Introduction
This page provides an overview of the personal planning of people based on the personal planning status.
You can also view the opening balance brought forward from the previous year, outstanding up-to-date balance, and the year-end balance of the absence entitlements for the
people.
When the Apply expiry date check box is enabled on the HRM: Division
– Entitlements page, the user will be able to see the number of entitlements and their expiry dates. To apply an expiry date for entitlements, the human resource personnel will need to enable the Apply expiry date check box and define the statutory and non-statutory entitlements for the employees, based on the respective expiry periods. For more information, see Adding or modifying entitlements for people or divisions.
Note:
- The Expiring entitlements section will only be shown when there are entitlements that will expire for the selected year.
- A maximum of 4 expiry dates will be shown for the selected year.
The Planned (Days) column shows the requests by days that have been planned for the individual types. These requests are still in the open status and awaiting approval. Under the Actual (Days) column, you will see the total requests by days for each type. These requests have been approved. Click the respective planning type in the calendar to edit the selected planning request.
Roles and rights
Users without any role can view their own planning (with public holidays indicated) and entitlements. Users with security level of 10 or higher can view other people's personal planning.

What version are you using?
The information in this document is applicable to product update 259 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I view the personal planning report of a person?
- On the HRM: Personal – Planning page, type the person code or select the required person at Person under the Criteria section. By default, the system will display the planning report of the current user that is logged on to the system.
- Define the rest of the fields.
- Click Refresh.
- Click Close to exit.
How do I view the planning report of a subordinate?
- On the HRM: Personal – Planning page, click Subordinates. For more information, see Viewing subordinates planning report.
How do I view the planning report of a project?
- On the HRM: Personal – Planning page, click Projects. For more information, see Viewing project planning report.
Buttons
Close
Click this to exit.
Refresh
Click this to update the personal planning according to the defined criteria.
Person
Click this to view the personal planning of the person selected at Person under the Criteria section.
Note: This is not available for users without any role assigned.
Subordinates
Click this to view the planning of people who are subordinates of the person defined at Person. For more information, see Viewing subordinates planning report.
Note: This is not available for users without any role assigned.
Projects
Click this to view the project planning of person selected at People. For more information, see Viewing project planning report.
Note: This is not available for users without any role assigned.
Year / Month / Week / Day
Click the Year, Month, Week, or Day buttons to view the yearly, monthly, weekly, or daily personal planning respectively.
New
Click this at the bottom of the planning to create a request. Alternatively, click an empty cell in the calendar to create a request. The request to be created depends on the selection of the option. You may see different request types depending on your settings. For more information, see Creating and modifying request types – Action tab and Creating and modifying requests.
Icon
Customise
Click Customise at the title bar to customize the fields or sections. You can add or remove existing criteria based on your preferences by selecting or clearing the relevant check boxes. Click Save to save the settings, Default to reset your selections to the default setting, or Close to exit without saving. Take note of the following sections/fields:
General section
You can define the height of the row under this section.
Project section
You can choose to display the relevant planning information on the project, such as the planning to include or exclude child projects and whether to include the planning on amount and/or members of the project under this section.
Person section
You can define the sort order and page size when displaying the planning for the person.
Planning: Week section
Select the check box to display the planning which includes Saturdays and Sundays.
Planning: Day section
Define the start and end time of a day to display the planning which falls within the defined time under this section.
Extra (Person) section
Select the Account, Project, Contact, Item, and Item 2 check boxes to display the corresponding extra information in the planning.
Fields
Person
Type or select a person to display the personal planning of this person. Once you have selected a person, you can view the details of the person by clicking the hyperlink displayed next to the box. For more information, see Viewing personal cards.
Show
Select the Balance check box if you want to display the balance of absence at the bottom of the page. Select the Expiring entitlements check box to display details of the expiring entitlements at the bottom of the page.
Note:
The calculation for expiring entitlements takes the expiry dates set for both statutory and non-statutory entitlements into consideration. Deduction will be done accordingly, with entitlements that expire first being used first. Entitlements should be used before they expire. Any personal time off planned after the expiry date will not be included in calculating entitlements that will expire on the next specific date.
- The Expiring entitlements section will only be shown when there are entitlements that will expire for the selected year.
- A maximum of 4 expiry dates will be shown for the selected year.
- The setting for the Expiring entitlements check box will not be saved. Whenever you access this planning page, by default, this check box will not be selected.
Request: Status
Select the Open, Approved, Realized, Processed, and/or Rejected check boxes to display the request with the corresponding statuses.
Planning
Select an option available for the personal planning to be displayed:
- Requests — Select this option to display the planning of the person based on the request types.
- Availability — Select this option to display the planning based on the availability or non-availability of the person.
View selection
Select Days or Hours to display the results in days or hours at the table below the calendar under the Opening Balance, Current Balance, and Year end Balance columns. You can view the results only if the Balance check box is selected at Show.
Simple / Advanced
Click Simple or Advanced to see different fields in the respective modes. By default, this page is displayed in the Simple mode.
If you click Advanced, you will see the following additional fields:
Category / Category 2
Select the category to display the planning requests created under this category. For more information, see Creating and modifying request category.
Type / Type 2
Select the request type created under the corresponding category of the planning request selected at Category / Category 2. For more information, see Creating and modifying request types – General tab.
Exclude: Type 1 / Exclude: Type 2
Select the required request type to be excluded from the personal planning.
Columns
Opening balance
- Balance — This column displays the opening balance from the previous year.
- Unused — This column displays the unused balance from the previous year. The value will be reduced if the absence is taken before its expiry date.
Current balance
This column displays the accumulation of unused balance from the current year until the generated month. The value is calculated by adding the value in the Balance column with the value in this column, and then minus the number of absence days taken.
Year end Balance
This column displays the entitlement for the year defined in the Criteria section.
