This page provides an overview of the number of used and balance absence days or hours. The display of absence balance requests for each person can be split or grouped, depending on whether the Split - Absence: Balance check box at Modules ? HRM ? Setup ? General ? Settings is selected or not.
To view the absence statistics of people, function right 157 — View absence statistics is required. By default, users with the General manager, HR, HR assistant, or Production manager role have this function right.

The information in this document is applicable to product update 259 and higher. If you have versions lower than this, certain features explained here will not be applicable.

Click this to display the statistics according to the defined criteria.
Note: Once you have clicked this button, the name of the button will change to Refresh.
Click this to update the statistics according to the defined criteria.
Click this to clear all the defined criteria so that you can start a new search.
Type or select the division code to display the statistics of people belonging to the selected division. Once you have selected a division, you can view the details of the division by clicking the name of the division displayed next to the box. For more information, see Viewing division cards.
Type or select the cost center group of the cost center to display the statistics of people belonging to the selected cost center group. For more information, see Creating and modifying cost center groups and Overview of cost center groups.
Type or select the cost center code to display the statistics of people belonging to the selected cost center. Once you have selected a cost center, you can view the details of the cost center by clicking the name of the cost center displayed next to the box. For more information, see Creating and modifying cost centers.
Select the Employee, Contractor, Student, and/or Temporary check boxes to include the respective types of employment in the statistics.
Type or select the ID to display the relevant absence statistics of the selected person. For more information, see Creating and modifying entries for people.
Note: This is available only if you have selected Absence: Balance at Layout.
Select the Active and/or Inactive check boxes to include the respective statuses of the people in the statistics.
Select one of the following options for the layout of the statistics:
Select the Open, Approved, Realized, and/or Processed check boxes to display the respective request statuses of the people.
Depending on your selection at Layout, you may see different fields. The following is the descriptions for all the available fields:
Select Days or Hours for the absence statistics to be displayed.
Note: This is available only if you have selected Absence: Balance or Availability at Layout.
Select Year or Reference date for the absence statistics to be displayed. If Year is selected, you can change the year by selecting the calendar or clicking the right and left arrows. If Reference date is selected, you can change the date by selecting the calendar or clicking the right and left arrows.
Type or select a start date for the absence statistics to be displayed.
Note: This is available only if you have not selected Absence: Balance at Layout.
Type or select the end date for the absence statistics to be displayed.
Select a request type for the absence statistics to be displayed.
Note: This is available only if you have not selected Absence: Balance or Availability at Layout.
If Absence: Balance is selected at Layout, the following columns will be displayed:
This column displays the names of the people. You can click the hyperlinks to display the personal cards of the people.
The Balance column displays the absence balance days that have been brought forward from the previous year.
The values in the Unused column are calculated using this formula: Absence balance brought from previous year – All absences taken before the expiry date of the entitlements.
The Entitled column displays the number of days or hours of the entitlements for the current year including the balance brought forward from the previous year.
The Generated column displays the entitlements that have been earned as of the date defined at Select.
The values in this column are calculated using this formula: Total credit days – Total debit days. Only requests with Add or Subtract selected at Balance, and None selected at Buildup, will be taken into account for the calculation. These settings can be defined when you click a request type at Modules ? Workflow ? Setup ? Requests ? Request types, under the Action column.
This column displays the number of vacation days taken. Only requests with the Subtract selected at Balance, and Monthly or Yearly selected at Buildup, will be taken into consideration for the calculation. These settings can be defined when you click a request type at Modules ? Workflow ? Setup ? Requests ? Request types, under the Action column.
The values in this column are calculated using this formula: (Value under the Entitled column + Value under the Adjust column) – Value under the Absence column.
Note: The value displayed in this column for a person is reflected at the Year end Balance column of the person's planning at Modules ? HRM ? Reports ? Planning ? Personal.
If Duration: Top 20, Duration: All, Frequency: Top 20, Frequency: All, Duration: Requests (Content 20), or End date: Empty is selected at Layout, the following columns will be displayed:
This column displays the duration of absence in graphical bars, based on the defined request type and start and end dates.
This column displays the number of absence days based on the defined request type and start and end dates.
This column displays the number of requests for each person based on the defined request type and start and end dates. You can click the hyperlinks to display the list of requests.
If Availability is selected at Layout, the following columns will be displayed:
If Days is selected at Show, this column displays the working days taken from the work schedule. If Hours is selected at Show, the values in this column are calculated using this formula: Working hours x Work schedule defined.
If Days is selected at Show, the values in this column are calculated using this formula: Contract days – Absence days.
If Hours is selected at Show, the values in this column are calculated using this formula: Actual days x Working hours.
The values in this column are calculated using this formula: (Actual day or hours / Contract day or hours) x 100.
