On this page, you can view details of a division. Since this screen can be customized, the order and availability of the sections below may differ from one user to another.
All users can view the list of divisions. However, to create divisions, function right 366 – Create new division is required. To modify divisions, function right 90 – Maintain division is required.
By default, users with the General manager, HR, or HR assistant role have these function rights.
The information in this document is applicable to product update 264 and higher. If you have versions lower than this, certain features explained here will not be applicable.
General section
Code
This displays the code of the division.
Name
This displays the name of the division.
Country
This displays the country to which the division belongs.
Default
This indicates whether the division is the default division (check box is selected) or not (check box is not selected).
VAT number
This displays the tax number of the division.
Chamber of Commerce number
This displays the Chamber of Commerce number for
the division.
Web site
This displays the website of the division.
Start date / End date
These display the start and end dates of the division.
Cost center
This displays the cost center of the division.
Currency
This displays the default currency of the division. By default, transactions performed that involve this division will use this currency.
Security level
This displays the security level of the division. Users with lower security level will not be able to select divisions with higher security levels in fields associated with division.
Financial reporting section
Reporting entity
This indicates whether the division is a reporting entity (check box is selected) or not (check box is not selected).
Presentation currency
This displays the currency that will be used in financial reporting for this division.
CTA G/L
This displays the G/L account that is used to record all the resulting currency exchange differences in the currency translation process.
Groups section
The names of the fields displayed are dependent on the division groups defined. Only the layouts that have been defined will be displayed. For more information, see Overview of group layouts.
Monitor section
The header of this section is not displayed.
Cost centers
Click this to view the organization chart by cost center. For more information, see Displaying financial organization chart.
Cost units
Click this to view a list of cost units for the division. For more information, see Overview of cost units.
People
Click this to view the employees belonging to the division. For more information, see Viewing overview of people.
Reports
Click this to view the financial reports that are available for the division. These reports are similar to the reports shown under the Reports tab in the Financial menu. For more information, see Financial menu.
Documents
Click this to view the documents created and/or modified by employees belonging to the division. For more information, see Viewing recent documents.
Projects
Click this to view the list of projects that are linked to the division. For more information, see Searching for projects.
Opportunities
Click this to view the opportunities of the divisions. For more information, see Viewing related opportunities.
Accounts
Click this to view the created accounts that belong to the division. For more information, see Searching for accounts.
Items
Click this to view the items that are linked to the division. For more information, see Searching for items.
Transactions
Click this to view the financial double entries that need to be processed for the division. For more information, see Displaying unprocessed entries.
Roles
Click this to display the list of roles assigned to a personnel of the division. For more information on how to assign a role to a personnel, see Linking a new member to a role.
Payroll
Click this to view the calculated payroll components for the personnel. For more information, see Viewing payroll entries report.
Schedule
Click this to view the work schedule of the personnel belonging to the division. For more information, see Viewing work schedules of divisions.
Assets
Click this to display the balance list for all assets linked to the division. For more information, see Displaying assets balance list.
Shareholders
This displays details of the division's share capital and listing of its shareholders. This is available only if you have the module license YA1040 – Financial consolidation and option 470. For more information, see Overview of share capital transaction records and linked shareholders.
Divisions
Click this to view the details of the child divisions, which are other divisions that this division has invested in. This is available only if you have the module license YA1040 – Financial consolidation and option 470. For more information, see Overview of linked divisions.
Chart of accounts
Click this to display the chart of accounts of the division. For more information, see Displaying chart of accounts.
Public holidays
Click this to view the public holidays of the division. For more information, see Viewing public holidays.
Budgets
Click this to view the list of budget entries of the division. For more information, see Displaying budget entries.
Competency section
This section is available only if the competency method is defined as Advanced in the general settings. If the settings have not been defined for the division, the settings defined in the general settings will be used. For more information, see Defining HRM general settings.
Final rating
This displays the final rating used for the competency calculation.
Calculation: Method
This displays the calculation method used to calculate the final rating of the applicants' and employees' competency profiles. For more information on the calculation methods, see How-to: Calculating ratings in competency and performance review profiles.
Reviewer
This indicates whether the manager of the employee or both the manager and the employee and the employee himself are able to review the competency profile.
Request type
This displays the request type ID of the notification that will be sent to the managers and/or people for reviewing purposes.
Request: End date
This displays the time span that is allowed for the manager and/or people to realize or process the review request.
Performance review section
These settings will be used for the division instead of the settings defined in the general settings. If the settings have not been defined for the division, the settings defined in the general settings will be used. For more information, see Defining HRM general settings.
Final rating
This displays the final rating used for the performance review calculation.
Calculation: Method
This displays the calculation method used to calculate the final rating of the employees' performance review profile. For more information on the calculation methods, see How-to: Calculating ratings in competency and performance review profiles.
Reviewer
This indicates whether the manager of the employee or both the manager and the employee and the employee himself are able to review the performance review profile.
Request type
This displays the request type ID of the notification that will be sent to the managers and/or people for reviewing purposes.
Request: End date
This displays the time span that is allowed for the manager and/or people to realize or process the review request.
Target agreement section
These settings will be used for the division instead of the settings defined in the general settings. If the settings have not been defined for the division, the settings defined in the general settings will be used. For more information, see Defining HRM general settings.
Request type
This displays the request type ID of the notification that will be sent to the managers and/or people for reviewing purposes.
Request: End date
This displays the time span that is allowed for the manager and/or people to realize or process the review request.
Number of targets: Minimum / Maximum
This displays the minimum and/or maximum number of targets allowed for each target agreement.
Cash instruments section
This section displays the cash instrument accounts of the division. If you have the relevant function rights, you can click Add to create a cash instrument account for the division. For more information, see Creating and modifying cash instrument.
Internal: Web sites section
This section displays the internal websites of the division. These are layouts that have been defined for the division. For more information, see Frontpage layout overview. Click New to create a document. To preview the website, click the icon under the Preview column.
External: Web sites section
This section displays the external websites of the division. These are websites of resellers, customers, and/or suppliers that have been defined for the division. For more information, see Searching for websites. Click the website link under the Web site column to modify the website configurations. For more information, see Creating and modifying websites. Click New to create a document. To preview the website, click the icon under the Preview column.
Address section
Account
This displays the name of the account of the division.
Address
This displays the address of the division.
Postcode / City
This displays the postcode and city of the division.
Phone / Fax
This displays the telephone and the fax numbers of the division.
Title / Contact
This displays the title and name of the contact person for the division.
E-mail
This displays the e-mail address of the division.
Country / State
This displays the country and state of the division.
HRM section
Absence: Expiry date
This displays the expiry date or the cut-off date of the absence balance.
Log: Effective date
This indicates if users are allowed to fill in the effective date of change for critical information in certain fields as well as modifying or deleting any record in the personal cards (check box is selected) or not (check box is not selected).
Arbodienst section
The information for Arbodienst is displayed,
such as the identification of the sender, receiver, and employer, and other
details.
Schedule section
Update: FTE
This indicates whether a person's Full Time Equivalent (FTE) is automatically generated when the person's work schedule is modified (check box is selected) or not (check box is not selected).
Generate: MRS
This indicates if the Master Resource Schedule (MRS) is automatically generated when the user creates an entry for a person (check box is selected) or not (check box is not selected).
Entitlement section
Calculation method
This displays the method of calculation for the entitlement.
Vacancy section
This setting will be used for the division instead of the setting defined in the general settings. If the settings have not been defined for the division, the settings defined in the general settings will be used. For more information, see Defining HRM general settings.
Request type
This displays the request type ID that will be used when creating a vacancy entry for the division.
Applicant section
This setting will be used for the division instead of the setting defined in the general settings. If the settings have not been defined for the division, the settings defined in the general settings will be used. For more information, see Defining HRM general settings.
Request type
This displays the request type ID that will be used when creating an applicant entry for the division.
Application phase
This displays the application phase defined for the division.
Back office section
Exchange: Mailbox
This displays the mailbox used for e-mails.
Server: Mailbox
This displays the ID and the subject of the document that is linked to the job activity.
Type
This displays the back office system where you want to import to Exact Synergy.
Database: IP Address (Server)
This displays the name of the database server of the back office system.
Database: Name
This displays the name of the database.
Type: Payroll
This displays where the payroll will be processed.
Show: A/R
This indicates whether the accounts receivable information will be displayed on the reseller and/or customer portal (check boxes are selected) or not (check boxes are not selected).
Invoice code
This displays the invoice code that will be used when the back office generate the invoices.
Budget scenario
This displays the budget scenario of the division.
Maintenance - CRM: Back office
This indicates whether users without function right 495 – Maintain CRM data when MainCRMBackOffice is set for current division are blocked from creating and modifying accounts belonging to the division (check box is selected) or not (check box is not selected).
