You can create Return to Vendor (RTV) orders for goods to be returned to your supplier. RTV orders are planned returns which you can process from entering returns, authorization, and printing or processing. In an RTV order, you need not state the quantity of item in a negative value as the quantity entered in an RTV order is automatically considered a return.
Go to Purchase ➔ Entries ➔ RTV order, and then click New to create a new RTV order, or select an existing RTV order and click Open to view or modify the RTV order.
The creating and maintaining RTV orders function consists of the following sections:
A list of options is displayed if you click at Return to, Delivery from, Person, and other fields. From the list, make your selection and click Select.
Type or select the creditor that you want to return the items to. The default supplier’s main contact person’s name and address is displayed in the field below.
Type or select the delivery warehouse that the items are returned from.
Click this to view or edit the creditor’s information.
Note: This icon is available only after the RTV order number is defined.
Click this to view the creditor’s financial transactions.
Click this to view or edit the creditor’s address data.
Press TAB if you want the RTV order number to be defaulted based on the running sequence number defined at System ➔ General ➔ Settings, under Number settings at the Logistics section. If you want a number of your choice, then manually type the numbers and press tab. A message is prompted “RTV order number: [manual numbers] Setting: [manual numbers]. Click Continue to continue entering the RTV order with the number of your choice or otherwise click Cancel. You can also select the RMA order number to retrieve existing RMA orders by pressing F2 or by clicking . This information is mandatory.
Note: The RTV order number cannot be edited once it has been defined.
Type the RTV supplier name. The RTV supplier is the creditor whom you want to return the item to.
Type the description of the RTV order.
Type or select the RTV order date.
By default, the person defined in the creditor maintenance at Finance ➔ Accounts payable ➔ Maintain, under the Marketing tab (Advanced mode) or Financial tab (Simple mode) at Representative is displayed. If the representative is not defined, then the person is defaulted to the current user. You may also select other relevant person by typing or pressing F2 to select the person which depends on the selection of the Purchase Agent Only check box in the Purchase setting. If you have selected the Purchase Agent Only check box, then you can only select a person who is a purchase agent.
Note: You can define a person as Purchase Agent in the Rights tab in the person maintenance screen at HR ➔ People ➔ Maintain.
Type or select the shipping method that is used for returning the items. By default, the shipping method defined in the creditor maintenance at Finance ➔ Accounts payable ➔ Maintain under the Financial tab at Shipping via is displayed.
Click this to define and view details for the RTV order such as payment data, RTV order data, analytical group, or freight data.
Note: It is possible that not all the columns in the overview are displayed. You can add or remove columns as required by clicking Columns at the toolbar. For information on how to customize these columns see: Customizing columns for RTV order lines.
Type or press F2 to select the item being returned. For more information, see Selecting items in purchase orders, Return to Vendor (RTV) orders, and blanket purchase orders.
Note: You can press F4 to enter RTV order lines for existing receipts or RMA orders. For more information, see Overview of items received from supplier or returned from customers.
By default, this is pre-filled with the item description defined in the item maintenance. You may change the description by typing the new description in this column.
If the item for the supplier has a price agreement, then the price agreement is displayed. The price agreement can be defined by clicking the Purchase prices button under the Purchase/Sales tab in the item maintenance. You may change the price agreement by typing or pressing F2 to select a new price agreement for the item.
Type the total quantity of the item to be returned.
The purchase unit of the item is pre-filled as per defined in the items by supplier under the Purchase/Sales tab in the item maintenance. This information cannot be edited.
Type the fulfillment date. By default, the date the RTV order is created is pre-filled.
The price of the item being returned is pre-filled. The price is defined in the items by supplier under the Purchase/Sales tab in the item maintenance.
Type the percentage of discount for the item being returned.
The net price of the item is automatically calculated based on the formula, the item’s price at Price deducting the discount percentage that you have typed in Disc %.
If the item is liable for tax then type or press F2 to select the relevant tax code for the item to be returned. By default the tax displayed is as defined in the creditor maintenance under the Financial tab, under the Tax section at Tax.
Note: The use of Tax or VAT depends on the license legislation and the settings of Exact Globe Next. Within the International legislation it is possible to switch between Tax or VAT at General ledger setting via System ➔ General ➔ Settings. If you select the “Use tax module” check box, then the Tax is applied and you can define the number of tax codes at “Show: Maximum number of tax codes”. If you deselect the “Use tax module” check box, then the VAT is applied.
This is optional information used for shipping (Intrastat) purposes for European Union (EU) countries. If your business transactions are within the EU countries, then you can type or press F2 to select the relevant EU country. At the moment the EU countries are France, Czech Republic, Germany and Poland.
The amount of item being returned is pre-filled. The amount displayed is automatically calculated with the formula, total quantity multiplied by net price. This information cannot be edited.
If you have selected to enter the RTV orders lines from existing receipts by pressing F4, then the purchase order number is pre-filled. If you have selected to enter the RTV order lines from existing RMA orders, then the RMA order number is pre-filled.
Type or select the reason code for the item being returned. Standard reason codes can be defined at System ➔ Logistics ➔ Reason codes. For more information, see Creating and maintaining reason codes.
Type or select the serial or batch numbers of the item being returned.
Note: The Serial/batch numbers column for the selected item is enabled only if the Batch check box or Serial check box under the Inventory tab, under the Attributes section in the item maintenance is selected.
By default, this column displays the default person ID that is the creditor’s representative as defined in the creditor maintenance, under the Marketing tab at Representative. You may change the person by typing or pressing F2 to select the relevant person that is responsible for the return of the item. This information is optional.
The RTV order process flow displays the statuses of the RTV orders by displaying the date the process was completed and a green check mark. The RMA order process flow also allows you to process the RMA orders by clicking on the process steps. For example, if you want to authorize the RTV order, click Authorized.
Click this to view all RTV orders that you created.
Click this to change the authorization status of the RTV order. You can also authorize the RTV order at Purchase ➔ Entries ➔ Authorize. For more information, see Authorizing purchase and RTV orders.
Note: The Authorized process step is available only if you have selected the RTV order check box under the Authorize section in Purchase settings at System ➔ General ➔ Settings.
Click this to process the RTV order. For more information, see Printing and processing purchase orders and RTV orders.
Click this to enter returns for the item in the Returns screen. For more information, see Returning items received to suppliers.
This will be shown with a green check mark and a date if you have entered the credit note for the RTV order. Otherwise this is shown with a red cross. The credit note can be entered in the purchase journal via Finance ➔ Entries ➔ Purchase. For more information, see Creating and maintaining purchase journal entries.
This is shown with a green check mark and a date if you have entered payment for the return of item. Otherwise this is shown with a red cross. The payment can be entered at Cash flow ➔ Entries ➔ Cash flow. For more information, see Entering payment and receipt.
This is shown with a green check mark and a date if you have entered an order for replacement of the returned item. Otherwise this is shown with a red cross. Ordered is basically to generate a purchase order with the supplier of the RTV order but the returned item and quantity is not populated in the new purchase order.
The total net amount of items to be returned is displayed. Click the Net button to view the calculation information of the net amount.
The total tax amount of the items to be returned is displayed. Click the Taxes button to view the calculation information of the taxes.
The total amount is displayed. Click the Total button to view the calculation information of the total amount.
Click this to view the RTV order details group by Item or Fulfillment date.
Click this to create a new RTV order.
Click this to exit.
