Creating and maintaining layouts

Introduction
You can create document layouts to be used in your
administration apart from using the template layouts that are predefined by
Exact Globe Next.
What version are you using?
The information in this document is applicable to product
update 407 and higher. If you have versions lower than this, certain features
explained here will not be applicable.
How do I create a document layout?
- In the Document settings screen,
click at
any of the fields to display the Layout screen. A list of layout
names and descriptions will be displayed. For some of the layouts, a
column named Covering letter will also be displayed.
- Click New to create
document layout. A blank Layout screen will be displayed for you to
insert any relevant data accordingly.
- Right-click on any part of the
layout or click Edit at the menu bar to insert the necessary data.
- Click File and then Save
at the menu bar. Type the name of the layout description and click OK
to save before exiting.
- Click Exit to close the Layout
screen.
How do I edit the document layout?
- In the Document settings screen,
click at
any of the fields to display the Layout screen. A list of layout
names and descriptions will be displayed. For some of the layouts, a
column named Covering letter will also be displayed.
- Select an existing layout and
click Edit to open and edit the existing layout. The selected
layout screen will be displayed.
- Right-click on any of the
fields that you want to edit and make the necessary changes.
- Click File and then Save at the menu bar to save changes.
- Click Exit to close the Layout screen.
Menu bar descriptions
File menu
Click this at the menu bar and you will see the following options:
New
Click this to create a layout.
Open
Click this to open an existing layout, edit an existing
layout, or create a layout based on an existing layout.
Close
Click this to close a layout.
Save
Click this to save the new layout or the changes made to an
existing layout.
Save as
Click this to save the layout under a new name.
Import
Click this to import a layout from another source. By
default, the source is set to the Exact Software/USR folder. You
can only import a layout with the same file type stored in this folder.
Export
Click this to export an opened layout to another location.
By default, the export location is set to the Exact Software/USR folder.
Delete layout
Click this to delete a layout. You can only delete
own-created layouts and not template layouts.
Print
Click this to print the opened layout.
Preview
Click this to see a print preview of the opened layout.
Exit
Click this to exit.
Edit menu
Click this at the menu bar to display the following layout editing
functions:
Insert
Mouse over this to insert the required features as described
in the following:
- Text field
Click this to insert text fields where you can type text in the
layout. This text will always be displayed on the layout. For example,
text that denotes the name of a particular document such as ‘Reminder’. For
more information, see Maintaining
layouts: Inserting text fields.
- Calculation field
Click this to insert calculation fields in the layout. You cannot
insert a calculation field as a stand-alone field. This field can only be
inserted if there are fields which need to be calculated in the same
block. Hence, you cannot create a calculation field where a value from the
total block must be added with the value from the item block. For more

Cut
Click this to delete the selected part(s) of a layout.
Copy
Click this to copy the selected part(s) of a layout.
Paste
Click this to paste the part(s) which you have copied
earlier.
Font
Mouse over this to display the font editing options. You can
change the font type and size of the selected text. You can also set the
selected text to bold, italic and/or underlined.
Change field
Click this to edit the settings for blocks. The settings
determine whether the blocks will be displayed on the first page, subsequent
pages, and/or the last page of the layout.
Block settings
Click this to edit the settings for blocks. The settings
determine whether the blocks will be displayed on the first page, subsequent
pages, and/or the last page of the layout.
Layout settings
Click this to edit the settings for the layout. Among the
items to be set include description of the layout, and the language used for
description of the layout. The items which can be set in layout settings depend
on the layout you open.
Delete
Click this to delete the selected part(s) of a layout.
Original size
Click this if you want the selected image in the layout to be
displayed in its original size after you have changed the size.
Show underlying field
Click this to see if there is any field from several blocks
that overlap each other. For example, the invoice layout has fields from the
item block and the text line block that are overlapping. By clicking Show
underlying field, you can see the underlying field.
Mark all
Click this to select all the fields in the layout.
View menu
Click this at the menu bar to display the layout viewing
functions, as described in the following:
Visibility
Click this to set the visibility of the blocks in the
layout. With this function, you can remove whichever block that you do not want
to see in the layout. By default, all the blocks are selected for visibility.
Click on any of the selected blocks to remove the selection of the block(s), so
that they will not be displayed in the layout. To make the block(s) visible
again, click on the block(s) to select the block(s).
Grid
Mouse over this to display the grid functions. Click Draw to
draw grids and/or click Use to use grids in the layout.
Window menu
Click this at the menu bar to display all the window
options, such as:
Cascade
Click this to cascade all the opened layouts. All the
windows will be placed in a cascading position, overlapping each other.
Show all
Click this to arrange all the opened layouts below or beside
each other. All the windows will not overlap.
Arrange icons
Click this to ensure all the opened layouts can be
minimized, restored, maximized and closed with the available icons on the top
right corner of a window.
Help menu
Click this at the menu bar to display the help options.
Help..F1
Click this or press the F1 key to read the online help
documents regarding the topics on layouts.
About
Click this to view the information about Exact Globe Next,
the license, the company, applications used, and add-ons if available.
Icons
New
Click this to create a layout.
Open
Click this to open an existing layout or edit an existing
layout or to create a layout based on an existing layout.
Save
Click this to save the new layout or the changes made to an
existing layout.
Print
Click this to print the opened layout.
Preview
Click this to see the print preview of the opened layout.
Cut
Click this to delete the selected part(s) of the layout.
Copy
Click this to copy the selected part(s) of the layout.
Paste
Click this to paste the part(s) which you have copied earlier.
Font type
Select the font type for the selected field(s) in a layout.
Font size
Select the font size for the selected fields(s) in a layout.
Bold
Click this to bold the text of the selected field(s) in a layout. To remove the bold effect, click again at the selected
bold text.
Italic
Click this to italicize the text of the
selected field(s) in a layout. To remove the italic form, click again at the selected italic text.
Underline
Click this to underline the text in the selected field(s).
Help
Click this to read the online help documents regarding topics on layouts.
