You will see the following screen by pressing the F2 key at the Item column in the sales invoice, direct invoice, or recurring invoice lines at the Sales invoices, Direct invoices, or Recurring invoices screen (go to Invoice ➔ Entries ➔ Invoices, Invoice ➔ Entries ➔ Direct invoices, or Invoice ➔ Entries ➔ Recurring invoices ➔ Enter, and then click Open or New). The following screen is also displayed by pressing F2 at the Item column in the credit note lines at the Enter credit notes screen (go to Invoice ➔ Entries ➔ Invoices, click Credit note, and then select Manually).
Note: It is possible that not all columns in this example are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.
Select the warehouse of the items you want to display.
Note: This is available only if you have E-Warehouse Management in your license.
Click this to return to the previous page of entries.
Click this to display the next page of entries.
Type the number of rows to be displayed for each page. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, the Previous and Next buttons will be enabled.
Click Advanced to expand the search criteria, or click Simple to hide the search criteria.
Type a description or part of it to search for the item. The description of the item is based on the description defined for the item at Description in the item maintenance (go to Invoice ➔ Items ➔ Maintain, select the relevant item, and then click Open).
Type an item code or part of it to search for the item. The item code is based on the code defined for the item at Item code in the item maintenance (go to Invoice ➔ Items ➔ Maintain, select the relevant item, and then click Open).
Type a search code or part of it to search for the item. The search code is based on the code defined for the item at Search code in the item maintenance (go to Invoice ➔ Items ➔ Maintain, select the relevant item, and then click Open).
Type or select the sales unit of the item to be searched. The sales unit is based on the unit defined for the item at Sls. unit in the item maintenance (go to Invoice ➔ Items ➔ Maintain, select the relevant item, and then click Open, under the Basics tab).
Type a user-defined description or part of it to search for the item. The user-defined description is based on the description defined for the item at Items : UserField in the item maintenance (go to Invoice ➔ Items ➔ Maintain, select the relevant item, and then click Open, under the Extra tab in the Free fields section).
Note: This is enabled only if the User-defined check box is selected.
Type a supplier item code or part of it to search for the item. The supplier item code is based on the code defined for the item at Supp. item code in the item maintenance (go to Invoice ➔ Items ➔ Maintain, select the relevant item, and then click Open, under the Purchase/Sales tab in the Suppliers section, select a supplier and click Edit).
Note: This is enabled only if the Supplier’s item code check box is selected.
Type a customer item code or part of it to search for the item. The customer item code is based on the Items by customer defined for the customer at the account maintenance (go to CRM ➔ Accounts ➔ Maintain accounts, select the relevant account, and then click Open, under the Financial tab in the Sales order – Invoice section).
Note: This is enabled only if the Customer item code check box is selected.
Select this check box if you want to search for items with the Sales attribute. The item is a sale item if the Sales check box is selected in the item maintenance (go to Invoice ➔ Items ➔ Maintain, select the relevant item, and then click Open, under the Purchase/Sales tab in the Attributes: Sales section).
Select this check box to display the quantity of the items in the warehouse. Once this check box is selected, the Stock and Free stock columns will be available to display stock information based on the system date.
Select this check box if you want the information of the selected item to be displayed such as the picture of the item, main supplier, extra item description, time of delivery, and serial/batch data. To view the serial/batch numbers that are linked to the item, click Serial/batch data at Available serial numbers. For more information on creating and editing serial and batch numbers, see Creating and maintaining serial-batch numbers.
Note: Serial/batch data is available only if the selected item is a serial/batch item. The item is a serial item if the Serial check box is selected or a batch item if the Batch check box is selected in the item maintenance (go to Invoice ➔ Items ➔ Maintain, select the relevant item, and then click Open, under the Inventory tab in the Attributes section).
Select the assortment(s) to display item(s) linked to the selected assortment(s). For more information, see Creating and Maintaining Assortments.
Note: The number of boxes displayed is dependent on the number of assortments defined at Invoice ➔ Items ➔ Assortments. For example, if two assortments are defined, two Assortment boxes will be displayed.
Select the required option to filter the item that starts with or contains a certain letter or word.
Click Search to search for entries based on the defined criteria.
Click Clear to clear the defined criteria.
Select this check box to enable the User-defined field.
Select this check box to enable the Supplier’s item code field.
Select this check box to enable the Customer item code field.
Click to add a new item. For more information, see Creating and maintaining items.
Click to edit the selected item. For more information, see Creating and maintaining items.
Click this to select the required item(s) and register the item(s) in the invoice/credit note.
Click this to view and select the replacement item(s) for the main item. The replacement item(s) is based on the item defined at Replacement item when you click Replacement items next to Repl. items in the item maintenance (go to Invoice ➔ Items ➔ Maintain, select the relevant item, and then click Open, under the Purchase/Sales tab in the Attributes: Sales section).
Click this to view the stock information of the selected item(s). For more information, see Overview of management resource planning (MRP).
Note: This is available only if you have E-Material planning in your license. Otherwise, the Item planning button will be available. Clicking Item planning will provide you with limited stock information.
Click this to view the transactions of the selected item.
Click this to copy the selected item. For more information, see Copying items.
Click this to exit.
