The following screen allows you to search and view the accounts based on your defined criteria. From this overview, you can:
CRM ➔ Accounts ➔ Maintain accounts
You can filter the accounts that you want to display by defining one or more of the following criteria and clicking Search. The accounts that match the search criteria you have entered are then displayed.
Note: It is possible that not all the columns in the example are displayed. You can add or delete columns as required. For detailed instructions on how to customize displayed columns, see Inserting and deleting columns.
Click this to display the overview of accounts based on the defined criteria.
Click this to clear the defined criteria.
Type the number of rows to be displayed for each page. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, the Previous and Next buttons are available.
Click this to return to the previous screen.
Click this to go to the next screen.
Click this to display or hide the Type and Status criteria.
Select the required option to filter the search that starts with or contains a certain letter or word.
Type or select the country to display the accounts from the selected country.
Type an account name to display the accounts with the defined account name.
Type a contact name to display the accounts with the defined contact name.
Type or select a reseller to display the accounts of the selected reseller.
Select Associate, Bank, Customer, Division, Prospect, Reseller, Supplier, Not validated, Employee, Lead, or Suspect to display the accounts with the selected type. Alternatively, select All to display the accounts with any type.
Select Blocked, Inactive, Active, Reference, Not validated, Pilot, or Passive to display the accounts with the selected status. Alternatively, select All to display the accounts with any status.
Type or select a parent account to display the accounts of the selected parent account.
Type the debtor code to display the accounts with the defined debtor code.
Type the creditor code to display the accounts with the defined creditor code.
Select the Suspect, Lead, Prospect, Customer, Reseller, Supplier Associate, and/or Employee check boxes to display the accounts with the corresponding types
Note: This is available only if you have clicked Filter.
Select the Active, Passive, Pilot, Blocked, Reference, and/or Inactive check boxes to display the accounts with the corresponding statuses.
Click this to amend the details of the selected account. The Repair – Accounts screen will be displayed. You can then select the action to repair account details such as account type versus status, delete redundant debtors or creditors within the division, and convert the account delivery address into a new account. Click Start to automatically repair the account according to the selected action.
Click this to send an e-mail to the contact of the selected account.
Note: You need to define the e-mail address of the contact at the Contact persons screen before you can use this function.
Click this to view the organizational chart of the selected account in Microsoft Excel.
Note: This is enabled only if you have selected an account with a parent account.
Click this to merge the selected account with a Microsoft Word document. You then have the option to send an e-mail or print the merged document.
Click this to modify the code of the selected account without merging with another account or merge the selected account with another account and recode the merged account. For more information, see Recoding accounts.
Click this to copy the details of the selected account into a new account that you want to create.
Note: This is available for all account types except for accounts with type Employee.
Click this to delete the selected account. You can only delete an account if there are no previous transactions in the system for the selected account.
Click this to view or modify the details of the selected account.
Click this to create a new account of type Suspect, Reseller, Supplier or Associate. For more information, see Creating new accounts.
Click this to exit.
