create. Select Free to create free budget scenarios which are non-active budget, Active for budget scenarios that you want to use, and Block for budget scenarios that you do not want to use.

At Security level, type the security level for the budget scenario you want to create. Employees having security levels below this will only be able to view the overview of the budget scenario. They will not be able to view the details of the budget scenario (by clicking the hyperlink) and will not be able to modify the budget scenario. Besides restriction in viewing and modifying the budget scenario, they will not be able to use the budget scenario for comparison as well.
