Introduction
From May 25, 2018 onwards, the European General Data
Protection Regulation (GDPR) will be enforced whereby businesses are required
to protect the personal data and privacy of the citizens of the European Union
(EU) for the transactions that occur within the EU member states. Thus,
companies that collect data for the citizens in the EU countries must comply
with the new rules. GDPR also regulates the exportation of personal data
outside the EU.
For every personal data classification, you can view the
number of people that are linked to the personal data classification, number of
people whereby the event has taken place, and the number of people with expired
retention period. The Selections / Actions screen allows you to zoom in
on the personal data classification, and perform various actions on the
personal data.
What version are you using?
The information in this document is applicable to product
update 416 and higher. If you have versions lower than this, certain features
explained here will not be applicable.
How do I view the people that are linked to the personal data
classification?
- In the Selections
/ Actions screen, select the personal data classification.
- Click Zoom.
How do I process the personal data?
- In the Selections
/ Actions screen, select the personal data classification.
- Click Zoom.
- Select the
personal data to process.
- Click Select.
You can also click Select all to select all the personal data.
- Click Process.
Keep in mind: The Process and Select buttons
are enabled only if a personal data entry is selected.
How do I export the personal data to Microsoft Excel?
- In the Selections
/ Actions screen, select the personal data classification.
- Click Zoom.
- Click Export.
How do I create a letter for the personal data?
- In the Selections
/ Actions screen, select the personal data classification.
- Click Zoom.
- Select the
personal data entry.
- Click Select,
or click Select all.
- Click Word
Merge.
- In the Word
Merge screen, select a layout at Layout. This is mandatory.
- Select the Print
document check box if you want to print the letter.
- Select a type at
Type.
- Type a subject
for the letter at Word Merge: Subject.
- Click Start.
Keep in mind: The Word Merge button is enabled
only if a personal data entry is selected.
How do I link the account, contact person, or employee to the personal data classification?
- In the Selections / Actions screen, select the personal data classification.
- Click Link.
- Click New.
- Select the account, contact person, or employee.
- Click Select.
- Click Close to exit.
How do I remove the account, contact person, or employee from the personal data classification?
- In the Selections / Actions screen, select the personal data classification.
- Click Link.
- Select the account, contact person, or employee that you want to remove.
- Click Delete.
- Click Close to exit.
How do I check which documents will be deleted?
- Go to System ➔ HR & Security ➔
Personal data ➔ Classifications.
- Select a personal data classification.
- Click Open.
- In the Personal
data classifications screen, click the Personal
data tab.
- Click Select
at Documents in the To be anonymized / To be deleted
section. This is to check which document types are selected.
- Go to Finance ➔ Entries ➔ Documents or
CRM ➔ Entries ➔ Documents.
- Click Filter.
- Select the person at Person, or select the account at Account.
- Click Refresh.
- To
check the document types that are available, select the document type in the CRM > Entries > Documents screen.
- Click
Zoom.
Keep in mind:
When searching for the documents, only the documents with a security level that
is lower or equal to the security level of the user will be displayed. The
users that have the right to view all the documents should perform the search.
During the deletion of the documents, all the documents will be deleted
regardless of the security level.
How do I check which activities will be deleted?
- Go to CRM ➔ Entries ➔ Activities.
- Click Filter.
- Select the person at Person, or account at Account.
- Click Search.
- Check the activities that are available for each
activity type. All the activity types that are selected in the personal data
classification will be deleted.
Keep in mind:
When searching for the activities, only the activities with the security level
that is lower or equal to the security level of the user will be displayed. The
users that have the right to view all the activities should perform the search.
During the deletion of the activities, all the activities will be deleted
regardless of the security level.
Fields
Note: It is possible that not all the columns in this
document are displayed. You can add or delete the columns as required. For more
information, see Inserting and deleting columns.
View
Select the category to display the personal data
classifications with the selected category. You can select Account, Contact
person, or Employee. By default, Account will be displayed.
Note: This field is displayed only if Zoom is
not clicked.
Accounts
Type or select an account or a range of accounts to display
the personal data for the selected account(s).
Note: This field is displayed only if Account
is selected at View, and Zoom is clicked.
Contact person
Type or select a contact person or a range of contact persons
to display the personal data for the selected contact person(s).
Note: This field is displayed only if Contact
person is selected at View, and Zoom is clicked.
People
Type or select a person or a range of people to display the
personal data for the selected person(s).
Note: This field is displayed only if People
is selected at View, and Zoom is clicked.
Personal data classifications
Type or select a personal data classification or a range of
personal data classifications to be displayed. You can leave this blank to
display all the personal data classifications.
Note: This field is displayed only if Zoom is
not clicked.
Include: Inactive
Select this check box to display the personal data
classifications that are also inactive.
Note: This check box is displayed only if Zoom
is not clicked.
Event occurred
Select this check box to display the personal data
classifications, or personal data entries whereby the event has occurred.
Expiry period reached
Select this check box to display the personal data
classifications, or personal data entries that have expired.
Buttons
Refresh
Click this to refresh the data based on the search
criteria.
Zoom
Click this to view the personal data for the selected
personal data classification.
Note: This button is enabled only if a personal data
classification is selected.
Link
Click this to link the account, contact person, or employee to
the selected personal data classification.
Note:
This button is enabled only if a personal data classification is selected.
Select
Click this to select the personal data entry.
Note: This button is displayed only if Zoom is
clicked, and enabled only if a personal data entry is selected.
Select all
Click this to select all the personal data.
Note: This button is enabled only if a personal data
classification is selected.
Deselect all
Click this to remove all the personal data selections.
Note This button is displayed only if Zoom is
clicked.
Back
Click this to return to the previous screen.
Note: This button is displayed only if Zoom is
clicked.
Process
Click this to process the personal data.
Note: This button is displayed only if Zoom is
clicked, and enabled only if a personal data entry is selected.
Export
Click this to export the personal data to Microsoft Excel.
Note: This button is displayed only if Zoom is
clicked.
Word Merge
Click this to create a letter for the personal data based on
the document layout that you have created in Microsoft Word.
Note: This button is enabled only if a personal data entry
is selected.
Close
Click this to exit.
