Introduction
The new Word Merge application offers a wide range of improvements over the current merge functionality. With this new application, users require a Word Merge file, which contains XML definitions of available fields in Exact Synergy Enterprise known as a schema. Word Merge allows users to create schema groups and schemas based on built-in schemas in Exact Synergy Enterprise and save them in the system.
Upon creating schema groups or schemas, users can set access rights to limit who can use the schemas or schema groups based on roles and people. For more information, see Creating and modifying Word Merge schema groups and Creating and modifying Word Merge schemas.
Roles and rights
To view, create, or modify schema groups and schemas, function right 897 – Maintain Word Merge or 898 – Allow to create Word Merge templates is required. Users with the Documents administrator role have these function rights.

How do I set access rights to a template group or template based on roles?
- On the Word Merge schema page, click on the relevant schema group or schema.
- On the selected schema group or schema page, click the Roles tab.
- Click New.
- On the Role: Schema group or Role: Schema page, define the relevant fields.
- Click Save to save the settings or Save + New to save the settings and add another role.
Keep in mind:
- For the Role: Schema page, the New button for the Role tab will be disabled if the Inherit security from the group check box is selected. Clear the check box and save the settings. Access the schema again, and the New button will be enabled for the Roles tab.
- If you have defined roles and people in a schema while the Inherit security from group check box is not selected and you select it after saving the settings, all previous definitions in the Roles and People tabs (for the schema) will be removed.
How do I modify a role linked to a schemae group or schema?
- On the Word Merge schema page, click the relevant schema group or schema.
- On the selected schema group or schema page, click the Roles tab.
- Click the required role.
- On the Role: Schema group or Role: Schema page, modify the relevant fields.
- Click Save to save the settings.
How do I delete a role linked to schema group or schema?
- On the Word Merge schema page, click the relevant schema group or schema.
- On the selected schema group or schema page, click the Roles tab.
- Click the required role
- On the Role: Schema group or Role: Schema page, click Delete.
- A confirmation message, "Are you sure that you want to delete this record?" will be displayed. Click OK.
Buttons
Save
Click this to save the settings.
Save + New
Click this to save the settings and add another role.
Note: This button is only displayed when adding a role to schema group or schema.
Delete
Click this to delete the role.
Note: This button is only displayed in edit mode.
Close
Click this to exit.
Fields
Schema group / Schema
This field displays the name of the schema group or schema. This field cannot be edited.
Note:
- The Schema group field is displayed when setting or modifying access rights based on roles for a schema group.
- The Schema field is displayed when setting or modifying acess rights based on roles for a schema.
Role
Select a role to be linked to the schema group or schema. This will define who can view and access the schema group or schema by role. For more information, see Overview of roles.
Level
Select a level to link the schema group or schema to the role at the selected level.
- Corporate - Select this option to link the schema group or schema to the role at a corporate level.
- Group - Select this option to link the schema group or schema to the role at a group level.
- Division - Select this option to link the schema group or schema to the role at a division level.
- Cost center group - Select this option to link the schema group or schema to the role at a cost center group level.
- Cost center - Select this option to link the schema group or schema to the role at a cost center level.
