Linking taxonomy elements to general ledger accounts

Menu path

Go to Finance ➔ VAT ➔ Statistics ➔ XBRL ➔ Link taxonomy, select the relevant year at Year and click Refresh. Next, select a report in the taxonomy list and click Open. Alternatively, double-click on a report.

Introduction

Before you can generate business reports using XBRL, you need to link the specific taxonomy elements to the general ledger (G/L) accounts. Alternatively, you can also link the G/L accounts to the taxonomy elements.

Fields

Taxonomy version

This displays the taxonomy version and description selected from the Taxonomy screen.

Return

This displays the return report selected from the Taxonomy screen.

Mode

Select Taxonomy elements to map the taxonomy elements to the G/L accounts or G/L Accounts to map the G/L accounts to the taxonomy elements.

Taxonomy element

Select Description to display the taxonomy elements based on their descriptions or Code to display the taxonomy elements based on their codes.

Links

Select Totals to display the total number of linked taxonomy elements or G/L accounts in totals, or Extensive to display the linked taxonomy elements or G/L accounts in details. For example, if you select Totals, the total number of linked taxonomy elements or G/L accounts will be displayed as “Linked: #”. Meanwhile, if you select Extensive, every linked G/L account or taxonomy element will be displayed in detail.

Filter

Click this to display or hide the filter section.

Note: The filter section will vary according to your selected option at Mode.

Search

Click this to search for taxonomy elements or G/L accounts based on the defined criteria.

Clear

Click this to clear the defined criteria.

Filter

Select the required option to filter the search that starts with or contains a certain letter or word.

G/L account

Type the G/L account code to search for G/L accounts with matching code.

Note: This field will only be available if you select G/L Accounts at Mode.

Description

Type the description of the taxonomy elements or G/L accounts to search for the taxonomy elements or G/L accounts with the matching description.

Balance/PL

Select All to display the balance sheet and profit & loss reporting groups of G/L accounts, B/S to display only the balance sheet G/L accounts, or Profit & Loss to display only the profit & loss G/L accounts.

Note: This field will only be available if you select G/L Accounts at Mode.

Type

Select the type of G/L accounts to be displayed. Available options include Asset account, Bank account, Creditor account, Debtor account, Stock account, Revenue account, Expense account, Neutral account, Cash, and VAT account. Alternatively, select All to display all types of G/L accounts.

Page

Select the page number of the report to view the specific page or select the All check box to view all the pages of the selected report.

Note: This field will only be available if you select Taxonomy elements at Mode and the selected report has more than one page.

Links

Select All to display the linked and non-linked taxonomy elements or G/L accounts, Linked to display only the linked taxonomy elements or G/L accounts, or Not linked to display only the taxonomy elements or G/L accounts that have not been linked.

Balance

Select All to display the G/L accounts with debit and credit balances, Debit to display only the G/L accounts with debit balance, or Credit to display only the G/L accounts with credit balance.

Note: This field will only be available if you select G/L Accounts at Mode.

Buttons

Refresh

Click this to view the list of taxonomy elements or G/L accounts based on the defined criteria. 

To map the specific taxonomy elements to the G/L accounts, click linkicon.png Click : Link taxonomy.

Data section

This section displays the information on the selected taxonomy version and return report. Meanwhile, Taxonomy element displays the taxonomy element you have selected to be linked to the G/L accounts. You can further define the G/L accounts using the filter criteria as described at Description.

Available section

This section displays the available G/L accounts based on the defined criteria that you can link the taxonomy element to.

Click this to move the selected G/L account(s) from the Available section to the Selected section to link the taxonomy element to the selected G/L account(s). To select multiple G/L accounts under the Available section, hold down the CTRL key and click the G/L accounts.

Click this to move all the G/L accounts from the Available section to the Selected section to link the taxonomy element to all the G/L accounts.

minusicon.png

Click this to move the selected G/L account(s) from the Selected section to the Available section. You may want to do this if you do not want to link the taxonomy element to the selected G/L account(s). To select multiple G/L accounts under the Selected section, hold down CTRL and click the G/L accounts.

Click this to move all the G/L accounts from the Selected section to the Available section to not link the taxonomy element to all the G/L accounts.

Selected section

This section displays the G/L accounts that you have selected to link the taxonomy element to.

Once you have selected the G/L accounts to be linked to the taxonomy element, click Save to map the taxonomy element to the selected G/L accounts or Close to exit.

Note: Besides linking taxonomy elements to G/L accounts as shown in the example, you can also link G/L accounts to taxonomy elements by selecting G/L Accounts in Mode. For more information, see Linking general ledger accounts to taxonomy elements.

Auto generate

Click this to auto generate the mappings using a set of pre-defined taxonomy elements. You can click the Add option which allows you to create new mappings on top of the existing mappings or the Relink all option to remove all existing mappings and create new mappings. Once you have selected the relevant taxonomy to be linked, a validation process will take place to determine if there is any existing mapping to the taxonomy selected. If there is none, a message "No taxonomy elements are linked to the GL Accounts. Do you want to generate links automatically?" is displayed. Click Yes if you want to generate the links automatically or No to manually link the taxonomy to the general ledger accounts. 

Note: The auto mapping functionality requires a pre-defined XML definition, which is currently available only for the Netherlands.
