This screen provides a report of sales orders that are created. The report also displays the process flow of each sales order, which you can process by clicking the processes in the process flow. From this report, you can also:
The information in this document is applicable to product update 404 and higher. If you have versions lower than this, certain features explained here will not be applicable.
Keep in mind: The Complete button is enabled only if the selected sales order has not been completed, and available if the Sales order option at Group by under the General section in the Order / Reports / Sales orders screen has been selected. Keep in mind: The Zoom button is available only if you have selected the Warehouse, Debtor, Item, or Sales order date option at Group by in the Order / Reports / Sales orders screen. For more information, see Generating sales orders report.
Keep in mind: The Note button is enabled only if a sales order with notes is selected.
Keep in mind: The Attachment button is enabled only if a sales order with attached documents is selected.
Keep in mind: The Invoice button is enabled only if a sales order that has been invoiced is selected.
The sales order report displays the information of the sales orders such as the sales order number, invoice debtor number, sales order date, quantity ordered, quantity fulfilled, ordered amount, invoice amount, and others.
Note: It is possible that not all the columns in the overview are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.
The process flow displays the statuses of the sales orders by displaying the date the process was completed, and a green check mark at the respective process. The process flow also allows you to process the sales orders by clicking on the processes. For example, if you want to authorize the selected sales order, click Authorize.
Note: The process flow can be clicked only if a sales order is selected from the report, whereby the first column of the report is SO. If the Warehouse option, Debtor option, Item option, or Sales order date option is selected at Group by at Order ? Reports ? Sales orders, select a line in the report, and click Zoom to display all the sales orders.
Click this to view the quotation of the sales order. "Skip" is displayed if quotation is not created for the sales order.
Click this to view all the sales orders that were placed by the selected debtor.
Click this to change the authorization status of the sales order. A message "Change authorization status?" will be displayed. Click Yes to change the authorization status, or No to exit. Sales orders can also be authorized at Order ? Entries ? Authorize. For more information, see Authorizing sales orders and Return to Merchant Authorization (RMA) orders.
Note: This process is available only if you have selected the Sales order check box at System ? General ? Settings ? Order settings, in the Authorize section.
Click this to print the sales order confirmation for the sales order. For more information, see Printing sales order and service order confirmation slips. "Skip" is displayed if you have not selected the Sales order confirmation check box for the sales order in the conditions screen (go to Order ? Entries ? Sales orders, select the relevant sales order, click Open, and then click Conditions). Sales orders can also be confirmed at Order ? Entries ? Confirm. Note: Sales order confirmations can be printed only if the sales order has been authorized, unless you have not selected the Sales order check box at System ? General ? Settings ? Order settings, in the Authorize section.
Click this to process the delivery of the sales order. For more information, see Fulfilling sales orders. Sales orders can also be fulfilled at Order ? Entries ? Fulfillment. For more information, see Overview of sales orders to be fulfilled.
Note: Delivery of sales orders can be processed only if the sales order has been confirmed, unless you have not selected the Sales order confirmation check box for the sales order in the conditions screen (go to Order ? Entries ? Sales orders, select the relevant sales order, click Open, and then click Conditions), or No is defined in the Confirm sales order box for the debtor at the debtor maintenance (go to Finance ? Accounts receivable ? Maintain, select the relevant debtor, and then click Open, under the Financial tab in the Sales order - Invoice section).
Click this to create and process shipment for the item(s) ordered for the sales order. For more information, see Creating and processing shipments for sales orders. Shipment items can also be created and processed at Order ? Entries ? Shipping. For more information, see Overview of sales orders to be shipped.
Note: Shipment of items can be created and processed only if the sales order has been fulfilled.
Click this to print the delivery note for the sales order. Invoices can also be generated and printed. For more information, see Printing delivery notes for sales orders and service orders. If the delivery note has been printed and the invoice has been generated for the sales order, the Invoices screen will display the generated invoice(s) for the sales order once Printed is clicked. Select the invoice, and click Open to view the generated invoice. Delivery notes can also be printed at Order ? Entries ? Print/Process. Click this to view all the invoices that were created for the selected debtor. In the Invoice history screen, select an invoice and click Open to view the selected invoice.
Note: This process button will have a completion date and a green check mark only if the invoice for the selected sales order is printed. Invoices can also be printed at Invoice ? Entries ? Print/Process. For more information, see Overview of invoices to be printed and processed.
This process button displays the date payment was made for the sales order.
Click this to complete the selected sales order. Once you have clicked this button, a message "Completed" will be displayed, and the check box for the sales order in the Completed column in the overview will be selected.

Click this to view and/or edit the sales order, or view the list of sales orders if the Warehouse, Debtor, Item, or Sales order date option is selected in Group by in the generate sales orders report screen (go to Order ? Click this to view and/or edit the note of the sales order. For more information, see Creating and maintaining notes.

Click this to export the report to Microsoft Excel.
Click this to view and/or edit the invoice of the sales order. For more information, see Creating and maintaining sales invoices.
