Projects ➔ Entries ➔ Authorize
Realizations and purchase journal entries require verification and authorization before they can be invoiced. In this screen, the project or resource manager can retrieve, verify, and authorize the following:
Once authorized, by default, the sales price of the corresponding item will be used for billing purposes in lieu of purchase price. If the authorized entries are incorrect, you can make the necessary changes and authorize the entries again. After authorizing the entries, you can create invoices for the entries. For more information, see Generating invoice proposals and How-to: Managing projects.
You can retrieve the entries that you want to display by defining one or more search criteria and clicking Refresh. The system will display the entries that match the defined search criteria. A list of options will be displayed if you click at Manager and Resource. From the list, make a selection and click Select.
Select a year to display entries made in this year. By default, the current year is displayed.
Type or select a week number to display entries made in this week. By default, the current week number is displayed.
Select a specific warehouse to display entries linked to this warehouse or select All to display the entries linked to any warehouse. By default, All is displayed.
Select Yes or No to display only the authorized entries or non-authorized entries, respectively. Select All to display both authorized and non-authorized entries. By default, No is displayed. If you select Yes or All but leave the Project, Project manager, and Item fields blank, the Deviation column under the Lines section will be displayed.
Select this check box to display unauthorized entries from the previous weeks. Selecting this check box will display an additional column before the daily columns in a week, under the Lines section.
Note: This is enabled only when you have selected No at Authorized.
Type or select a manager to display the entries linked to resources reporting to this manager. By default, the resource who is currently logged on to the system is displayed.
Type or select a resource to display the entries linked to this resource.
Click Advanced/Simple to expand/hide the search criteria. A list of options will be displayed if you click at Project, Project manager, and Item. From the list, make a selection, and then click Select.
Type or select a project or range of projects to display entries linked to this project(s). Select the All check box to display the entries linked to any project. By default, the All check box is selected.
Type or select a project manager to display entries linked to this project manager.
Type or select an item to display entries linked to this item.
Select the Proposed, Active, Completed and/or Blocked check boxes to display entries linked to projects with the corresponding status(es).
After defining the criteria, click Refresh to display the entries that meet the defined criteria.
Note: If you click Columns, you can define whether you are able to continue editing the screen when there is an error in updating or continue updating the consecutive screens in the case when more than one screen is opened.
This column displays the names and IDs of resources. The last row displays the total number of items from the corresponding entries for each day and for all resources.
Click this to view the details of the entries linked to the selected resource.
Select the check box under this column to select the entries to be authorized.
This column displays the summary of items from the corresponding entries in the previous weeks.
Note: This column is available only if you select the Include: Previous(Weeks) check box.
Each column displays the quantity of items from the corresponding entries on different days in a week. This information cannot be edited.

This column displays the total quantity of items from the corresponding entries per week, per resource. This information cannot be edited.
This column displays the available working hours or capacity per week, per resource. This information cannot be edited.
Note: This column is available only if the Project, Project manager, and Item fields are blank.
This column displays the quantity of items from the corresponding entries that have deviated from the available working hours or capacity of the corresponding resource, based on the following formula:
Deviation = Schedule - Total
This information cannot be edited.
Note: This column is available only if you select All or Yes at Authorized and the Project, Project manager, and Item fields are blank.
This column displays the quantity of travelling distance per week, per resource. This information cannot be edited.
This column displays the amount of expenses incurred per week, per resource in the defined currency. This information cannot be edited.
Click this to display the entries based on the latest criteria defined.
Click this to export the entries to Microsoft Excel.
Click this to view the entries of the resource in the selected line.
Note: This button is enabled only when you select a line with entries.
Click this to view or maintain the resource in the selected line.
Click this to maintain the schedule of the resource in the selected line.
Click this to select all entries to be authorized at once, or remove the selection from all entries.
Click this to authorize the selected entries.
Note: This is enabled only if the check box in the Authorize column is selected and at least one entry is selected.
Click this to exit.
