Viewing dispatch planboards for Service management

Introduction
The dispatch board offers an insight to the service activities to be planned, such as activities that have a date defined, but without people assigned, and services that have been assigned to the people. Using the dispatch board, you can easily manage the service activities, schedule service appointments, plan activities, and view the workload of the people.
The dispatch board also displays all the people activities except for people requests with the Rejected status. When the people activity on the dispatch board is clicked, the details of the people activity will be displayed. The following colors (at the side of the request details) will display the status of the people activity request:
- Green — Open status
- Yellow — Approved status
- Red — Processed status
- Orange — Realized status
When the people request is clicked, the bottom part of the dispatch board will be blank, and the request type will be displayed in different colors depending on the Color selected in the General section under the General tab on the Workflow: Request type page (see Creating and modifying request types – General tab). However, the people requests in the dispatch board cannot be dragged (to another day) or resized (change duration of the people request).
Roles and rights
To view the service planboard, function right 852 - View service planboard is required. Users with the Service desk, Service engineer, Service planner, or Service manager have this funcction right.
To customize the service planboard, function right 872 - Maintain service planboard is required. Users with the Service planner or Service manager role have this function right.
Note:

- The Service desk, Service engineer, Service planner, and Service manager roles can be added only if the service management license role is added. For more information, see Service management role.
What version are you using?
The information in this document is applicable to product update 254 and higher. If you have versions lower than this, certain features explained here will not be applicable.
What can I view and do on the planboard page?
- The planboard is displayed with a title bar, Help icon, Customize icon, and Favorites icon. You can also display the page without the header or the menu frame by clicking the Fullscreen button.
- The planboard page will refresh the data automatically every 30 seconds. By default, 30 seconds is displayed at Auto refresh under the General section on the Dispatchboard service management page. You can customize the settings by clicking the Customize icon.
- You can drag and drop the planned item or calendar item by moving your mouse cursor to the relevant item created.
- You can specify which data is to be displayed by clicking the Customize icon.
- If the planboard is opened for the first time, the planboard displayed will be based on the person selected at the Planning section.
- By default, the current date is displayed on the planboard page.
- If Activity status is added to the selection of fields in the tooltip, the Plan button will be displayed.
Keep in mind: When the HR requests without an end date are created,
the requests will be displayed in the dispatch board schedule view up till the
current date.
How do I customize my planboard?
- On the Dispatchboard service management page, click the Customize icon.
- Make the necessary changes under the General, To be planned, Calendar, Job tooltip, and Planner sections.
- Click Save.
Buttons
Refresh
Click this to update the results according to the defined search criteria.
Fullscreen
Click this to view the planboard in a separate full screen.
Plan
Click this to automatically run the background process. An indicator will be displayed if the activity planning is already in progress.
Close
Click this to exit.
Fields
To be planned section
This section displays all the planning lines of an activity for the non-planned people, without a date or time entered or without a person linked.
Quicksearch
Type the activities, requests, or people to display the corresponding information in the planboard.
Division
Type or select a division to view the planboard for the selected division. By default, your division will be displayed.
Order by
Select Startdate hour planning (lowest date up), Request create date, SLA (time left), Customer, or Zipcode to display the corresponding information in the planboard. By default, Startdate hour planning (lowest date up) is selected.
Filter items
Select No filter, Preferred date, SLA, or Service request to display the corresponding information in the planboard. By default, No filter is selected.
Calendar section
Click on the required date to view the calendar associated with the person.
Information section
The section displays more details about the selected planning item in the planboard. The layout and fields displayed are currently fixed and cannot be changed.
Planning section
Select Day view – time vertically, Day view – time horizontally, Week view – time vertically, Week view – time horizontally, or Month view – time horizontally to display the planboard respectively. You can select the person from the box at the right corner to display the corresponding information in the planboard.
Note: The minute interval selected at Minute interval on the Dispatchboard service management: Customise page is available only for Day view - time vertically and Week view - time vertically.
Click this to view the planboard without the grid lines.
