Introduction
This page provides an overview of all people within your company.
Roles and rights
- Everyone can view the overview with the Active status.
- To view people with the Hired and Inactive statuses, function right 158 – View resources reports is required. By default, users with the General manager, HR, or HR assistant role have this function right.
- To create entries for people from this overview, function right 204 – View free fields in resources report is required. By default, users with the General manager, HR, or HR assistant role have this function right.

What version are you using?
The information in this document is applicable to product update 259 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I view the overview?
- On the HRM: People page, type the division code at Division under the Criteria section. By default, the system will display the division of the current user that is logged on to the system.
- At Type, select the check box(es) to filter the overview based on the employment type.
- Define the rest of the fields.
- Click Show.
Buttons
Close
Click this to exit.
Show
Click this to display the overview according to the defined criteria.
Note: Once you have clicked this button, the name of the button will change to Refresh.
Refresh
Click this to update the overview according to the defined criteria.
Reset
Click this to clear all the defined criteria so that you can start a new search.
New
Click this to create an entry for a person. For more information, see
Creating and modifying entries for people.
Icon
Customise
Click
Customise at the title bar to customize the columns. Click Save to save the settings, Default to reset your selections to the default setting, or Close to exit without saving. Take note of the following section:
Columns section
You can add or remove columns based on the information you want to view. You can arrange the order of the columns by clicking the Up or Down buttons. There are various columns that you can select such as Amount, End date, Hours: Actual, and many more.
Fields
Division
Type or select a division code to display the overview of people belonging to this division. Once you have selected a division, you can view the details of the division by clicking the name of the division displayed next to the box. For more information, see Viewing division cards.
Type
Select the Employee, Contractor, Student, Temporary, Applicant, and/or Vacancy check boxes to display the applicants, vacancies, and/or people with the respective employment types.
Note: If you have selected the Vacancy check box, the To be approved check box will be enabled at Status.
Cost centre
Type or select the cost center code to display the overview of people belonging to this cost center. Once you have selected a cost center, you can view the details of the cost center by clicking the name of the cost center displayed next to the box. For more information, see Creating and modifying cost centers.
Status
Select the Active, Hired, Inactive, and/or To be approved check boxes to display the respective statuses of the people and vacancies.
Note: The To be approved check box will only be enabled if you have selected the Vacancy check box at Type.
Group by
Select the required option to group the results by Cost center, Job title or Contractual location, or select None if you do not wish to group the results.
Layout
Select the required option to display the report by List, Family, or Reference number. For more information on Reference number, see the Monitor section in Viewing personal cards.
If you select List at Layout, the above fields will be displayed.
If you select Family at Layout, you will see additional fields as follows:
Date of birth
Select the relevant variables for the date of birth of the family members.
Relation
Select Parent, Child, Partner, or Relative to specify the relationship between the family members and the person.
Gender
Select the gender of the family members.
If you select Reference number at Layout, you will see additional fields as follows:
Start date / End date
Select the start and end dates of the reference type. For example, the validity period of your passport.
Reference Type
Select the required reference type.
Columns
Name
This column displays the names of the people or the vacancies. You can click the hyperlink to view the details of the corresponding person or vacancy. For more information, see Viewing personal cards or Viewing vacancies.
Job title
This column displays the job titles of the people.
