Creating and maintaining accounts receivable - Transactions tab

Introduction
Accounts receivable are accounts of your debtors.
Information of your debtors can be kept here. You have the option to view the
accounts receivable using the Simple or Advanced mode. This
option depends on the license you purchased. If you have the CRM module,
you can display the accounts receivable in the Advanced mode, whereby
more information of your debtors are displayed.
The following section explains the Transactions tab
of an accounts receivable in the Advanced mode.
What version are you using?
The information in this document is applicable to product
update 413 and higher. If you have versions lower than this, certain features
explained here will not be applicable.
How do I create accounts receivable?
- Click New.
- Under the Basics
tab at Name, type the name of the debtor. This is mandatory.
- Fill in the
other details, if required.
- Click Save
to save the accounts receivable entry.
- Click Close
to exit.
How do I edit accounts receivable?
- Define the
search criteria.
- Click Search.
- Select a debtor
account, and then click Open.
- Make the
necessary changes to the entry, and then click Save.
- Click Close
to exit.
Fields
Note: The Cost price and Purchase price
columns will not be available if you do not have the function right View
cost price/purchase price.
Type
Select one of the following to filter and view the
transaction type accordingly:
- Payment terms
- Quotation
- Order
- Invoice
- Payment
- Fulfillment
- Top 10 items
Note: By default, Payment terms is selected.
Historical
Select this check box to display historical
transactions for the debtor.
Note: This check box is available only if you have
selected Quotation, Order, or Invoice at Type.
Click this to display the transactions based on the
defined criteria.
From, to
Type or select a date or range of dates linked to the
transactions.
Grouping
Select one of the following to group the transactions
accordingly:
Note: By default, None is selected.
Serial number
Type a serial number of the transaction.
Note: This is available only if you select Fulfillment
at Type.
Sales order number
Type a sales order number of the transaction.
Note: This is not available if you select Top
10 items at Type.
Invoice number
Type an invoice number of the transaction.
Note: This is not available if you select Top 10 items at Type.
Zoom
Click this to zoom in to the details of the selected
transaction. You can zoom in to the Quotations, Sales orders, Invoice
history, or Sales invoice screen based on your selection at Type.
Note: This icon is enabled when you select a
transaction. This icon is not enabled if you select Fulfillment or
Top 10 items at Type.
Zoom: Project
Click this to zoom in and display the project maintenance
screen that is linked to the selected transaction.
Note: This icon is available only if you select Payment
terms at Type and is enabled when you select a transaction that is
linked to a project.
Zoom
Click this to zoom in to the details of the selected
transaction. The detailed transactions are displayed in the Results
section.
Note: This icon is available only if you have
selected Month at Grouping or when you select Top 10 items at Type.
Back
Click this to return to the previous summary of the
selected transaction.
Note: This icon is available or enabled only if the Zoom
icon is clicked.
Stock positions
Click this to display the stock availability. For more
information, see Overview of stock positions.
Note: This icon is available only if you select Top
10 items at Type.
Price agreement
Click this to display the price agreed with a particular
debtor for the selected item. For more information, see Creating and maintaining price agreements
for sales orders and sales invoices.
Note: This icon is available only if you select Top
10 items at Type.
Buttons
Advanced / Simple
Click Advanced to define more fields and view more
tabs.
Click Simple to define only certain fields and view
less tabs.
Note: This button is enabled only after you have
saved the debtor’s details.
Organization chart
Click this to view the organization chart of the debtor such
as the debtor’s subsidiary, contact person, type of debtor, and debtor status.
The organization chart is displayed in Microsoft Excel.
Note: This button is enabled only if the debtor has
subsidiaries and after you have saved the debtor’s details.
E-mail
Click this to send an email to the debtor’s contact person.
In the Contact persons screen, select a contact person, and then click Select.
Note: This button is enabled only after you have
saved the debtor’s details.
Graph
Click this to view the items purchased by the debtor in a
graph. The graph will be displayed in Microsoft Excel. In the Excel: Graph
screen, type or select the item or range of items to be displayed in the graph
at Item or select the All check box to display all the items in
the graph. At Assortment, select the items to be displayed in the graph
based on the selected assortment(s), or you can leave the box(es) blank to
display items with any assortment.
Note: This button is enabled only after you have
saved the debtor’s details.
Debtor card
Click this to view the debtor’s transactions. For more
information, see Viewing debtor cards.
Note: This button is enabled only after you have
saved the debtor’s details.
Conversion history
Click this to obtain an overview of completed and
incomplete converted sales orders. From the overview, you can view the selected
sales order or view the invoice linked to the selected sales order. For more
information, see Overview of converted sales order
history.
Note: The sales information is converted from the
Macola Progression® database to the Exact Globe database using a conversion
tool. This button is available only if you select the View sales
history conversion check box in Conversion history settings.

Word merge
Click this to create a letter for the debtor based on the
document layout that you have created in Microsoft Word.
Note: This button is enabled only after you have
saved the debtor’s details.
Quotation
Click this to create a sales quotation for the debtor. For
more information, see Creating and maintaining
quotations.
Note: This button is enabled only after you have
saved the debtor’s details.
New order
Click this to create a sales order for the debtor. For more
information, see Creating and maintaining sales
orders.
Note: This button is enabled only after you have
saved the debtor’s details.
Activity
Click this to create an activity for the debtor. In the Activity
types screen, select an activity type, and then click Select. For
more information, see Creating and maintaining CRM
activities.
Note: This button is enabled only after you have
saved the debtor’s details.
Save
Click this to save the debtor’s details.
New
Click this to create another debtor.
Close
Click this to exit.
