Authorizing production orders

Introduction
Authorizing production orders is a step used for checking production orders before they are processed. However, authorization is an optional process as it depends on the settings at System ➔ General ➔ Settings, under Manufacturing settings. If the Use authorise check box (under the Production order status section) is selected, then authorization becomes mandatory. Otherwise, the production orders created will be authorized automatically.
Only employees with the proper rights (defined at System ➔ HR & Security ➔ Security roles, and added to the personal cards of the employees under the Rights tab at HR ➔ People ➔ Maintain) are allowed to authorize production orders.
What version are you using?
The information in this document is based on product update 407 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I authorize production orders?
- Define the relevant criteria, and then click Search to display the overview.
- Select the production order(s) to be authorized.
- Click Auth.. An authorized production order is indicated by a green check in the Auth. column.
Keep in mind: Alternatively at step 2, you can select a production order, and then click Open. In the Production orders screen, click the Authorised process step.
How do I reverse the authorization done?
- Define the relevant criteria.
- Click Search to display the overview.
- Select the production orders that have been authorized, and then click Auth.. The production orders will no longer have the Authorised status.
How do I view the notes attached or add notes to the orders?
- Define the relevant criteria.
- Click Search to display the overview.
- Select a production or disassembly order, and then click Note. The Notes screen will be displayed, with the production or disassembly order and its Bills of Materials (BOM) listed.
- To view the notes or add a note, select the order line under the Production orders section or the BOM line under the BOM section, and then click . Another Notes screen will be displayed.
- Type the note, and then click Save.
How do I view the attachments linked or add attachments to the orders?
- Define the relevant criteria.
- Click Search to display the overview.
- Select a production or disassembly order, and then click Attachment. The Attachment screen will be displayed, with the production or disassembly order and its Bills of Materials (BOM) listed.
- To view the attachment or add an attachment, select the order line under the Production orders section or the BOM line under the BOM section, and then click . Another Attachment screen will be displayed.
- To view the file attached, click Open. To add an attachment, proceed to step 6.
- To add an attachment, click at File name to select the file required. Once selected, the date and size of the file will be automatically filled.
- At Description, type the description of the attachment.
- Click Save.
How do I delete the attachments linked to the orders?
- Define the relevant criteria.
- Click Search to display the overview.
- Select a production or disassembly order, and then click Attachment. The Attachment screen will be displayed, with the production or disassembly order and its Bills of Materials (BOM) listed.
- To delete the attachment linked, select the order line under the Production orders section or the BOM line under the BOM section, and then click . Another Attachment screen will be displayed.
- Remove the name of the file at File name. Once this field is empty, the Delete button will be displayed.
- Click Delete.
How do I view the sales orders linked to the orders?
- Define the relevant criteria.
- Click Search to display the overview.
- Select a production or disassembly order, and then click Sales order. The Sales orders screen will be displayed.
How do I view the availability of stock for items that are linked to the orders?
- Define the relevant criteria.
- Click Search to display the overview.
- Select a production or disassembly order, and then click MRP. The Item management: Planning screen will be displayed.
How do I view details of the projects linked to the orders?
- Define the relevant criteria.
- Click Search to display the overview.
- Select a production or disassembly order, and then click Project. The Maintain projects screen will be displayed for you to view and modify the details of the project.
How do I view copy budgets to the orders?
- Define the relevant criteria.
- Click Search to display the overview.
- Select one production or disassembly order or more, and then click Copy budgets. The Production order: Orders screen will be displayed.
- Click Copy budgets. The Budget screen will be displayed for you to select a budget.
- Click to display a list of existing budgets. The Budget scenarios screen will be displayed.
- Select a budget, and then click Select.
- Click OK.
- Click Close to exit.
How do I reject the orders?
- Define the relevant criteria.
- Click Search to display the overview.
- Select a production or disassembly order, and then click Reject. The E-mail screen will be displayed for you to send an e-mail to notify the rejection of the order. You can click Skip to cancel the sending of e-mail process. Otherwise, proceed to step 3.
- Once you have defined the fields, click Send. A production order that has been rejected is indicated by a green check in the Rejected column.
How do I view details of the orders?
- Define the relevant criteria.
- Click Search to display the overview.
- Select a production or disassembly order, and then click Open. The Production orders screen will be displayed for you to view and modify the details of the order.
Fields
Search
Click this to display the orders that match the defined criteria.
Clear
Click this to clear the defined criteria.
Number of rows
Type the number of rows to be displayed for each page. If you have set the default number of rows to 10, then 10 rows will be displayed. Therefore, if you have more than 10 rows listed, the Previous and Next buttons become available.
Previous
Click this to return to the previous display of results.
Next
Click this to display the next results.
Filter
Select starts with or contains to filter the orders that start with or contain the selected letter or word.
Warehouse
Select a warehouse to display orders that are linked to the defined warehouse. Alternatively, select All to display orders linked to all warehouses.
Start date, to
Type or select a start date or a range of start dates to display orders with the defined start date(s). Alternatively, select the All check box to display orders with any start date.
End date, to
Type or select an end date or a range of end dates to display orders with the defined end date(s). Alternatively, select the All check box to display orders with any end date.
Production order
Type or select an order number to display only the defined order.
Parent project
Type or select a parent production or disassembly order to display this order and the suborders linked to this order.
Order type
Select Production order or Production order: Disassemble to display the production orders or disassembly orders respectively.
Item
Type or select an item code to display orders that contain this item.
Description
Type a full or partial description to display the orders with descriptions that start with or contain the corresponding description.
Show
Select Parent project to display only the orders linked to the parent project, or All to display the orders for both parent and child.
Sales order
Type or select a specific sales order to display orders linked to this sales order.
Status section
Open, Authorised, Rejected, Released, Printed
Select the check box(es) to display the orders with the defined statuses.
Check section
Items, Stock, Warehouse, Sales orders, Serial/batch, Budgets copied
Select the check box(es) to add extra columns to the search results. A green check mark is shown in the corresponding column if the order fulfills a certain condition.
- Items — Select this check box to check whether the main product and the Bill of Material (BOM) have the Blocked status. A green check mark is displayed in the corresponding column if the status of the item is Blocked.
- Stock — Select this check box to check whether there is enough stock of subassembly components to produce the requested items. A green check mark is displayed in the corresponding column if there is sufficient stock to be issued to production.
- Warehouse — Select this check box to check whether a warehouse is blocked. A green check mark is displayed in the corresponding column if the status of the warehouse is Blocked.
- Sales orders — Select this check box to see whether a production order has been linked to one sales order or more. A green check mark is displayed in the corresponding column if the production is linked to a sales order.
- Serial/batch — Select this check box to see whether the items in the production order are serialized or batched. A green check mark is displayed in the corresponding column if the production order has a serial or batch item with serial or batch number assigned, and the status of the serial or batch number is Blocked.
- Budgets copied — Select this check box to check if a budget scenario is copied to the production order. A green check mark is displayed in the corresponding column if a budget scenario has been copied to the production order.
Note: This section is available only if you have the E-Production and E-Project modules.
Buttons
Note
Click this to view the note attached to the selected order or Bills of Materials (BOM) related to the order. You can also add a note for the selected order or BOM.
Attachment
Click this to view the files attached to the selected order or BOM related to the order. You can also attach a file to the selected order or BOM.
Sales order
Click this view or maintain the sales order linked to the selected order. For more information, see Creating and maintaining sales orders.
Note: This is enabled only if a sales order is linked to the selected order.
MRP
Click this to display an overview of the available stock for a selected item that has been received and/or is to be delivered at a given period of time. For more information, see Overview of MRP.
Project
Click this to view or maintain the project linked to the selected order. For more information, see Creating and maintaining projects.
Note: This is enabled only if a project is linked to the selected order.
Copy budgets
Click this to copy a budget scenario to the selected order. The Production order: Orders screen will be displayed for you to view a list of selected orders to which you want to link a budget scenario.
Auth.
Click this to authorize the selected order(s).
Reject
Click this to reject the selected order. The E-mail screen will be displayed for you to send an e-mail to notify the rejection of the order.
Note: Orders that have been authorized cannot be rejected.
Open
Click this to view or modify the selected order. For more information, see Creating and maintaining production orders.
Close
Click this to exit.
