Creating and Maintaining Individual Work Schedules
Introduction
At this page, you can create a new work schedule or maintain work schedules that have been created. A work schedule cannot be modified if it has been linked to a employee. To modify, you must remove the linking of the work schedule from the employee.
Menu path
- To create work schedules, go to HRM/Setup/Schedules/Work schedules, and click New.
- To maintain work schedules, go to HRM/Setup/Schedules/Work schedules, and click the name of the schedule under the Schedule name column.
Roles & rights
To create or maintain individual work schedules, function right 102 – Maintain individual work schedule is required. Users with the HR and HR assistant roles have this function right.
For more details on what you can do with function rights or levels, go to System/Setup/Security/Function rights, select the required module, and then click on the relevant ID. To find out the functions you can perform with a particular role, go to System/Setup/Security/Roles, type in the description, click Refresh, and then click the required link under the Role column.
Button
Save
Click this to save the work schedule and return to the previous page.
Save + New
Click this to save the work schedule and create a new work schedule.
Note: This is available only if you are creating a new work schedule.
New
Click this to save the changes and load a new page for creating another work schedule.
Note: This is available only if you are maintaining a work schedule.
Delete
Click this to delete the work schedule. A work schedule can only be deleted if it is not linked to any employee.
Note: This is available only if you are maintaining a work schedule.
Copy
Click this to copy the work schedule of another employee to the selected employee.
Note: This is available only if the Activate: Advanced Work Schedules check box in the HRM general settings is not selected.
Calculate
Click this to calculate the total work hours. The total work hours will be displayed in the Total row.
Close
Click this to exit.

Division
Type or select a division to define the work schedule to this division. This information is mandatory. The list of divisions available for selection depends on the user rights.
Note: If the division has been filled in, the code and name of the division defined for this work schedule will be displayed. Click the code and name of the division to view the corresponding division card. For more information, see Viewing Division Cards. This is only available if the Activate: Advanced Work Schedules check box in the HRM general settings is selected.
Schedule name
Type a name for the work schedule. You can type a maximum of 60 alpha numeric characters. This information is mandatory.
Note: This is only available if the Activate: Advanced Work Schedules check box in the HRM general settings is selected.
Number of days
Type the total number of work days for this work schedule. The maximum number that is acceptable is 99.

Person
Type or select a employee ID to define the work schedule for this employee. This information is mandatory.
Note: This is only available if the Activate: Advanced Work Schedules check box in the HRM general settings is not selected.
Work schedule section
Day
This column displays the sequence number up to the number of days defined for the work schedule at Number of days.
Day type
Select one of the following options to define the day type for each day:
- Normal — This refers to a work day.
- Off day — This refers to a non-work day, which can be on any day of the week.
- Rest day — This refers to a fixed non-work day by the country or company where the employee does not work.
Hours
Type the range of work hours before and after a break.
Total
This displays the total number of work hours defined for this work schedule.
