Overview of project deliverables

Introduction
Exact PSA provides the possibility to create and manage the project scope using the technique from PRINCE2 project management method, which is product breakdown structure (PBS).
In this technique, the project scope is broken down into individual products until the smallest are discovered, and the project manager can estimate the duration of activities and quantities of material needed to deliver those products.
In Exact PSA, products are called deliverables, and are accessible to the project manager via the Project monitor section of the project card if the Use deliverables & WBS check box is selected on the related project card. For more information, see Viewing project cards.
Roles and rights
- To manage deliverables and work breakdown structure (WBS), function right 903 — Manage deliverable/WBS is required.
By default, users with the Project planner or Project administration role have this function right.
- To save snapshots of deliverables and WBS, function right 1016 — Create and View WBS version is required.
By default, users with the Project administration role have this function right.

What version are you using?
The information in this document is applicable to product update 256 and higher. If you have versions lower than this, certain features explained here will not be applicable.
How do I view deliverables?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink.
Keep in mind: If you are accessing the Project deliverables page of a project for the first time, a pop-up page will be displayed for you to create a main deliverable or copy deliverables from another project.
How do I create a main deliverable?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink. The Create main deliverable or copy deliverables from another project pop-up will be displayed.
- Select the Create main deliverable option.
- At Code, type a code for the main deliverable.
- At Description, type a short description for the main deliverable.
- At Item, type or select an item to be linked to the main deliverable.
- Click OK.
Keep in mind: This procedure is required only if you are accessing the Project deliverables page of the related project for the first time or if you have deleted all existing deliverables, including the main deliverable.
How do I copy deliverables from another project?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink. The Create main deliverable or copy deliverables from another project pop-up will be displayed.
- Select the Copy deliverables from another project option.
- At Project, type or select a project to copy the deliverables from.
- At Also copy WBS lines, select the check box to copy the deliverables together with the WBS lines.
- Click OK.
Keep in mind:
- This procedure is required only if you are accessing the Project deliverables page of the related project for the first time or if you have deleted all existing deliverables, including the main deliverable.
- When you copy the deliverables of a project to another project, that same deliverable (including the sub-deliverables, if any) will be copied over.
- The copied deliverables will have extensions on the codes. When the original deliverable is updated or deleted, it will not affect the deliverables that have been copied to the other projects.
How do I view parent deliverables?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink.
- On the Project deliverables page, click View parent.
Keep in mind: You can only view the parent deliverable if the related project is a child project.
How do I create deliverables?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink.
- On the Project deliverables page, under the Deliverables section, click New.
- On the Deliverable: New page, define the relevant fields.
- Click Save to save the settings or click Save + New to create another deliverable. For more information, see Creating and modifying project deliverables.
Keep in mind: All fields with the “!” icon are mandatory.
How do I create WBS lines for deliverables?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink.
- On the Project deliverables page, in the Actions column, click the corresponding View WBS lines icon of the required deliverable.
- On the WBS lines page, click New.
- On the New WBS line page, define the relevant fields.
- Click Save to save the settings or Save + New to create another WBS line. For more information, see Overview of work breakdown structure (WBS) lines.
Keep in mind: All fields with the “!” icon are mandatory.
How do I modify deliverables?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink.
- On the Project deliverables page, under the Deliverables section, click the hyperlinked name of the required deliverable in the Deliverable column. Alternatively, in the Actions column, you can click the corresponding Edit icon of the required deliverable.
- On the Deliverable page, modify the relevant fields.
- Click Save. For more information, see Creating and modifying project deliverables.
How do I delete deliverables?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink.
- On the Project deliverables page, in the Actions column, click the corresponding Delete icon of the required deliverable.
How do I save snapshots of existing deliverables and WBS lines?
- On the Projects: Search page, define the search criteria.
- Click Show.
- Select the required project by clicking the hyperlink in the Project column.
- On the selected project card, under the Project monitor section in the Start up column, click the Deliverables & WBS lines hyperlink.
- On the Project deliverables page, click New: Version. The WBS Version - New page will be displayed.
- Type the description of the snapshot. By default, the description will be filled with "<Project> - <Status of project> - <Date of snapshot>".
- Click OK.
Keep in mind: The number at Version number increases automatically by 1 with every creation of a snapshot (for example 1.0, 2.0, and 3.0). The version number cannot be modified.
Buttons
View parent
Click this to view the parent deliverable.
Note: This is displayed only when the related project is a child project.
New: Version
Click this to save a snapshot of the existing deliverables and WBS lines of the project.
Note:
- This is available only if you have function right 1016 — Create and View WBS version.
- If the WBS approval request type is defined at the WBS approval field at Modules ? Projects ? Setup ? Professional services automation ? Settings, a WBS approval request will be automatically created upon the creation of a snapshot. This request will have the snapshot attached. Any WBS approval request created for the related project will be listed under the WBS approval requests section on this page.
Close
Click this to exit.
New
Click this to create a deliverable.
Note: This is displayed under the Deliverables section.
Fields
General section
This section displays general information of the related project. It cannot be edited.
Project
This displays the name of the related project.
Customer
This displays the name of the related customer.
Manager
This displays the name of the manager of the project.
Start date – End date
This displays the duration of the project.
Columns
WBS approval requests section
Note: This section displays a list of WBS approval requests created for the related project, which contain the snapshots of deliverables and WBS lines. This section is available only if a request type is defined in the WBS approval field at Modules ? Projects ? Setup ? Professional services automation ? Settings.
ID
This column displays the request IDs. You can click the hyperlink to display the respective request.
Description
This column displays the descriptions of the requests.
Cost
This column displays the amounts of the WBS cost for the main and sub-deliverables.
Revenue
This column displays the amounts of the WBS revenue for the main and sub-deliverables.
Status
This column displays "Complete" for requests that have been approved, and "Incomplete" for requests that have not been approved.
Date completed
This column displays the dates of approval or completion for requests that have been approved, and "-" for requests that have not been approved.
Deliverables section
Deliverable
This column displays all the names of the deliverables and sub-deliverables related to the project. You can click the hyperlink to view or modify the deliverable.
Status
This column displays the statuses of the deliverables. A new deliverable is indicated by a light grey circle, while a deliverable that is in progress is indicated by a green circle. A deliverable that has been completed is indicated by a check.
Start date
This column displays the start date of the corresponding deliverable or sub-deliverable.
End date
This column displays the end date of the corresponding deliverable or sub-deliverable.
WBS cost
This column displays the work breakdown structure (WBS) cost of the corresponding deliverable or sub-deliverable.
WBS revenue
This column displays the work breakdown structure (WBS) revenue of the corresponding deliverable or sub-deliverable.
Margin
This column displays the margin in percentage for the corresponding deliverable or sub-deliverable.
Actions
This column displays the icons on which a user can click to perform certain actions for the corresponding deliverable or sub-deliverable. The following describes the icons:
- View WBS lines — Click this to view or create WBS lines for the corresponding deliverable or sub-deliverable.
- Edit — Click this to modify the corresponding deliverable or sub-deliverable.
- Delete — Click this to delete the corresponding deliverable or sub-deliverable.
