This screen allows you to search for contracts that have been created. You can obtain an overview of the contracts created by defining one or more of the following criteria.
Customers/Reports/Contracts/Search
All users can search for contracts. However, users can export contracts only if they have function right 491 – Allows to export contracts for customers/resellers. Users with the F&A staff or Marketing manager role have this function right.
For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh, and then click the required link under the Role column.
Click this to display the contracts based on the defined criteria.
Note: After this button is clicked, you will see the Search, New, and Export buttons. The New button is available only when you have defined an account at Account under the Account section in the search criteria.
Click this to search for more contracts.
Note: This is available only after you have clicked the Show button.
Click this to create another contract for the selected account. For more information on creating contracts, see Creating and Modifying Contracts.
Note: This is available only after you have defined an account at Account under the Account section in the search criteria and clicked the Show button.
Click this to export the contracts to Microsoft Excel. For more information on exporting contracts, see Exporting Contracts.
Click this to clear the defined criteria so that you can start a new search.
Click this to view the total number of contracts based on the defined criteria.
Note: After this button is clicked, you will see the Result button.
Click this to view the list of contracts based on the defined criteria.
Note: This is available only after you have clicked the Count button.
Click this to reset the search fields and columns for the search results to the default settings.
Click this to exit.
Type a contract number to search for contracts with the defined number. You can leave this blank to search for all contracts. For more information on how to create and modify contracts, see Creating and Modifying Contracts.
Select the relevant status to search for contracts with the matching status. Select Invalid to search for contracts that have not been validated or Valid to search for contracts that have been validated. You can leave this blank to search for contracts with any status.
Type or select a division to search for contracts belonging to the selected division. You can leave this blank to search for contracts from any division. For more information on divisions, see Overview of Divisions.
Select an assortment to search for contracts with the selected assortment. You can leave this blank to search for contracts with any assortment. For more information on assortments, see Overview of Assortments.
Type or select the country to search for contracts from the selected country. You can leave this blank to search for contracts from any country. For more information on countries, see Overview of Countries.
Type or select an item to search for contracts that contain the selected item. You can leave this blank to search for contracts with any item. For more information on how to create and modify items, see Creating and Modifying Items.
Type or select a start date or a range of start dates to search for contracts with the selected start date(s). You can leave this blank to search for contracts with any start date.
Note: Typing or selecting only the start of a date range will display results for contracts with a start date that are dated on and after it. Typing or selecting only the end of a date range will display results for contracts with a start date that are dated on and before it.
Type or select a prolongation date or a range of prolongation dates to search for contracts with the selected prolongation date(s). Select the Not specified check box to search for the contracts that do not have any prolongation date defined. You can leave this blank to search for contracts with any prolongation date.
Note: Typing or selecting only the start of a date range will display results for contracts with a prolongation date that are dated on and after it. Typing or selecting only the end of a date range will display results for contracts with a prolongation date that are dated on and before it.
Type or select a final date or a range of final dates to search for contracts with the selected final date(s). Select the Not specified check box to search for contracts that do not have a final date defined. You can leave this blank to search for contracts with any final date.
Note: Typing or selecting only the start of a date range will display results for contracts with a final date that are dated on and after it. Typing or selecting only the end of a date range will display results for contracts with a final date that are dated on and before it.
Type or select an account to search for contracts that are linked to the selected account. For more information on how to create and modify accounts, see Creating and Modifying Accounts.
Select the relevant account status to search for contracts with the matching account status. Select one or more of the following:
You can leave all the check boxes blank to search for contracts with any status. For more information on account statuses, see Searching for Accounts.
Select an account type to search for contracts with the matching account type. You can leave this blank to search for contracts with any account type. For more information on account types, see Creating and Modifying Accounts.
You can save your search criteria as a template. For more information, see Creating and Modifying Search Template.
Click Customize at the title bar to customize the fields or sections. You can add or remove existing criteria based on your preferences by selecting or clearing the relevant check boxes. Click Save to save the settings, Default to reset your selections to the default setting, or Close to exit without saving. Take note of the following fields/sections/columns:
You can add or remove the columns for the search results based on the information that you want to view. You can arrange the order of the columns by clicking the Up or Down buttons. There are various columns that you can select such as Contract, Account, Item, and many more.
Select this check box to search for contracts that do not have license linked to the contract.
Select this check box to search for contracts that do not contain active service items.
Select the date range to search for contracts created on the selected date(s). You can leave this blank to search for contracts created on any date.
Note: Typing or selecting only the start of a date range will display results for contracts with a created date that are dated on and after it. Typing or selecting only the end of a date range will display results for contracts with a created date that are dated on and before it.
Select the modified date range to search for contracts with the selected modified date. Contracts that were modified within the specified date range will be displayed. You can leave this blank to search for contracts with any modified date.
Note: Typing or selecting only the start of a date range will display results for contracts with a modified date that are dated on and after it. Typing or selecting only the end of a date range will display results for contracts with a modified date that are dated on and before it.
This section is available only if you have defined the contract free fields. For more information on defining contract free fields, see Defining Free Fields for Accounts, Contacts, Addresses, and Contracts. You can select the defined free fields to be displayed as part of the search field(s) at the Contract: Search screen.
