Introduction
You must link the function rights you have created with specific roles to allow people with the roles to perform the tasks as defined in the function rights.
Roles and rights
To link the function rights to roles, function right 187 – Maintain roles in function ID’s is required. Users with the Administrator and HR role have this function right.

How do I link a function right to a role?
- On the System: Function rights page, click Search to search for a specific function right or click on the hyperlinks under the Functions column to manually search through the related modules.
- On the System: Functions page, click the relevant function right ID under the ID column.
- On the System: Function page of the related function right, click Edit.
- On the System: Function edit-mode page, click New at the Roles section.
- On the System: Function – Role page, define the relevant fields.
- Click Save to save the settings or click Save + New to save the settings and link another role to the function right.
Buttons
Save
Click this to save the link between the function right and the role.
Save + New
Click this to save the link between the function right and the role, and then link another role to the function right.
Close
Click this to exit.
Fields
Function
This displays the selected function right.
Role
Select the role which you want to link to the function right. In the example given, users with the selected role will have the function right to create all request types, irrespective of request-type definition. Available role options comprise:
a) roles that have function rights already linked to them, and
b) roles that have no function rights linked and are already assigned only to employees with the Professional role. Roles that can be assigned to employees with the Employee self-service role cannot be linked to a function right, thus, are not displayed for selection.

Note: For CRM, Service management or Professional services automation function rights, different security validation will apply.
Level
Select the role level to be given the function right. Role levels determine if a user is allowed to perform the task according to the function right that is linked to the role at different levels of the organization chart. There are six options available, however, some levels may not be available for certain function rights:
- Corporate — Select this to allow the user with this role to perform the relevant task without any limitation.
- Group — Select this to allow the user with this role to perform the relevant task only for his/her division group.
- Division — Select this to allow the user with this role to perform the relevant task only for his/her division.
- Cost center group — Select this to allow the user with this role to perform the relevant task only for his/her cost center group.
- Cost center — Select this to allow the user with this role to perform the relevant task only for his/her cost center.
- Reseller — Select this to allow the user with this role to perform the relevant task in the reseller portal. This is applicable only to resellers.
- Project — Select this to allow the user with this role to perform the relevant task only for projects of which he/she is the project manager.
