Adding and maintaining roles for people

Introduction
It is possible to give a specific role to a new member or an employee in your company. With this function, a member with the role can perform the tasks as defined based on the function rights that are linked to the role.
Note: If
the Exact Synergy Enterprise license contains option 510, Exact Synergy
Enterprise will check and block all the active users without roles during the
first login.
Roles and rights
To link a person to a role, function right 176 – Maintain role members, 333 – Maintain role members – division level, or 334 – Maintain role members – group level is required. By default, users with the HR role have these function rights.

What version are you using?
The information in this document is applicable to
product update 260 and higher. If you have versions lower than this, certain
features explained here will not be applicable.
How do I add roles for people?
- On the System: Roles page, click the number under the Members column to view the members linked to a specific role.
- On the related System: Role – Member page, click New.
- Define the relevant fields.
- Click Save to save the settings or click Save + New to add the role to another person.
Keep in mind:
- You can also add or maintain roles for a person via Modules ? HRM ? Reports ? People ? Search. Define the relevant criteria, click Show, select a person under the Name column, and then click Add under the Roles section.
- All fields marked with the “!” icon are mandatory.
How do I maintain roles for people?
- On the System: Roles page, click the number under the Members column to view the members linked to a specific role.
- On the related System: Role – Member page, select the required person.
- On the personal card, click on the required role in the Roles section.
- Modify the relevant fields.
- Click Save to save the settings.
Buttons
Save
Click this to save the link of the person to the role.
Save + New
Click this to save the link of the person to the role, and then create another link of another person to the role.
Note: This will be displayed only when you are adding a role to a person.
Delete
Click this to remove the role from the person. Once clicked, a confirmation screen will be displayed. Click Yes to continue or No to cancel.
Note: This will be displayed only when you are maintaining the role of a person.
Log
Click this to display the modification log.
Note:This will be displayed only when you are maintaining the role of a person.
Close
Click this to exit.
Fields
Role
Select the role which you want to link the person to. This field is automatically defined if you are adding roles to a person via Modules ? System ? Setup ? Security ? Roles. Available roles are license, system, and user-defined roles. If you are assigning a role to a person who currently does not have any role assigned, only license roles will be available for selection. If you are assigning a role to a person who already is assigned with the Employee self service role, only selected roles and roles without any function rights linked will be available for selection. This field can only be edited when you are adding a role to a person. For more information, see Creating roles. Person
Type or select the employee to link the selected employee to the role. This field is automatically defined in you adding roles to a person via Modules ? HRM ? Report ? People ? Search. For more information, see Creating and modifying entries for people.
Level
Select the role level to link the employee to the role at the selected level. Role levels determine if a member is allowed to perform the task according to the function rights that is linked to the role at different levels of the organization chart. There are five options available:
- Corporate
- Group
- Division
- Cost center group
- Cost center
- Reseller
- Project
