Introduction
This page displays a list of invoice term requests that have been created for a specific account. Invoice terms are specified conditions of payment for an invoice based on the method an individual or company chooses to pay for a product or service.
Note: This document is applicable only to product updates that are prior to product update 250. Thereafter, the invoicing process has been updated. For more information on the invoicing process for product update 250 onwards, see Overview of billable, invoice term, intercompany, and credit invoice requests to be invoiced.
Roles & rights
To create and modify invoice term requests, you will require module YA1401 - Hour entry role or the Hour entry role, security level 10 and above, and a specific user-defined role that is linked to the relevant field on the Project hours: Settings page. For more information, see Defining Professional services automation settings.
Notes:

Users with the Employee Self-service or Business role will require the license YA1401 – Hour entry role before they can be assigned with the Hour entry role.

How do I view a term request?

On the Sales invoices: Term requests – To be invoiced page, define the relevant criteria.

Click Show.

Select the required invoice term request by clicking the hyperlinked code under the ID column.
How do I create a term request?

On the Sales invoices: Term requests – To be invoiced page, click New.

On the Terms page, define the relevant criteria.

How do I delete a term request?

On the Sales invoices: Term requests – To be invoiced page, define the relevant criteria.

Click Show.

Select the required invoice term request by clicking the hyperlinked code under the ID column.

On the selected invoice term request page, click Delete.
Keep in mind: Alternatively, you can also select the check box next to the relevant invoice term request on the Sales invoices: Term requests – To be invoiced page and click Delete.
How do I approve a term request?

On the Sales invoices: Term requests – To be invoiced page, define the relevant criteria.

Click Show.

Select the required invoice term request by clicking the hyperlinked code under the ID column.

On the selected invoice term request page, click Approve.
Keep in mind: Alternatively, you can also select the check box next to the relevant invoice term request on the Sales invoices: Term requests – To be invoiced page and click Approve.
How do I reject a term request?

Click Show.

On the selected invoice term request page, click Reject.

How do I invoice a term request?

Buttons
Show
Click this to display the results based on the defined criteria.
Refresh
Click this to refresh the results based on the last defined criteria.
Note: This button will be displayed after clicking Show.
Reset
Click this to clear the search criteria.
New
Click this to create a new PSA invoice term request. For more information, see Creating invoice term requests.
Delete
Click this to delete the PSA invoice term request.
Note: This button will be displayed after clicking Show.
Approve
Click this to approve the PSA invoice term request.
Note: This button will be displayed after clicking Show.
Reject
Click this to reject the PSA invoice term request.
Note: This button will be displayed after clicking Show.
Invoice selected
Click this to start generating the sales invoices for the selected invoice term requests. After invoicing, a unique invoice number will be generated and copied into the Our ref field of the request. This generated invoice number is eight characters long and will be created based on the logistics settings. For more information, see Logistics settings.
You will automatically see the invoice search page after the invoicing process is complete. You can search for the generated invoice numbers and view the invoice information (for example, the request from which the invoice is generated from, debtor name and so on). Alternatively, you can click View invoices & orders or go to Logistics à Reports à Invoice à Invoices to view invoices which have been created. For more information about invoicing invoice term requests, see Generating invoice numbers.

View invoices & orders
Click this to view or search for purchase orders, sales orders, or sales invoices. For more information, see Searching for purchase orders, sales orders, or sales invoices.
Note: This button will be displayed after clicking Show.
Close
Click this to exit.
Fields
Criteria section
This section displays all the necessary fields for searching invoice term requests.
Status
Select a request status to display the invoice term requests that are currently in the selected status. The request statuses available are Open, Approved, Rejected, Processed, Realized, Draft and (All).
For more information about request statuses, see Creating and modifying request types – Flow tab. Only requests with the Realized status can be selected to generate the sales invoices (by clicking Invoice selected). This is due to the invoice request settings. For more information on the invoice term request settings, see Setup an invoice request.
Division
Type or select a division code to display the invoice term requests created for customer accounts that are linked to the division.
Period
Select a period to display the invoice term requests that are created during the period. Alternatively, you can type or select the start and end dates of the invoice term request. The following periods are available:

<Range> – Displays invoice term requests that have been created during the range of dates selected in the adjacent dates fields.

<All> – Displays all existing invoice term requests.
-
This Month - Displays the invoice term requests that have been created in the current month.
-
Today – Displays the invoice term requests that have been created on the current day.
-
Today + Yesterday – Displays the invoice term requests that have been on the current day and the day before.
-
Last 7 Days – Displays the invoice term requests that have been created for the last seven days.
-
Last 30 Days– Displays the invoice term requests that have been created for the last thirty days.
-
Last 365 Days – Displays the invoice term requests that have been created for the last 365 days.
Customer
Type or select an account code to display the invoice term requests that are created for the customer account.
Only show requests from my workflow
Click this to display the invoice term requests that are currently in the workflow of the current user.
Project
Type or select a project code to display the invoice term requests that are linked to the project.
Project manager
Type or select the ID to display the invoice term requests that are managed by the project manager.
