Introduction
You can configure the Duration and Duration (Realised) fields in a request type. Duration calculates and stores the duration in days or hours from the Start date and Start time to End date and End time.
Duration (Realised) calculates and stores the duration in days and hours from Start date (Realised) and Start time (Realised) to End date (Realised) and End time (Realised).
This document describes only the settings specific for the Duration and Duration (Realised) fields. For more information on the menu path, roles and rights, buttons, and other settings available in most request fields, see Customizing request type fields (Main document).
- Search keyword: Type "duration" in the Name box and click Refresh. Click the Duration or Duration (Realised) field to add and configure the field in the request type.
- Automatic label: In a generated request form, the automatic label is "Hours (Planned)" or "Days (Planned)” for Duration and "Hours (Realised)" or "Days (Realised)" for Duration (Realised). Whether the label shows "Hours" or "Days" depends on your selection for the Show option in the Calculation section of this request field definition.
Roles and rights
To create and modify request types, function right 5 - Create request types, and edit request types without responsible or function right 232 - Edit all request types is required. By default, users with the General manager and HR roles have the first function right while the latter is reserved for users with the Administrator role.
However, the person selected as Manager of the request type in the General tab of the request type definition can add, remove, and configure request type fields without requiring any function rights.

What version are you using?
The information in this document is applicable to product update 258 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I configure the Duration and Duration (Realised) fields?
- On the Workflow: Request types page, click the request type to configure.
- On the page displayed, go to the Fields tab.
- Click the respective field in the Name column. If the respective field is not displayed here, click Add, and then select the field. The Request: Field page will be displayed.
- Define the settings for the field.
- Click Save, and then click Save again.
Fields
Default section
Hours
Type a number to set this as the default duration in the duration field of a newly-created request. A user can change the default duration unless you have disabled editing of this field for a relevant status of the request in the Edit section.
Calculation section
Calculate
Select this check box to enable Calculate in the request. The user can click the icon to calculate the duration of days or hours based on the start date/time and end date/time fields in the request.
Note: In order to enable the calculation, the relevant start date/time and end date/time fields must also be configured for the request type. For more information, see Customizing request type fields - End Date, End Date (Realised), Start Date, & Start Date (Realised) and Customizing request type fields - End Time, End Time (Realised), Start Time, & Start Time (Realised).
Manual entry
Select this check box to enable the user to type the duration in the duration field apart from clicking Calculate.
Note: This should be enabled only in cases when the work schedules cannot be used, or when there is no other option available to correct the absence balance. When manual entry is enabled, the calculation of the absence days and hours will be done based on the values defined by the user. This overwrites the calculated days and hours based on the work schedule.
Show
Select Hours and minutes, Hours, or Days to select the duration unit. Your selection will determine whether the duration is displayed as hours and minutes, hours, or days and whether the automatic label shows "Hours and minutes", "Hours", or "Days".
Note: When you define the duration unit as Hours and minutes, you can enter duration up to 24 hours only in the corresponding request.
Use: Schedule
Select this check box to calculate the duration based on the work hours schedule of the person linked to the request.
Note: In order to enable proper calculation, you must also configure the Person field in the request type. For more information, see Customizing request type fields - Person.
