This page is called a project card. It displays the master data of a project. Whenever you create a project, a new card is automatically created containing the initial information registered, such as the contract, financial, and other information. If you have the necessary function rights, you can also click Edit to add or modify the registered information. The project card not only displays the registered information but also incorporates other information related to the project such as the children, members of the project, and recent requests related to the project. You can click the links under the Project monitor section to view or modify other project related information.
The information in this document is applicable to product update 263 and higher. If you have versions lower than this, certain features explained here will not be applicable.
Note: The project code, description, and status are displayed next to the picture of the project. A project can have four statuses namely Active, Blocked, Completed, and Proposed.
Type
This displays the type defined for the project. A project can have four types namely Internal, Fixed price, Time & material, and Training. This information is either user-defined or defined by default as Internal.
Start date - End date
This displays the start and end dates of the project.
Division
This displays the division to which the project is linked.
Assortment
This displays the item group code or assortment code to which the project is linked.
Manager
This displays the manager in charge of the project.
Parent
This displays the code, description, and status of the parent of the project, if any. This information is user-defined.
Monitor section
When viewing project cards, the header of this section is not displayed. The header will be displayed while you are customizing the cards. For more information, see Customizing information and layout in view modes of project cards.
Accounts
Click this to obtain an overview of accounts linked to the project or link the project to other accounts available in the Customers module. For more information, see Overview of accounts per project and adding new accounts.
Activities & material
Click this to view and/or define activities and materials that will be used in a project. This helps to ensure that only relevant and related items will be used in the scope of the project.
Note: To add activities and material to a project, the user must be the manager of the related project.
Budget
Click this to view and/or create project budgets for the project. For more information, see Overview of budgets for projects.
Note: This is available only if you have the Hour entry role or YA1401 — Hour entry role and a security level of 1 and above.
Budget reporting
Click this to obtain an overview of budgets for the project. You can also approve draft budgets and reopen approved or processed budgets here.
Note: This page is also accessible from Modules ➔ Projects ➔ Reports ➔ Financial ➔ Budgets.
Competency
Click this to obtain a list of competency profiles created for the project or create competency profiles. You can also add competencies under the profiles.
Note: This link is available only if you define the competency method as Advanced. You can define the method by going to Modules ➔ HRM ➔ Setup ➔ General ➔ Settings and select method at Method, under the Competency section of HRM settings.
Credit invoices
Click this to obtain an overview of invoiced amounts, credit invoices, and correction invoices. You can also create credit invoices.
Deliverables & WBS lines
Click this to view and/or create project deliverables and WBS lines for the project.
Note: This is available only for projects of the Time & material, Fixed price, and Training types, with the Use deliverables & WBS check box selected.
Documents
Click this to obtain an overview of documents linked to the project. For more information, see Viewing recent documents.
Financial
Click this to view the financial information of the project and its children, per budget scenario. For more information, see Financial overview per project.
Hour & expense approval
Click this to approve or reject the selected hours for the project. For more information, see Overview of hours and expenses to be approved or rejected.
Hour & expense entry
Click this to define hours and expenses for the project. For more information, see Working with hours and expenses entries.
Invoice proposals
Click this to obtain an overview of billable Professional services automation (PSA) requests and also to invoice the requests. For more information, see Overview of billable, invoice term, intercompany, and credit invoice requests to be invoiced.
Invoices
On this page, you can obtain an overview of the amount entered in requests for this project. For more information, see Overview of invoices per project.
Note: This is not available for projects of the Internal type.
Invoicing terms
Click this to create invoicing terms for a project. For more information, see Creating invoicing term requests.
Note: This is available only for projects of the Fixed price type.
Opportunities
Click this obtain an overview of opportunities related to the project. For more information, see Viewing related opportunities.
Planning
Click this to view the planning as well as the capacity and availability of employees to be planned for the project. For more information, see Overview of project planning.
Note: This is available only if you have YA1401 — Hour entry role.
Planning and realizations
Click this to obtain a detailed view of planning and realizations linked to this project. For more information, see Overview of invoices per project.

Rates
Click this to view and/or create project rates for the project. For more information, see Overview of project rates.
Note:
- You can only view the rates if you have the Project controller role, or you are the manager of the project and have the Project manager role.
- You can view and maintain rates if you have the Project controller role with function right 1015 — Maintain rates assigned, or you are the manager of the project and have the Project manager role with function right 1015 – Maintain rates assigned.
Relation
Click this obtain an overview of the planned and actual periods of the project together with the related projects such as the parent or child projects. For more information, see Overview of parent or child projects per project.
Reports
Click this to view all reports that are grouped under the Project report group. For more information, see Overview of reporting services integration reports.
Request Planning: Members
Click this to obtain an overview of requests planned for each project member. For more information, see Overview of request planning.
Request planning: Request
Click this to obtain an overview of planning with the requests created for the project. For more information, see Overview of request planning.

Tags
Click this to view the tag cloud of the top 40 tags related to the project.
Transactions
Click this to obtain an overview of the financial transaction report for the project. You can link the transactions to a transaction in the Financial module. After the transactions are linked, the actual transactions will be compared to the budgets.
Workflow
Click this to obtain an overview of requests linked to the project. You can link requests to projects if the Project field is added to the corresponding request type definition. For more information, see Overview of workflow of requests.
Links section
This displays a URL link and/or a link to a Request creation page. Click New and choose either to create a link to a webpage or a link to a Request creation page.
General section
Security level
This displays the security level defined for the project. This information was either user-defined or defined by default by the system.
Use deliverables & WBS
This displays whether deliverables and work breakdown structure (WBS) is being used for the project. Select this check box to use deliverables and WBS for the project.
Note: Once the check box has been selected, it cannot be cleared.
Allow hour & expense entry for non-members
This indicates whether non-members of this project are able to make hour and expense entries for this project (check box is selected) or not (check box is not selected).
Use drag-and-drop planning
When this check box is selected, clicking on the Planning hyperlink under the Project monitor section will redirect the user to a new Project planning page. If the check box is cleared, then clicking on the Planning button will redirect user to the old Project planning page.
Contract section
Ordered by
This displays the creator of the invoice.
Contact person
This displays the contact person for the creator of the invoice.
Delivery to
This displays the place to send the invoice to.
Contact person
This displays the contact person for the place to send the invoice to.
Invoice to
This displays the place to charge the money to.
Contact person
This displays the contact person for the place to charge the money to.
Evaluation
This displays the code and subject of the document to be used for evaluation of the project, if any. This information is user-defined.
Note: If you have selected an account in the Internal, Fixed price, or Time & material projects, you can only select documents linked to that account.
Confirmation
This displays the code and subject of the document to be used for confirmation of the details of the project, if any. This information is user-defined.
Note: If you have selected an account in the Internal, Fixed price, or Time & material projects, you can only select documents linked to that account.
Proposal
This displays the code and subject of the document to be sent as a proposal to the customers of the project, if any. This information is user-defined.
Note: If you have selected an account in the Internal, Fixed price, or Time & material projects, you can only select documents linked to that account.
Invoicing method
This displays the invoice code used to import invoices to Exact Globe Next for the project. To change the invoice code, click Edit.
Note: This will only be displayed if Project is selected on the Professional services automation: Settings page at the Invoicing method field under the Other settings section. For more information, see Defining Professional services automation settings.
Remarks section
This displays remarks added for the project. You can add remarks by clicking Edit.
Documents list section
This displays documents related to the project. Click New to create a new document with the Project field pre-filled, if available.
Hover over the section to display . If required, click on it to give the section a reflective name.
Requests list section
This displays links to Requests relevant to the project.
Hover over the section to display . If required, click on it to give the section a reflective name.
Click New to create a new request. If available, the option to pre-fill applicable fields (including the Project field) of the new request will be made available.
Financial section
Warehouse
This displays the code and description of the warehouse linked to the project, if any. This information is user-defined.
Cost centre
This displays the code and description of the cost center linked to the project, if any. This information is user-defined.
Cost unit
This displays the code and description of the cost unit linked to the project, if any. This information is user-defined.
Default currency
This displays the code and description of the default currency linked to the project, if any. This cannot be edited.
Billing currency
This displays the code and description of the billing currency linked to the project, if any. This information is user-defined.
WIP method
This displays the WIP method or calculation used for the project.
Invoice to
This displays the default invoice value where the invoice has been sent to.
Invoice proposal line grouping
This displays the grouping that has been defined to display the billable requests. For more information, see Overview of billable, invoice term, intercompany, and credit invoice requests to be invoiced.
Your reference
This displays the Your reference information for the project.
Invoice proposal description
This displays the default description for the Invoice proposal request to be generated for this project.
Note: This is not available for projects of the Internal type.
Globe Next description line 1
This displays the default description to be filled in the Description 1 field in the sales invoice to be generated in Exact Globe Next upon the creation of an Invoice proposal request.
Note: This is not available for projects of the Internal type.
Globe Next description line 2
This displays the default description to be filled in the Description 2 field in the sales invoice to be generated in Exact Globe Next upon the creation of an Invoice proposal request.
Note: This is not available for projects of the Internal type.
Globe Next description line 3
This displays the default description to be filled in the Description 3 field in the sales invoice to be generated in Exact Globe Next upon the creation of an Invoice proposal request.
Note: This is not available for projects of the Internal type.
Management section
Item (Output)
This displays the item code linked to the project. To change the item, click Edit.
Serial number
This displays the serial number linked to the project. To change the serial number, click Edit.
Job group
This displays the ID of the job group linked to the project. To change the job group, click Edit.
Members section
This section displays the project members. The first person to be listed under this section will always be the project manager followed by the main contact of the account (if available). When the number of members cannot fit the section, “+ x” will be displayed as an overlay on the rightmost picture, with “x” being the number of remaining members.
If you have function right 603 — Only Visible to Member, the rightmost picture will be an icon that allows you to add members to the project.
Timeline section
Click < Timeline to display the timeline panel, and click < Timeline again to hide the timeline panel. This section allows you to share posts to your
timeline. The posting box will be displayed for the active project
members and will not be displayed for the non-project and/or inactive project
members. However, the posting box will always be displayed for the project
managers (regardless of whether the project is active or inactive), and
non-project members if the non-project members have the administrator,
admin-all-group, project administrator, and/or other roles that allow the
non-project members to edit the project. The non-project and/or inactive
project members will only be able to view the posts that have been shared with
them.
The project will be automatically defined in the Share
with section. The project can be removed, and other projects can be added
via project mentioning. You can share the posts with individuals, everyone,
and/or groups.
The project member(s) will be notified if there is a post
and/or comment related to the project.
The
error message “There are no active members to share this post with” will be
displayed if all the project members and project managers are inactive.
Additionally, the system will not allow any posts to be posted on the project
timeline. The project manager will always get the notification which will be
included in the Share with section,
regardless the project manager is active or inactive in the project.
The project record wall supports embed feeds.
This functionality can be activated by clicking </> on the upper right side of the project record wall. By
default, the title of the embed feed will be [Project code] – [Project name].
The Posting box check box refers to the availability of the project
record wall posting box inside the embed widget. If the Posting box
check box is selected, only users with the posting right will be able to view
the embedded project record wall posting box in the workspace. The checking of
the user right for the posts in the embedded record wall will be the same as
the checking for the project record wall. The customers, resellers, and
suppliers will not be able to view the embedded project record wall.
