Introduction
After labor hours and visit costs have been approved and processed, the hours can be invoiced to your customers. This page displays an overview of invoice requests for your customers. From here, you can view the invoices in detail and change the number of hours to be invoiced before creating the invoices. Any field settings that are changed will be remembered, and will be restored when you reopen this page.
Note: This document is applicable only to product updates that are prior to product update 250. Thereafter, the invoicing process has been updated. For more information on the invoicing process for product update 250 onwards, see Overview of billable, invoice term, intercompany, and credit invoice requests to be invoiced.
Roles and rights
To view and create invoices, users require function right 891 – Invoice hours and expenses. The Project administration role has this function right. The Project administration role can only be assigned to users who has the YA1403 – Project manager license role.

How do I view the hour requests to be invoiced?
- On the Sales invoices: Requests – To be invoiced page, define the criteria in the Criteria section.
- Click Show.
How do I generate invoices?
- On the Sales invoices: Requests – To be invoiced page, define the criteria in the Criteria section.
- Click Show
- Select the relevant check box(es) for the respective invoice requests by customer per project.
- Click Invoice selected. For more information, see Searching for purchase orders, sales orders, or sales invoices.
How do I view credit invoices?
- On the Sales invoices: Request – To be invoiced page, click Credit invoices.
- On the Credit invoices page, define the relevant criteria.
- Click Show.
How do I view invoices and orders?
- On the Sales invoices: Requests – To be invoiced page, define the criteria in the Criteria section.
- Click Show.
- Click View invoices & orders.
- On the Sales invoces: Sales invoices page, define the criteria in the Criteria section.
- Click Show. For more information, see Searching for purchase orders, sales orders, or sales invoices.
How do I change the hours that have been realized?
- On the Sales invoices: Requests – To be invoiced page, define the criteria in the Criteria section.
- Click Show.
- Change the number of hours in the box, under the Quantity column of the relevant invoice request(s).
- Click Save.
Buttons
Show
Click this to display a list of invoices according to the defined criteria.
Note: Once you have clicked this button, the name of the button will change to Refresh. Also, the Save, Invoice selected, and View invoices & orders buttons will be available.
Refresh
Click this to update the results according to the defined criteria.
Reset
Click this to clear the defined criteria so that you can start a new search.
Save
Click this to save the number of hours to be invoiced filled in under the Quantity column.
Invoice selected
Click this after selecting the invoice requests to generate the sales invoices. You can then search for the invoices generated and view them in detail. For more information, see Searching for purchase orders, sales orders, or sales invoices.
View invoices & orders
Click this to go to the overview of sales invoices page. You can search for the invoices and view them in detail. For more information, see Searching for purchase orders, sales orders, or sales invoices.
Credit invoices
Click this to go to the overview of credit invoices page. You can search for the invoices and view them in detail. You can also generate new credit invoices. For more information, see Overview of credit invoices for Professional services automation.
Fields
Criteria section
Status
Select one of the options to display only invoices with the selected status.
Division
Type or select the required option to display the invoice requests belonging to the selected division. Once you have selected a division, you can view the details of the division by clicking the link displayed next to the box. For more information, see Viewing division cards.
Period
The default period is set to the current month, since this is the most frequently used value. You can also select This month, Today, Today & yesterday, Last 7 days, Last 30 days, or Last 365 days to display invoice requests with the dates that match the selected option. The dates will be automatically filled based on the current system date. Alternatively, you can also type or select your own date range in the other two boxes next to the Period box.
Customer
Type or select the required option to display invoice requests for the selected customer. Once you have selected an account, you can view the details of the account by clicking the link displayed next to the box. For more information, see Viewing account cards.
Only show requests from my workflow
Select this check box if you want to display the invoice requests that you are responsible for.
Project
Type or select the required option to display invoice requests for the selected customer. Once you have selected a project, you can view the details of the project by clicking the link displayed next to the box. For more information, see Viewing project cards.
Project manager
Type or select the required option to display invoice requests handled by the selected project manager. Once you have selected a person, you can view the details of the person by clicking the link displayed next to the box. For more information, see Viewing personal cards.
