Exact Globe Next has predefined five basic roles that include Administrator, HR, Purchase Agent, Representative, and System Administrator. These default roles are indicated by a green check mark in the Default role column in System ➔ HR & Security ➔ Security roles. You need to assign at least one person in your company to be the administrator. By default, an administrator has all the rights to access Exact Globe Next. You cannot edit the rights of an administrator.
Apart from the default roles, you can also create roles by clicking New at System ➔ HR & Security ➔ Security roles. After defining the roles, you must link every role to a group of menu path and/or functional rights by selecting the check boxes under the Rights tab.
The following are examples of the combination of a role to multiple rights and how the combination affects the access and functional rights of the person. A person can be assigned with more than one role; hence he or she may have various rights from the different roles held. At any time, you can change the rights linked to a role except for the system-defined rights of the Administrator and System Administrator roles.
To see the rights assigned to the Purchase Agent role, go to System ➔ HR & Security ➔ Security roles, select Purchase Agent and then click Open. Under the Rights tab, click at Menu to view the full list of the main menu paths on the right column. Click the menu path with the check boxes selected to view the rights assigned to this role.
The person with the Purchase Agent role will have the rights to access the Purchase ➔ Entries ➔ Purchase orders and Purchase ➔ Entries ➔ Print / Process menu paths. In addition, this role also has the rights to access the Purchase ➔ To be processed ➔ Purchase order list menu path.
Go to System ➔ HR & Security ➔ Security roles, select Representative and then click Open. Under the Rights tab, click at Menu to view the full list of the main menu paths on the right column. Click the menu path with the check boxes selected to view the rights assigned to this role.
The person with the Representative role will have the rights to access the Invoice ➔ Statistics ➔ Graphic overviews ➔ Period, Order ➔ Entries ➔ Sales orders, Order ➔ Entries ➔ Confirm, and POS ➔ Statistics ➔ Period menu paths as well as the rights to maintain the payment terms for sales.
In this example, a non-system-defined role is used as the scenario. Go to System ➔ HR & Security ➔ Security roles, select the particular role and then click Open. Under the Rights tab, click at Menu to view the full list of the main menu paths on the right column. Click the menu path with the check boxes selected to view the rights assigned to this role.
The person with the HR Maintain role will have the rights to access the HR ➔ Human resources ➔ Maintain menu path based on the selection of the check boxes at HR, Human resources, and Maintain in the first screen. Based on the selection of these check boxes for this menu path rights, the check boxes at Payroll, Human resources, and Maintain will be selected automatically as the Payroll ➔ Human resources ➔ Maintain menu path is identical to the HR ➔ Human resources ➔ Maintain menu path. This applies to other menu paths like Inventory ➔ Items ➔ Assortments with its identical menu paths that include Invoice ➔ Items ➔Assortments, Order ➔ Items ➔ Assortments, Purchase ➔ Items ➔ Maintenance, and POS ➔ Items ➔ Assortments. If you remove the rights from any of the identical menu paths, rights to all other identical menu paths will also be automatically removed.
