Introduction
This page allows you to create person accounts and modify existing person accounts. However, creating person accounts will depend on the account settings at
Modules ?
Customers ?
Setup ?
Other ?
Settings. If the Type: Select check box under the Account section and the Natural persons check box under the Persons section are selected, users can create prospect, customer, and supplier person accounts. Otherwise, users can only create accounts that are not validated.
The Security: Check – Roles check box under the Account section determines the users’ roles and rights. If this check box is selected, users will require certain roles and rights to be able to create and modify accounts as defined at the Prospect (Person), Customer (Person), and Supplier (Person) fields under the Security settings for creating new account section. For more information, see the
Roles and rights section. Otherwise, users can create accounts regardless of any roles and function rights.
The Mandatory: Contract check box under the Customer section determines whether a contract is required before customers of both type person accounts and type company accounts can be created. If this check box is selected, contracts must be created before you can create customer person accounts or customer company accounts. If this check box is not selected, customer person accounts and customer company accounts can be created without contracts.
Roles and rights
- To view inactive customer accounts, function right 289 — View inactive customer accounts is required.
By default, users with the Customer manager role have this function right.
- To edit account types except for reseller and customer accounts, function right 291 — Allows to edit account type, except reseller and customer is required.
By default, users with the Customer manager role have this function right.
- To edit the status of customer accounts, function right 292 — Allows to edit status of customer account is required.
By default, users with the Customer manager role have this function right.
- To edit the status of accounts except for customer and reseller accounts, function right 294 — Allows to edit status of account, except customer and reseller is required.
By default, users with the Customer manager role have this function right.
- To display and view account types, function right 430 — Maintain CRM account type field visibility is required.
By default, users with the Administrator role have this function right.
- To customize account cards (edit mode), function right 498 — Allows to update the company wide account card customization is required.
By default, users with the Administrator role have this function right.
- To view, create, and modify database hosting of accounts, function right 344 — Maintain database hosting settings is required.
By default, users with the Administrator role have this function right.
- To view and modify the background rating application, function right 337 — Allows to execute background rating application is required.
By default, users with the Customer manager or Administrator role have this function right.
- To delete accounts, function right 355 — Allows to delete accounts is required.
By default, users with the Customer manager role have this function right.

What version are you using?
The information in this document is applicable to product update 260 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I create person accounts?
- Go to Modules ? Customers ? Entry ? Entry ? Account.
- On the Select: Type page, select the required type of account in the Type: Person section.
- Define the required fields, and then click Save to save the person account information.
Keep in mind:

All fields marked with the “!” icon are mandatory.

Person accounts do not contain the Contact section. The Links section displays links of all contacts and person accounts linked to this person account.
How do I edit person accounts?
- Go to Modules ? Customers ? Reports ? Accounts ? Search.
- In the General section, select the Person check box at Account: Type.
- Define the required search criteria and click Show.
- Click the required person account hyperlink in the Account name column.
- Click Edit.
- Make the necessary changes, and then click Save.
How do I delete person accounts?
- Go to Modules ? Customers ? Reports ? Accounts ? Search.
- In the General section, select the Person check box at Account: Type.
- Define the required search criteria and click Show.
- Click the required person account hyperlink in the Account name column.
- Click Edit.
- Click Delete. The message “Are you sure that you want to delete this record?” will be displayed.
- Click OK.
How do I change the person account status to reference?
- Go to Modules ?
Customers ? Reports ? Accounts ? Search.
- In the General section, select the Person check box at Account: Type.
- Define the required search criteria and click Show.
- Click the required person account hyperlink in the Account name column.
- Click Edit.
- Click Reference.
Keep in mind: This function is available only for Customer person accounts, and only if the status of the account is Active.
How do I block person accounts?
- Go to Modules ? Customers ? Reports ? Accounts ? Search.
- In the General section, select the Person check box at Account: Type.
- Define the required search criteria and click Show.
- Click the required person account hyperlink in the Account name column.
- Click Edit.
- Click Blocked.
Keep in mind: This function is available only for Customer person accounts, and only if the status of the account is Active.
How do I change the person account status to pilot?
- Go to Modules ? Customers ? Reports ? Accounts ? Search.
- In the General section, select the Person check box at Account: Type.
- Define the required search criteria and click Show.
- Click the required person account hyperlink in the Account name column.
- Click Edit.
- Click Pilot.
Keep in mind: This function is available only for Customer person accounts, and only if the status of the account is Active.
How do I change the person account status to passive?
- Go to Modules ? Customers ? Reports ? Accounts ? Search.
- In the General section, select the Person check box at Account: Type.
- Define the required search criteria and click Show.
- Click the required person account hyperlink in the Account name column.
- Click Edit.
- Click Passive.
Keep in mind: This function is available only for Customer person accounts, and only if the status of the account is Active.
How do I change the person account status to active?
- Go to Modules ? Customers ? Reports ? Accounts ? Search.
- In the General section, select the Person check box at Account: Type.
- Define the required search criteria and click Show.
- Click the required person account hyperlink in the Account name column.
- Click Edit.
- Click Active.
Keep in mind: This function is available only if the status of the account is Reference, Blocked, Pilot, Passive, or Inactive.
How do I change the account status to inactive?
- Go to Modules ? Customers ? Reports ? Accounts ? Search.
- In the General section, select the Person check box at Account: Type.
- Define other required search criteria and click Show.
- Click the required person account hyperlink in the Account name column.
- Click Edit.
- Click Inactive.
Keep in mind: This function is available only if the status of the account is Active.
How do I promote prospect person accounts to customer person accounts?
- Go to Modules ? Customers ? Reports ? Accounts ? Search.
- In the General section, select the Person check box at Account: Type.
- Define the required search criteria and click Show.
- Click the required person account hyperlink in the Account name column.
- Click Edit.
- Under the Marketing section, select Customer at Type / Since, and then click Save.
How do I remove the linked accounts from person accounts?
- Go to Modules ? Customers ? Reports ? Accounts ? Search.
- In the General section, select the Person check box at Account: Type.
- Define the required search criteria and click Show.
- Click the required person account hyperlink in the Account name column.
- Click Edit, and then click Unlink.
Keep in mind: Once unlinked, all the contacts and person accounts linked to the person account card will be removed from the Links section.
Buttons
Close
Click this to exit.
Save
Click this to save the person account information.
Delete
Click this to delete the person account.
Reference
Click this to change the person account status to reference. These are person accounts that you want as your references for potential customers. The Reference status is available only for prospects and customers. This button is available for Customer person accounts, and only if the status of the account is Active.
Blocked
Click this to block the person account. This button is available for Customer and Supplier person accounts, and only if the status of the account is Active.
Pilot
Click this to change the person account status to pilot. These are pioneer users of the company’s products. This button is available for Customer person accounts, and only if the status of the account is Active.
Passive
Click this to change the person account status to passive. These are person accounts that deal only with the purchase of products from the company and not services. This button is available for Customer person accounts, and only if the status of the account is Active.
Active
Click this to change the person account status to active. This button is available only if the status of the person account is Reference, Blocked, Pilot, Passive, or Inactive.
Inactive
Click this to change the person account status to inactive. This button is available only if the status of the person account is Active.
Unlink
Click this to remove all accounts and contacts linked to the person account.
Note: The Delete, Reference, Blocked, Pilot, Passive, Active, Inactive, and Unlink buttons are available only if you are editing the person account.
Icon
Customise
Click Customise at the title bar to customize the fields or sections. You can display or hide fields and sections by selecting or clearing the relevant check boxes. In the Columns section, select the number of columns you want to arrange your sections in. You can also drag-and-drop the sections and fields to arrange them in the order and format you want. Click Save to save the settings, Reset to reset your selections to the default setting, or Close to exit without saving. Click Advanced for further customization of the person card. Take note of the following fields/sections/columns:
Buttons section
This section allows you to enable or hide the buttons. For example, if you do not want the Edit button to be displayed, clear the Edit check box.
Free fields section
This section displays extra fields which have been defined for the person accounts.
Relations section
This section displays the status of the person account, source, rating, and security level for access to the information of this person account.
Database section
This section allows you to display information on database settings related to the person account.
Mandatory column
This column is available once the Advanced button is clicked. Select the check boxes in this column to make the fields mandatory. For example, select the Code check box if you want the person account code to be mandatory. Otherwise, the person account cannot be saved.
Mode column
This column is available once the Advanced button is clicked. Select Show to display the fields, Hidden to hide the fields, or Edit to allow amendments to be made to the fields.
Function rights column
This column is available once the Advanced button is clicked. You can select function rights for the fields. Function rights are created at System à Setup à Security à Function rights. For more information, see Overview of function rights.
Fields
You can create an account for the following types:
- Prospect — A potential customer who has indicated an intention to purchase the company’s products in the future. A prospect is not a customer.
- Customer — A customer who has purchased the company’s products whereby there is a contract.
- Supplier — A supplier supplies products or services to the company.
General section
Title
Type or select the title used to address the person account.
First name
Type the first name of the person account.
Middle name
Type the middle name of the person account.
Last name
Type the last name of the person account. This is mandatory.
Address
Type the address of the person account. This is mandatory.
Postcode / City
Type or select the postcode of the person account. The city of the person account is automatically displayed based on the postcode selected. You can also type the name of the city.
Country / State
Type or select the country code and the state code of the person account.
Country
Type the name of the country where the person account is located.
Mobile
Type the mobile number of the person account.
Phone
Type the phone number of the person account.
E-mail
Type the e-mail of the person account.
Marketing section
Code / Status
Type a unique code for the account. This is mandatory. If you type an existing code, the system will automatically assign the next available numerical code to the account. The status of the person account is displayed.
Type / Since
The type of the person account and the date the type takes effect are displayed. If you are editing an account, the person account type can be selected, such as Customer or Prospect.
Classification / Rating
Type or select the classification of the person account. By default, the classification defined at Classification under the Account: Defaults section at Modules ? Customers ? Setup ? Other ? Settings will be displayed.
Financial section
Depending on the type of account, you may see different fields under this section.
Division
Type or select the division code of the person account.
Debtor code
Type the debtor code of the person account.
Creditor code
Type the creditor code of the person account.
Bank account
Select a bank account for the person account. If the Default bank account type option is selected, the default bank account will be selected when there is no bank account defined at Bank account. When the IBAN International Bank Account Number bank account type is selected, this field will be automatically disabled. It will be prefilled with the IBAN code defined at IBAN once saved.
IBAN
Type the International Bank Account Number for the bank account. The IBAN code must correspond with the existing bank account number for all countries except for Belgium, Germany, and Hungary. Otherwise, an error message will be displayed.
Note: This field is not available in the Central Master Data Management solution. For more information on the general validation rules for IBAN, see http://www.iban-rechner.eu/ibancalculator/iban.html and http://en.wikipedia.org/wiki/International_Bank_Account_Number#Validating_the_IBAN.
BIC code
Type the Bank Identifier Code of the bank account.
Note: This field is not available in the Central Master Data Management solution.
Picture section
Upload
Type or select the location of the picture file to be uploaded.
Remarks section
Type the comments for the person account. Click Timestamp to put a timestamp for the remark, and click Full screen to expand the remarks box to a full screen.
