Go to Service ➔ Entries ➔ Realizations, and click Realizations.
Once the service items in the service orders are delivered to the customers, the service items must be recorded into the system. Items such as spare parts, replacement items, and other service items, and labor hours must be recorded. You can then print out the delivery note for the customer to sign.
The information in this document is based on product update 397. If you have versions lower than this, certain features explained here will not be applicable.
Type a description for the delivered service. By default, the description entered in the service order is displayed.
Click this to change the service at address of the service order. For more information, see Maintaining addresses when realizing service orders.
The columns display information on service items to be realized. To process the realization, you can fill in or edit the following columns.
Type a realization date for the service items. By default, the date displayed is based on the transaction date defined in the overview of service orders to be realized screen (go to Service ➔ Entries ➔ Realizations).
This column displays the service items in the selected service order. This column cannot be edited.
Type a description for the service items. By default, the description displayed is based on the description defined for the service items at the item maintenance (go to Service ➔ Items ➔ Maintain, select the relevant service item, and then click Open), or hour maintenance (go to Service ➔ Items ➔ Hours, select the relevant hour item, and then click Open).
This column displays the status of the service items. By default, the status of the service items displayed are based on the status defined for the service items at the item maintenance (go to Service ➔ Items ➔ Maintain, select the relevant service item, and then click Open), or hour maintenance (go to Service ➔ Items ➔ Hours, select the relevant hour item, and then click Open). This column cannot be edited.
Click to view the instruction defined for the service items.
Click to view the extra description of the service items. This is based on the extra description defined for the service items at the item maintenance (go to Service ➔ Items ➔ Maintain, select the relevant service item, and then click Open), under the Basics tab.
Type or select (by pressing F2) the warehouse location of the service items to be realized. By default, the warehouse location displayed is based on the settings defined for the service items at the item maintenance (go to Service ➔ Items ➔ Maintain, select the relevant service item, and then click Open), under the Inventory tab.
This column displays the quantity of the service items in the selected warehouse location. This column cannot be edited.
This column displays the quantity of the service items ordered. This column cannot be edited.
Type the actual quantity of the service items that will be realized. By default, the displayed quantity is based on the ordered quantity (if the Check stock check box in the Fulfillment section under Order settings at System ➔ General ➔ Settings is selected and the stock level for the service items are more than the actual quantity ordered).
Note: “0” is displayed if the Check stock check box under the Fulfillment section at System ➔ General ➔ Settings, under Order settings is selected, and the stock level for the service items are below the actual quantity ordered. Also, the Actuals column is available for editing only if you have selected the Partial delivery allowed check box in the conditions screen (go to Service ➔ Entries ➔ Service orders, select the relevant service order, click Open, and then click Conditions) when the service order is created.
This column displays the unit of the service items. By default, the unit displayed is based on the sls.unit of the service items defined at the item maintenance (go to Service ➔ Items ➔ Maintain, select the relevant service item, and then click Open), under the Basics tab, or the Unit column of the hour item defined at the hour maintenance (go to Service ➔ Items ➔ Hours, select the relevant hour item, and then click Open), under the Basics tab under the Sales section. This column cannot be edited.
Select the check box in this column to enable an automatic entry line to the existing service order when additional items are realized from the original service items.
Note: You can customize to display this column only when you have the function right to add an extra item to a request/order or add an extra quantity to an item in the request/order.
Select the check box in this column if you want the transactions amount for items realized to be zero.
Type or select the serial or batch number for the service items. By default, “Serial item” is displayed if you have selected the Serial check box for the service items at the item maintenance (go to Service ➔ Items ➔ Maintain, select the relevant service item, and then click Open), under the Inventory tab under the Attributes section. “Batch item” is displayed if you have selected the Batch check box.
This column displays the lot number of the service items. By default, the lot number displayed is based on the lot number defined for the service items at the item maintenance (go to Service ➔ Items ➔ Maintain, select the relevant service item, and then click Open), under the Serial/batch tab. This column cannot be edited.
Type or select the ID or name of the employee who is in charge of the service items. By default, the name of the employee entered in the service order is displayed.
This column displays the realization date of the service items. By default, the realization date defined in the Fulfillment column in the Service orders screen (go to Service ➔ Entries ➔ Service orders, select the relevant service order, and then click Open) is displayed. This column cannot be edited.
This column displays the project generated for the selected service order. By default, the project code defined for the service order in the conditions screen (go to Service ➔ Entries ➔ Service orders, select the relevant service order, click Open, and then click Conditions), under the Analytical group section is displayed. This column cannot be edited.
Click this to view the details of the service call. For more information, see Creating and maintaining external service calls.
Note: This button is enabled only if a service call is created for the service order.
Click this to view the service order. For more information, see Creating and maintaining service orders.
Click this to set the value in the Actuals column for all the service items to zero.
Click this to process and print the delivery note for the service order. For more information, see Processing realizations for service orders.
Click this to exit.
