Introduction
Posting of entries is a process that records the financial facts into the system. It is one of the most important steps in the financial administration. Before you start to process the selected journal entries, you can generate a report at Finance à Entries à Reports à To be processed. For more information, see Overview of journal entries to be processed. This report allows you to check quickly and easily on entries that are yet to be processed.

How do I process journal entries?

In the Process screen, select the relevant journal entry.

Click Process.
How do I view, edit, or create a new attachment of the selected entry?

In the Process screen, select the relevant journal entry.

Click Attachment.
Keep in mind: This Attachment button is enabled only when you zoom to a selected journal.
How do I view, edit, or create a new note of the selected entry?
- In the Process screen, select the relevant journal entry.
- Click Notes.
Keep in mind: The Notes button is enabled only when you zoom to a selected journal.
How do I view the complete transaction of the selected entry?
- In the Process screen, select the relevant journal entry.
- Click Transaction.
Keep in mind: The Transaction button is enabled only when you zoom to a selected journal.
How do I process the selected entries?
- In the Process screen, select the relevant journal entry.
- Click Process.
Keep in mind: A posting report is generated if the journal entries are processed without any errors.
How do I view the entries of the selected journal?
- In the Process screen, select the relevant journal entry.
- Click Zoom.
Keep in mind: The Zoom button is disabled only when you view the entries per journal type.
How do I return to the journals listing?
- On the Process screen, select the relevant journal entry.
- Click Back.
Keep in mind: The Back button is only enabled when you zoom to a selected journal.
Fields
To filter the journal entries, you can define one or more selection criteria and click Refresh. The system will display the entries that match the defined criteria.
Range section
Range, to
Select the preferred range by Date or Reporting date, and then type or select the date range. Select the All check box to display all date range.
Sales, Purchase, General jrnl., Cash, Bank
Select one check box or more to list out the journal entries that you want to process:
- Sales
- Purchase
- General jrnl.
- Cash
- Bank
Results section
Information such as the journal number, description, journal type, entries, last entry date, and others will be displayed. It is possible that not all columns in this example are displayed. You can add or delete columns as required. For more information, see Inserting and deleting columns.
Buttons
Refresh
Click this to display the respective journals based on the defined criteria.
Attachment
Click this to view, edit or create a new attachment of the selected entry. For more information, see Viewing attached documents.
Note: This button is enabled only when you zoom to a selected journal.
Notes
Click this if you have additional notes for the selected entry.
Note: This button is enabled only when you zoom to a selected journal.
Transaction
Click this to view the complete transaction of the selected entry.
Note: This button is enabled only when you zoom to a selected journal and its journal entries.
Process
Click this to process the selected entries. A posting report is generated if the journal entries are processed without any errors.
Note: This button will be disabled if you do not have the Edit/ Maintain right to the specific journal. The Edit/ Maintain right can be assigned to a user under the Rights tab of a selected journal at System à Finance à Journals. As there is checking made during the processing of entries, a message is displayed if there are any errors.
When the Post entries: At final print check box is selected in the Print section at System à General à Settings, under Invoice settings, the journal entries of sales invoice created during final printing of invoices from the Invoice module will be posted automatically. Users do not have to run the financial posting process manually.
In the event that the analytical values such as quantities, items, person, projects, cost centers, and cost units are used and enabled as mandatory values at the general ledger account maintenance page, the journal posting process will include a validation to ensure that the values are in order and the posting process will proceed. If these values are incomplete, an error message will be displayed when the Post entries: At final print check box is selected.
Zoom
Click this to view the entries of the selected journal. This button is disabled if you view the entries per journal type.
Back
Click this to return to the journals listing. This button is enabled only when you zoom to view a selected journal.
Close
Click this to exit.
